When any type of disaster occurs, getting the word out to the public needs is critical. The
dissemination of information to various news outlets will allow for the public to be informed to
keep them safe. A media plan is a critical component of any local government’s communication
plan. The media reaches many different audiences. When a disaster strikes it is never planned
and it is important to deal with the situation transparently as well as being able to provide
answers consistently in a coherent way. A designated official/spokesperson should issue a
statement within one hour of the media contacting the local government about an emergency
that has occurred. The main sources of media today are print media, radio media, television
media and social media. This media plan will include pre-drafted emergency statements that
can be utilized as templates for different disasters and a list of different media outlets and their
contact information.

All information will be gathered by Mr. Smith.
Mr. Smith will have clear knowledge of the situation at hand and be able to disseminate
information and communicate with various media outlets.
Pre-scripted emergency statements
Alter to suite the specific situation at hand
“At approximately (insert time and date of emergency), (State what has occurred).”
“We are receiving new information every minute and at this point we will continue
gathering information to release to the media as soon as possible. We as you for your
patience as we respond to this emergency.”
“We currently have (state what the process and plan is for responding to the current
phase of the emergency and what will be done in the future) we are being assisted by
(list stakeholders or first responders).”

It is important for the communications director to maintain a close relationship with points of contact from various media outlets in the area. This is important so that information can be disseminated to the public as quickly as possible. If a relationship is being built throughout the year when there is not a disaster occurring it will be extremely helpful to have that working relationship established during a disaster as well so no time is wasted and the media pressure is dwindled down.
Upon interviewing journalists from various media sources, it was solely determined that the
best way to establish a working relationship with them is through social media. This way, the
journalists will always be connected and everyone can stay ahead of the dissemination of
information effort in order to keep the community safe before, during, and after a disaster
occurs.
Social Media
The PIO should always reference the Local Emergency Management’s website and all social
medias to the public if they want to find further information. These social medias will
continuously be updated by the communications team in the EOC.
