Maleka Monono Thursday, November 30 th , 2023 IT 328 Module Six Project Issue Email Your work on the student degree progress project in IT at Regatta University has run into a possible issue. During lunch with Bill, an IT employee outside of your team, you learn about a newly discovered security vulnerability on the team's production server. IT is currently planning to run a software upgrade on the server this week to address this vulnerability. They cannot guarantee that there will not be any system downtime. Your project is not yet live, but there are ongoing tasks scheduled that may be impacted. This update is out of your control; however, it is important that you notify your project manager and your team. You must email your project manager and your team with your concerns. In this email, accomplish the following: Notify management and your team of your findings in a clear and professional way. Explain why this risk requires attention. Provide an idea to your manager on how you could mitigate the impact that possible downtime could have. To: John Doe, Shila Cole, Ana Fischer, John Jones From: Maleka Monono Dear John and the rest of the project team, I hope this email finds you well. It has come to my attention that there is a security vulnerability on the team’s production server. Currently, IT is planning on running a software upgrade on the server this week to address this issue. However, they cannot guarantee that there will be no downtime. As of now, the project has not yet gone live and there are still ongoing tasks that could be impacted by this issue. These ongoing tasks are critical to the project’s success. Downtime at this point and time will cause a delay in the project deadline, quality of the product, and data security. If we experience downtime and still must meet the deadline, the product could potentially possess bugs or glitches that would diminish the quality of the product. Additionally, this downtime compromises our integrity, confidentiality, and administrative data (e.g., student info, billing information, etc.). That is why I found it necessary to bring this issue to the team to collaborate on potential risk implications as well as solutions. I feel as though there are a couple ways to mitigate this issue. The best way in my opinion is to communicate with the IT team to determine when they plan to upgrade the serve within the week. Doing so could allow us to work around the upgrades by crashing important tasks or having the upgrades done at night. Essentially, we would be working on the software upgrades. Another solution we could consider is having server data backed up to be able to work on the project while software upgrades take place. Any input on this matter is greatly encouraged and appreciated. I would be happy to answer any questions and address any concerns. Looking forward to hearing from you all soon.
