Communication
The process of sending and receiving messages by written or spoken means, such as speech or oral communication; graphical representations (such as infographics, maps, and charts); signs, signals, and behavior, is known as communication. A more straightforward definition of communication is "the creation and exchange of meaning." In order to respond to each of these questions in a clear and concise manner, I will touch on each scenario individually, analyzing it before outlining the issues, my opinions, and any potential solutions. The first and second scenarios share a common issue in that they both discuss issues with online communication tools like chat rooms and email that aren't specifically related to their jobs. Everyone must understand work etiquette, which states that even though personal information may be included in a message, formal communication at work must always be addressed in a formal manner, especially when speaking with a superior. If it has nothing to do with work, telling someone directly is the best course of action—or safest course of action—that I can recommend. Conversely, the following scenario relates to messaging over the weekend. In this case, I believe it is acceptable to send a message at the weekends if it is urgent and related to work, but not if it is unrelated to work, as previously mentioned. Although it is generally advised
to avoid sending texts on the weekends, it is acceptable in certain situations when there is a pressing need. The last one concerns late virtual meetings, which are typically arranged to accommodate workers who are stationed abroad. The best tactic I can think of is to organize meetings by department or area and facilitate interpersonal communication as a result. However, for those workers who are based abroad, when sending documents, reports, memos, and letters, written communications may be taken into consideration. From what I've seen, virtually every issue has to do with emails, texts, and conferences—

all of which are obviously forms of private electronic communication. In light of this, I believe that, in order to facilitate effective communication, formal communications should, whenever possible, be made orally. Communication Strategies and Tools
Effective communication strategies can be conveyed through conveying you points clearly and concisely
. The way in which you say something affects how your communication is received by others. As a result, the tone of your voice or your written communication should appropriately match what you’re trying to convey. When trying to have effective communication is very important to understand your body language when talking to other people. Body language
is very important skill to have, the wrong messaged could easily be conveyed due to facial expressions, hand gestures or simply body language. We as people sometimes unintentionally give off non-verb cues when communicated and the understanding isn’t understood as a result. When you communicate with others maintaining eye contact and listening to understand versus listening to respond could be a tool you could effectively use. Another great strategy that can be used is understanding and knowing your audience. Knowing your audience involves perspective and thoughtfulness to understand the person you are communicating with. It’s important to understand your delivery. It also helps to focus on what the message is being conveyed and tailor your responses to where that person understands.
Identification of Tools
In this paragraph, I will identify the tools you believe are best for team interaction. Some that have effective are using messaging and team chats through Microsoft teams, or File sharing. When you are using a virtual chat, it allows for teammates to effectively response when they see the message, you are able to communicate with everyone in one setting. If you don’t want to be 3

notified during off hours, you could turn off your notifications. As a team you could identify what tools to use such as file sharing to help compile data in one location that provides a space where everyone could: read, illustrate ideas, review it as a team. You will want to include everyone so information can be flowing. As a team you could decide what to use like the given example above. Once decide on a tool everyone can use and follow, plan out ways and how this should be utilized. Reinforce the plan and use a model reference if need be. Tools should be used
given the following foundation: presence, intention and attention. Strategies for Communication
In this paragraph, you will describe the strategy you would suggest for communication between departments and across geographical sites. Explain your reasoning in terms of communication effectiveness, speed, and employee engagement.
Strategies for communication can be done in a few ways such as: communicating through clear and concise channels, defining the roles and responsibilities of the teammates, encourage that communication is open and feedback is welcomed, actively listening, keeping up with technological advancements, creating goals and expectations to be met and having regular updates or check ins. The strategy for communicating through clear and concise channels is because it allows for the team to know how to communicate with one another and share information and team updates. When you define
roles and responsibilities it ensures for clarity, and everyone has a understanding of what’s expected of them and whom to delegate tasks too. Open communication allows everyone to hear their thoughts and be open and honest about it. It creates a culture of members who feel comfortable freely asking questions and providing feedback. Active listening means that the team members will discuss during meetings and provide feedback to ensure everyone is on the same page. Technology is also an important strategy when communicating because you could 4
utilities video conferencing, messaging apps and project management software to see productivity. Setting clear goals and expectations provide clear timelines and deadlines to ensure everyone is working toward the same objective. And lastly making sure everyone when is getting
updates to stay informed and do status checks to ensure deadlines and expectations are being met
in a timely manner.
Conclusion
In conclusion, I learned from the circumstances that selecting a communication style
varies and depends on the context. Finally, since it is so important, an organization's well-
planned communication flow should always be acknowledged. Because issues and
miscommunication could occur, making it difficult for everyone to work together and for the
organization.
Modulate your tone, gestures, and body language to help your audience perceive
your motives and intentions. Before you send an email, approach a coworker, or walk into a
meeting, take the time to understand the audience and consider how they may feel or react to what
you’re about to communicate to them. 5
