COM-30122 Communication Plan and Interview Questions Document Name: Yanaja Joyner Part One: Communication Plan Before starting part one, read the Company Profiles located in the “Supporting Materials” section of the Project Instructions. Choose two companies to base your responses on for this section. Your communication plan should explain how you will make changes to the company’s message for each target audience. Your goal is to use audience information to effectively communicate with each company. Unfortunately, you do not know which member(s) of the company will be receiving your message. Therefore, it is important to consider each company’s employees, values, and goals. Be sure to explain the rationale behind your communication plan since you’ll be expected to email it to the hiring manager before your interview. Give enough guidance and explanation that the communication plan can speak for itself. You may not have a chance to formally present your plan or justify your choices. Use the company profiles to support your recommendations. Type your responses in the table provided. Company 1: Type the name of the first company you chose. Company 2: Type the name of the second company you chose. Topic Question Company A-Austin, Texas Company B- Quebec, Montreal, Canada Audience Information Describe each audience. Company A is a new start up business. It has ten employees, 40% of whom are bilingual (speaking both English and Spanish), 20% of whom are monolingual(speaking only Spanish) and all of their files are kept on paper. Due to the employees’ obligations to their families, other part time employment and other commitments, the company is having difficulty meeting client requests. Company B is a small, family owned business. It has 42 workers, some of whom speak French. This company employs technology for marketing and communication; its main problem is competing for clients with other businesses.
Identify the most important demographic information to use when targeting this audience in your communication. - Located in Austin, Texas - Start up business - 10 employees - 40% speak English and Spanish - Family owned - Founded in Quebec, Montreal, Canada - 42 employees - Some employees speak French Considerations Explain what to consider when crafting an effective message for this audience. Region of the company and the timing of the message should be addressed, as a most employees have other work obligations after their shift at Company A is done. The company should consider the language they use for the message as 20% of individuals only speak Spanish, 40% are bilingual and the means of communication, as they do not use technology and only use paper and physical copies. While writing a message the following should be considered, the summer season is the busiest, the language as French is the primary language of the workplace and the use of technology for speedy communication, the message was delivered vis email. Explain why these considerations are important. Use information about each audience to support your answer. Knowing what to consider when creating a whole staff communication, ensures that we can send the communication when all employees are present, and not fulfilling other work obligations, to ensure the message is received. The language the letter is written in is critical to fostering communication between management and the employees. As the company does not utilize technology and there is a slight language barrier, the best way to reach the team would be to submit physical letters in both English and Spanish. Knowing what to consider when creating a whole staff communication, ensures that we can send the communication when all employees are present, for company B that will be in the summer as it is when tourists are present. The message’s impact can be increased by considering the timing. Given that the majority of employees understand French, it is important that the message be written in that language. Since not all of the staff speak French, it would beneficial to send a second message in English. Furthermore, the accessibility of
technology across the firm is critical for delivering the message. Adjustments Recommend changes that would make each message more effective for the target audience. Because the company is not as technologically advanced, there are paper alternatives that are considerably more environmentally beneficial such as sugarcane or bamboo paper. Another option to utilize less paper is the use of post cards. Because the company relies on technology, using solar powered electricity to power the computers that send the emails will help make the company more environmentally friendly. Explain why your recommendations would make the message more effective for each audience. Use audience information to support your answer. Due to the firm being used to paper, it makes to keep them using what they know until they are ready to master email. We are simply changing the paper being used, which results in less environmental damage, a message that is promotes by the company. Due to the firm’s technological dependence, solar powered equipment can be utilized to power email communication. Solar energy is renewable resource that helps to reduce greenhouse gas emissions and avoid climate change, which is critical for protecting people, animals and ecosystems. Delivery Method Recommend the best delivery methods for each audience. The best way to deliver the message at this company is through a physical letter, that can be handed out both in person and through the local mail. Face to face meetings are a different technique to conveying the information because this target audience is unable to engage in virtual meetings. The best way to deliver the message at this company is through an email, due to the dependence this business has on technology for marketing and communication.

Using the incorrect instrument may lead to the message being received by an unintended audience. 2. Describe how the content of each targeted message—language, context, tone, and voice—can change the effectiveness of the message. When considering communication, it becomes evident that the content of each message can significantly impact its meaning and effectiveness. Elements such as language, context, tone, and voice play integral roles in conveying information accurately and professionally. Firstly, language choice is crucial as it determines how accessible and easily understandable the message is to the
recipient. Secondly, context provides essential background information that helps the reader or listener interpret the message properly. The tone employed sets the overall mood of the communication, shaping how it is received by others. Lastly, voice refers to a person's unique style of expression which adds personality and authenticity to one's writing or speaking. By diligently considering each aspect of a message's content, professionals can ensure their communication is clear, respectful, and tailored appropriately for maximum impact. 3. Discuss the potential issues that could arise as a result of delivering each targeted message. For example, consider the legal, ethical, or cultural issues. When sending targeted messages, it's important to consider potential legal issues, particularly regarding privacy and data protection. Companies must comply with laws regarding collecting and using personal information. Failure to obtain consent or secure customer data properly can have serious consequences like fines and damage to reputation. Targeted messaging should also adhere to anti-discrimination laws to avoid lawsuits alleging discrimination. Organizations should review and approve their targeted messaging strategies to lessen legal risks related to privacy and discrimination. When delivering targeted messages, it is also important to consider potential cultural issues. In a globalized world, organizations interact regularly with people from diverse cultural backgrounds. Different cultures have distinct values, beliefs, and communication styles, which can lead to misunderstandings or offense. Professionals should adapt their messages to be culturally sensitive and understand the context of their target audience to avoid potential issues and build positive relationships. 4. Share a real-world example of a person or company that adapted a message for a diverse audience. Nike has repeatedly adapted their messaging for a diverse audience. Nike’s efforts in promoting diversity include the Nike Pro Hijab, adaptive activewear, and plus-size athletic wear. Their campaign ‘One day we won’t need this day’ supports International Women’s Day and aims for a future with complete acceptance and equality. 5. Analyze the strategies that were used in the real-world example and discuss whether they were effective. Nike has implemented a range of strategies to foster diversity within its organization. Firstly, the company has established employee resource groups where employees with common backgrounds or interests can come together and collaborate on
initiatives. These groups not only provide employees with a sense of belonging but also have the potential to generate innovative ideas that cater to diverse consumer preferences.
