Project Initiation Document – PID | 1 Sourcing Project Description Project Code PRJ-00987654 Project Owner David (CIO) and Liz (VP) Project Name Biotech Inc.'s HRMS Upgrade: Integrating Workday HCM for Growth Project Manager Olsa Hoti Start Date 16.01.2024 Other Name Target End Date 15.01.2029 Project background: <Insert a short description about the background for the project? What “issue/opportunity” caused the project to be initiated? Clarify if this is a sub-project to a larger rollout program or part of a Business project/program.> Biotech Inc.'s rapid expansion in the biotech field has overwhelmed our HR functions. To address this, we're introducing a new HR Management System (HRMS) to unify recruitment, onboarding, performance, and development processes. This HRMS is integral to our wider strategy to refine workforce management and improve efficiency as we grow. Objective/benefit: <Insert a short description about the project objectives and benefits. What is the end result from a business perspective that the project is trying to achieve?> The project's primary aim is to deploy the new system throughout the company's operations, including its branches across various states. The anticipated business outcome is to streamline the Human Resources department's functions, aligning them with the company's growth strategy. This enhancement is expected to lead to greater employee satisfaction by simplifying HR processes, which in turn is projected to increase overall productivity within the workplace. No-go impact: An outdated HRMS may not comply with the latest labor laws and regulations, which vary by country and change over time. Without an updated HRMS, manual processes may proliferate, leading to inefficiencies and potentially requiring additional headcount to manage growing HR demands, increasing labor costs unnecessarily. Postponing the upgrade could also mean missing out on advanced data analytics capabilities offered by newer systems like Workday HCM, which can inform strategic decisions and foster growth. Overall Risk Dependencies: Integration with Existing Systems : Ensuring the new system is compatible with current technology infrastructure to allow for seamless integration. Employee Training and Support : Plans for training employees on the new system and providing ongoing support. Data Migration : Safe and accurate transfer of existing HR data to the new system.     Project effort Implementation Business Define project scope and objectives Group IT System development and integration  In progress  Procurement Acquire necessary hardware and software  Completed  Total     Funding Org. k€ In Budget (Y/N) Comment Business  357€ Yes This part is calculated in the budget.
