1. Dear HR: With so many of us working remotely now, I sometimes feel disconnected from the team. Are there any tools we could use to promote informal communication and build internal connections? - Amanda Good Morning Amanda! Intercommunication is important to maintain while working remotely, especially in informal usage. Thanks to the pandemic there have been many ways that an organization can adapt and still utilize teamwork. Connecting employees could be integrated positively using applications such as Skype, Discord, and even Microsoft Teams. Through these apps, that can be downloaded to any computer or device, your staff and human resources can connect seamlessly. Skype and Microsoft Teams allow for meetings through video calls and chats that can be accessed with no delay in real-time. Although these resources may entertain professional business operations, their services can be used informally. Asking questions relating to personal life and issues with other coworkers is available to be asked confidentially. There are not any binding policies relating to costs for the application; e.g. in-app-purchases, subscription plans, and company emails. For example, the organization can pay to have all employees set up with an email through Skype or Microsoft Teams for a certain amount of money. There is an option to use their services free with a personal email. The impact on the organization would again be very positive, as it enhances interpersonal relationships in the workforce as well as extends support informally to all levels of the organization's employees. IT would be able to connect more seamlessly for issues about technical difficulties by using screen sharing on mobile applications such as Skype. There are so many potential benefits to using tools on the internet, therefore promoting informal communications. If the company has any issues with the need to protect the company data (i.e. stopping information and data leaks) more extreme protection plans will be needed. If there are any questions about the need for encryptions such as Norton or basic data protections, the human resources office can help implement the certain plan. Many questions arise using such applications, and our department would be more than happy to help accommodate any changes needed. Sincerely, Mackenzie Ansin - HR Department 2. Dear HR: I’m struggling to keep my daily tasks, duties, and goals organized. Can you suggest any tools that could help? - Brandon Greetings Brandon! It is certainly a pleasure to hear from you after our last meeting over a month ago. I hope the family is doing well and the new position is up to par. After the pandemic, the workforce has been forced under conditions that have weakened the ability to stay organized with the daily schedule. There are several applications we can use to help you, and even others struggling with organization, such as Monday.com. With the rise in remote work, there has been stress over maintaining a proper work schedule and following routines and goals that supervisors have put into place. Brandon I am enthralled to present you our newest technology to help keep you organized. Monday helps supervisors assign tasks and then allows you the user to update your
work status. For example, a project you have been assigned is not quite finished. With a few clicks of your keyboard, you will be able to update supervisors on your work and where your progress lies. The organization will benefit from uploading daily tasks to its employees and being able to update the project itself in real-time. Most organization problems start with the lack of connectivity between you, Brandon, to the supervisor. Using Monday.com, a completely free application, we can integrate better methods of organizing daily tasks, duties, and goals. Monday allows for tasks to be created, such as a to-do list, and can help label your tasks and set reminders. If due dates are approaching Monday can send you a notification reminding you to either complete or submit your work. Monday specifically has the following labels for tasks; To- do, In Progress, In Review, Done. Again, there may be some issues of user error; i.e. being able to use another resource on top of all the applications we use in the organization. Please do not hesitate to reach out further on any concerns with task management. Dear HR: Are there any tools we could use to recognize fellow employees and highlight their valuable accomplishments? - Chance Good Evening Chance, I am very glad to hear your request Chance, and was hoping to follow up on your challenges with the new baby. New editions can often pose a great challenge, and so can new positions and accomplishments, such as your own! I have done some research on employee incentives and rewards as recognition. There are several applications through technology, such as point-based systems, that would work for the company, but not be successful for employee recognition, rather employee incentives. I want the companies’ employees to be valued just as much as the organization’s goals which is why we should implement a unique plan. Leveraging employee recognition, we could use rewards such as gift cards or even local establishment rewards (certificates) for the accomplishments reached by employees. Many employees value gift cards to grocery stores and even spas to enjoy and redeem their professional advances for our organization. All employees would benefit from monthly/yearly gifts personalized with the company logo to represent years spent at the company or just overall employee value. Using tools that are already available we can make the employee workforce equal and valuable to the employee and organization as a whole. There are more strategies I have been made aware of as well, but have made the executive decision to offer these concepts. If for any reason they conflict with employee values, I would love to hear back as I have more strategies to review. Thank you again Chance for your constant devotion to this company.
