RUNNING HEADER: ART IN THE PARK FESTIVAL 1 Art in the Park Festival
ART IN THE PARK FESTIVAL 2 Project Scope The purpose of the Art in the Park Festival is to create a community gathering that is exciting and open to individuals of all different backgrounds, as well as one that acknowledges and celebrates the local art and culture of the area surrounding the park. The principal objectives are to broaden participation in community events, to draw more attention to the work of local artists, and to provide a place in which cultural points of view can be addressed (Heagney, 2016). The festival intends to accomplish various things during its run, some of which include the presentation of works of art, the staging of live performances, and the hosting of interactive workshops. You will be responsible for finding a location that is suitable for the event, coordinating the involvement of artists, managing the logistics of the event, and ensuring that visitors have a positive experience as part of the deliverables. In addition, you will be responsible for ensuring that attendees have a positive experience. ART IN THE PARK FESTIVAL 4 Project Stakeholders Stakeholders include artists, volunteers, sponsors, participants, attendees, local businesses, and municipal officials. This category includes event attendees and participants. Festival participants and attendees will participate, artists will donate their work, volunteers will help with event logistics, sponsors will provide financial support, local businesses may contribute resources, and city officials will provide permits and help with event logistics (Heagney, 2016). Along with detailing how each group of stakeholders will participate in project planning and execution, their jobs and obligations will be detailed and handed to them. This will be done before explaining how each stakeholder group will participate. Project Milestones The call for artist submissions, performer selection, venue confirmation, marketing campaign launch, ticket sales, logistical preparations, and festival implementation are important milestones. Checkpoints will be set up during the project to measure progress and promptly handle issues (Heagney, 2016). Regular team meetings and progress reporting are essential. Doing so will keep the project on schedule and allow for course corrections. Milestone Description Oct Date Nov Date Project Kickoff Initiate the project, define goals, and allocate responsibilities 10/1 - Venue Booking Confirm the venue for the festival and secure necessary permits 10/5 - Artist and Performer Selection Curate a diverse lineup of artists and performers 10/15 - Marketing Launch Begin promotional activities, including social media, posters, etc. 10/25 - Sponsorship Finalize sponsorship agreements and secure - 11/5
ART IN THE PARK FESTIVAL 5 Confirmation necessary funding Project Budget The all-inclusive budget will cover venue rental, artist fees, marketing and promotional costs, infrastructure (stages, tents, lighting), permits, insurance, and unanticipated expenses. Regional cultural grants, company sponsorship packages, and private gifts will be considered for funding. To track and report all expenses, a simple and accountable financial administration system will be implemented (Heagney, 2016). Project Risks One of the major threats is inclement weather, which might impede the progress of outdoor events. Other potential dangers include an insufficient number of attendees, the cancellation of a performer, an increase in costs, and difficulty in logistics. The risk management approach will prioritise the risks based on their potential impact, estimate the likelihood of each risk, and identify potential mitigation options (Heagney, 2016). The Art in the Park Festival will be preparing contingency plans for alternate locations, diversified marketing initiatives, and clear communication strategies in order to face unforeseen hurdles and minimise the influence that these barriers have on the success of the festival. These plans are going to be expanded further. Regular risk assessments will be carried out at all stages of the project's lifespan. This will continue until the project is completed.
