2 Final Paper – Full Sentence Outline A. Thesis: Effective communication is vital in every organization. The way we send and receive messages may vary between companies, people, and positions but the end goal remains the same. We communicate on a daily basis from something as simple as relaying daily goals, providing instructions on tasks, to briefing the company President on statistics. We also communicate while working, when we hold informal conversations with co-workers or send formal emails to section leads requesting time off. That is why to operate successfully my new communication structure must include the following skills: active listening, formal and informal communication, conflict resolution, leadership strategies, and organizational culture. B. First body paragraph topic sentence: Active listening is regarded as one of the most essential interpersonal communication abilities. The act of active listening is more than just hearing, you must minimize distractions and be fully engaged in the conversation. To ensure you are active listening ask questions to ensure you are receiving the information that way the sender intended. 1. Supporting evidence: “While hearing is a physical process, listening requires attention and focus. In addition to acknowledging that the words have been heard, active listening involves reflecting feelings and meanings to show understanding. Ideally, the listener also pays attention to body language, tone, and other nonverbal clues regarding the speaker's message” (Comstock, 2022). 2. Analysis: This information shows how effective active listening is and provides examples of what the listener can do to practice and become proficient at the skill . For
3 example, restating the speaker's statement to ensure you properly heard and understood by also giving them that time to correct any wrong interpretations. C. Second body paragraph topic sentence: There are many types of communication that can be conducted through formal or informal methods. Depending on the topic or person, formal and informal communication are both needed to manage an organization. Formal communication takes place between two or more individuals within an organization discussing official information that is held to a specific protocol. Formal communication can run downward, upward or horizontally. Whereas informal communication is an exchange of information that is based on personal relationships that are not bound by hierarchy rules. 1. Supporting evidence: “Strategic organizational communicators pay attention to both formal and informal channels of communication, learn which organization members perform different network roles, and learn how to utilize the different channels of communication to gain access to relevant, accurate, and timely information. They also develop the ability to share relevant information with others to help accomplish important organizational goals” (Kreps, 2019, ch. 1.5). 2. Analysis: This quote shows the relevance of why both informal and formal communication are needed. It also breaks down how to differentiate between the two. It’s not only important to know what they are but how to utilize them to get the most out of every encounter to successfully navigate professional and personal communications. D. Third body paragraph topic sentence: Conflict resolution is a key relational communication skill. Conflict is an unavoidable part of interpersonal and organizational relationships. This is due to people having different values, goals, morals, ideas, and ways to deal

Unresolved conflict can lead to larger problems that include hurt feelings, rage, resentment, aggression, and have the potential to corrupt personal and professional relationships within an organization. If handled correctly, conflict can strengthen relationships and create a safe space to share interests and build common ground. 1. Supporting evidence: “ Effective interpersonal conflict management involves mediating these differences and disagreements between individuals to develop solutions to problems” (Kreps, 2019, ch. 4.3). In the workplace, conflict typically begins with a situation that is conducive to conflict, but conflict does not have to lead to a dysfunctional workplace. When effective conflict resolution techniques are applied the severity and form of the conflict can be altered to maximize its benefits and minimize its negative consequences of the situation (Wienclaw, 2021). 2. Analysis: This information proves how the effect of conflict depends on how the issue is managed. Conflict is inevitable when you have a group of people who all share many differences and similarities. The key is don’t avoid it, instead utilize the conflict as a learning tool to strengthen connections. E. Fourth body paragraph topic sentence: Leaders are charged with guiding people to ensure they accomplish organizational tasks. In this they have the ability to make or break an organization. To effectively lead people a leader must learn and practice communication strategies. Good leaders possess the ability to adapt their communication strategies to meet the demands of the individuals they are engaging with. 1. Supporting evidence: Good leaders develop good listening skills, effective speaking skills, interpersonal sensitivity, adaptability, and immediacy to effectively lead an
5 organization” (Kreps, 2019). “Strategy and leadership are broad concepts, burdened by many different meanings. For us, strategy is primarily about setting priorities. Leadership, on the other hand, is the practice of mobilizing people to tackle tough challenges and to develop the capacity to adapt and thrive in challenging environments” (Vassolo & Weisz, 2022). 2. Analysis: This information provides context on the importance of leadership strategies and why leadership remains a long-standing concern for organizations. Leadership is often examined from a trait-based perspective, but we need to pay special attention to communication competencies conceptualization of leadership. Leadership is not just defined by physical attributes or personality traits but a toolset of strategic skills to successfully lead people and complete the mission. F. Fifth body paragraph topic sentence: Our culture influences our everyday life including the way we communicate within an organization . The ability to familiarize ourselves with different cultures would improve communication amongst people and help us understand one another on a deeper level. The key to navigating differences is effective communication and listening to understand. 1. Supporting evidence: We must learn about the similarities and differences in other cultures to understand the intentions and actions of different people, this in turn helps us to communicate effectively across cultures (Kreps, 2019). “Experts widely consider that organizational culture is the most important determinant of behavior in organizations. It is also understood as one of the factors that can be managed to improve performance and efficiency” (Mercadal, 2023).
6 2. Analysis: This information will break down how different faiths, ideologies, morals and standards of people within an organization affect the culture. Having a solid understanding of an organization’s culture will help strengthen the overall work environment of the company. G. Conclusion 1. Rephrased thesis: Effective communication is vital in every organization. The way we send and receive messages may vary between companies, people, and positions but the end goal remains the same. Therefore, we must create a new communication structure to operate successfully within the organization. 2. Significance: We will create the best communication structure for an organization by exploring and breaking down the following skills: active listening, formal and informal communication, conflict resolution, leadership strategies, and organizational culture.
