Three-Step Writing Process
With your group, discuss and answer the following items. Review content from Chapter 4 of Business
Communication Today (BCT) and refer to the indicated Learning Objectives (LOs) for each item.
You may use this Word document to fill in your answers.
Each person must upload the completed assignment to the dropbox by the deadline
(Process Assignment 3).
KNOWLEDGE REVIEW
1. Describe the three-step writing process (LO-1).
The three major steps in the writing process are planning, writing, and completing when it comes
to business messages.
2. Explain why it’s important to analyze a communication situation in order to define your purpose
and profile your audience before writing a message (LO-2).
You must create an audience profile prior to writing your message and fine-tuning your purpose.
This is important because you need to be able to utilize the “you” attitude and appeal to the
perception of your audience.
3. Discuss information-gathering options for simple messages, and identify three attributes of
quality information (LO-3).
Gathering information for simple messages includes research and observation that will lead
to accurate, relevant, and credible information.
4. List the factors to consider when choosing the most appropriate medium for a message (LO-4).
You must consider the media richness, which includes each medium's ability to convey the
message and facilitate feedback. You must also consider the formality of the medium, the
urgency of the message, the cost, and audience preference.
5. Explain why good organization is important to both you and your audience, and list the tasks
involved in organizing a message (LO-4).
Organizing your message includes defining your idea, limiting the scope of information, deciding
on an approach and outlining prior to writing. Good organization is important because it
ensures your message is concise and effective while still including all necessary information.
SPECIFIC PURPOSE (LO-2)
For each of the following communication tasks, state a specific purpose (if you have trouble,
try beginning with “I want to
…
”).
6. A report to your boss, the store manager, about the outdated items in the warehouse.
I want to inform my boss about the specific outdated items still located in our
warehouse.
7. A blog post to customers and the news media about your company’s plans to acquire a
competitor.
I want to announce company plans to the public in order to gain attention and traction.
AUDIENCE PROFILE (LO-1)
For each communication task below, write brief answers to three questions:
Who is my audience?
What is my audience’s general attitude toward my subject?
What does my audience need to know?
8. A letter to the property management company responsible for maintaining your office building,
complaining about persistent problems with the heating and air conditioning.
My audience is the property management company. Their general attitude towards my subject
may be resentful or irritated, especially if I have brought it up previously. My audience needs
to know that these problems are persistent and what the specific issues are.
9. A cover letter sent along with your resume to a potential employer.
My audience is the hiring manager at the company of the potential employer. Their general
attitude towards my subject may be mundane or bored if they have to read many of these cover
letters per day. My audience needs to know my skills, strengths, applicable experience, and my
personality.
MESSAGE ORGANIZATION: CHOOSING THE APPROACH (LO-5)
Indicate whether the direct or the indirect approach would be best in each of the following
situations and explain why your choice is the best one.
10. An email message to a car dealer, asking about the availability of a specific make and model of a
car.
A direct approach would be best in order to gather information in a timely fashion. There is no
reason for a buffer since it is regarding a sale and you have no prior relationship with the
audience.
11. An internal blog post explaining that because of high air conditioning costs, the plant
temperature will be held at 78 degrees during the summer.
An indirect approach would be best due to the fact you are delivering bad news. It
would be best to include a buffer and an explanation of why changes are being
made. You also have a prior relationship with the audience and do not want to
damage it by being inconsiderate.
PLANNING: ACCESSING AUDIENCE NEEDS; MEDIA SKILLS: MOBILE (LO-4), CHAPTER 1&4
Using a computer or full-sized tablet, visit the website of any well-known company and
review its “About” or “About Us” page. Identify three ways you would modify this page to
meet the needs of readers accessing it with smartphones (can reference chapter 1 and 4).

Modification 1:
I would rearrange the content so that the history of the company is the first
thing the audience reads. This provides a background and introduction of the company as a
whole before getting into the specifics.
Modification 2:
I would add some form of visual media in order to draw the audience's
attention and provide an image of the company.
Modification 3:
I would shorten the paragraphs or implement bullet points to make it easier to
view on a smartphone.
