Task 1 Please refer to Laboratory Team Leader job description uploaded with assignment Personal Work Goal 1 Goal: To maintain instruments and equipment Ref: Position description- Performance Specific The goal relates to the company strategy of maintaining the laboratory accreditation NATA scheme that prescribes the calibration schedule of all equipment critical to the microbiology and chemistry testing performed in the laboratory. It is an organisational wide driver of delivering customer service with food testing to ensure accurate and reliable results are reported by the laboratory on the Certificates of Analysis. Measurable All equipment in the defined range of the calibration range as defined by the SOP and checked and recorded as per the laboratory schedule. It is measured by 100% adherence. Not meeting the 100% adherence will mean the NATA registration could be withdrawn Appropriate The goal supports the overall business goals as it is a requirement for NATA accreditation. To ensure timely reminders of when each piece of equipment is due for calibration, the Laboratory Information System (LIMS) will email a scheduling message to the lab team leader that a piece of equipment is required for the calibration check and the timeframe it must be completed in. When the calibration results are entered into LIMS, the workflow will automatically reset the schedule and check the results are within the parameters set. This involves walking around the laboratory and observing staff in their workplace. All tasks should be observed to be performed in a safe manner. Any deviations are to be reported on the QESIS company data entry system and escalated to Management. Appropriate The goal supports the business of Safety at Work, and zero tolerance of accidents or near misses. Training has been delivered, and short question and answer session completed. films, flip charts. My learning techniques has always been to listen to everything and write it all down. I prefer to have demonstration and learn by repetition. The results were interesting as I thought I was an auditory learner, as I will always sit at the front of the lecture theatre and listen whilst taking down all the notes. On reflection, I feel this is a technique that is left over from higher education when all teaching was delivered in a lecture style. As a visual learner, I am learning by remembering things by sight. This is reflected in my style of delivering training at work, where I will always do a demonstration first of a laboratory technique for example aseptic plating out for an enumeration spread plate technique. I feel it is easier to show the learner what is expected, and then for them to copy me. Visual learners will also colour code their notes and make a ‘to-do’ list, this is very true of my style of working as I live by lists in my notebook and by spreadsheet. It enables me to stop feeling overwhelmed by several tasks and allows satisfaction as I can tick of each one. Implement the roster, and ensure all staff adhere to the schedule. Task 4 I recently delivered a presentation on maintaining specifications for food ingredients, it included talking about the microbiology, chemistry, foreign body limits and the sensory appraisal of the product. The specification is important as it describes the quality attributes and the food safety criteria of the food ingredient being used in the final product. presentation was delivered in a 20-minute slot to the marketing team, and the intention was to help the team understand the technical complexity of a spec, and how it sits in the project management timelines of a new product launch. My manager was at the presentation, and I asked him for feedback on my technique and content of material. His feedback consisted of the following: My knowledge was excellent, and it was obvious that I understood the content and how the specifications support the framework of a new products launch. The timing of the delivery was within the agenda time lines. However, I had not presented the material that my audience had wanted to hear, for example my presentation was at a technical level that would have been appropriate for the Research and Development team, but not a commercial team such as the Marketing Team. I took the feedback on board and summarised it as understand and know what your audience expectations are. For the next presentation I was due to deliver, I made sure that prior I had a meeting with the department stakeholder, and reviewed with them, what was their expectations of the presentation content, what was the objectives of what their team should take away, and what would be the key learnings/goals from the presentation. Once I had collated this information, I then rewrote my specification presentation. To ensure my delivery was of a commercialised approach, I tailored my presentation to be about the timelines of the project, and what were our key objectives to complete in a specification to enable it to be signed off by the business. Instead of talking about the complexities of the content of the specification, I talked about how cross functional working could facilitate the signing off, and how the process could be streamlined. Task 5 Work-Life Balance Work-life balance involves thinking about how much time you spend at work and how much time at home. Time at work should be focused and working on tasks that meets the company’s objectives. Home life is being with your family, enjoying hobbies, time for yourself, friends and relaxing. It is important to have a balance and it will reduce stress in the workplace, and stop you burning out. Stress is one of the most likely causes of health issues in the workplace and lost days at work. Three Methods to Achieve a Health Work-Life Balance Time Prioritisation In my role, I keep a spreadsheet of all the tasks that need to be completed. At any one point there will be around 50 items on the list, which can feel daunting. However, I manage this by prioritising all the tasks, giving timelines, and delegating if needs be. Each week, I write a short update by each task, this is helpful as it shows that whilst the task is not completed, there is traction towards the end goal. Flexible working Flexible working is a good solution for staff and is motivational as it allows staff to feel trusted to manage how they work. To be able to come in early to leave early to attend to a doctor’s appointment, removes a stress from a simple appointment. I have a team member who works 9.30am to 5.30am as it allows her to do a school run. Ask in the lab, the KPI is always get all the samples tested on the same day and with flexible working hours, and a balance of those staff members who work early and those that stay late, the KPI is always met. There are times when over time is required, and then it becomes all hands-on deck to get the work done, as I discourage anyone from staying at work beyond 6pm. Email Checking I used to check my works emails frequently on my mobile phone, it was a routine that commenced when I was the Asia Pac business lead for a US lead project. I would find that I would wake up at 4am, would be checking my email and answering. Quite often the response would not be a fully thought-out email. I would then be up at 5am for a team meeting with the US four days a week. These meetings would run from 5 am to 8.30am. As a single mother, juggling getting my children’s breakfast ready, driving them to school whilst still on call, became the most stressful thing I have ever experienced in my life. I was paranoid I would lose my job if I did not attend these meetings, I was constantly exhausted, and it came to a head when my children would not even speak to me in the morning as I was on a call. Eventually the project was cancelled, after a year. As a result, I made a conscious decision I would never work for a US owned company again, I removed my work email from my phone. In the end I left the company, and now I work from 9 to 5 and after work until 6pm if the laboratory is still working. I have never downloaded the app for the work emails onto my phone and I never take my lap top home now. Implications of poor work life balance On a personal level having lived through a poor work life balance. The implications for the employee are exhaustion, resentment, relationship break down, burn out, and leaving the company. The implications for the company are employees who become disengaged. They do not feel valued as they are working for the company as an impersonal asset, rather than a valued member of the team. The staff can become tired or complacent about their duties, which can lead to workplace accidents. Staff will get sick, and the sickness leave will go up, which is a cost to the business. Lost days of works from accidents and sickness, affects the budgets and the business profitability. As staff become disillusioned in their roles if there is poor work life balance, they will begin to leave. Quite often it is the talented and experienced staff that will find job first.
