Scenario What is it really like to work in a medical office? The responsibilities of a medical administrative assistant (MAA) are influenced by the type of healthcare facility in which they work. Regardless, it is important to both know and understand your duties as a medical administrative assistant since you will be tasked with scheduling appointments, and handling billing, insurance, registration, transcription, and health information, as well as other administrative responsibilities. You are a newly hired medical administrative assistant at BSC Healthcare Facility. As a newly hired MAA on employment probation, your supervisor has scheduled meetings with you to ensure you understand your roles and responsibilities in the healthcare facility. Your supervisor has asked for you to submit deliverables prior to each meeting. In the meetings, your supervisor will review your submissions and provide feedback to ensure you understand your new role in the healthcare facility.
MDAA101 - Portfolio Project Directions and Rubric 2 Requirements and Formatting Directions You will be provided a properly formatted template to use with each deliverable. Continue to use the same template with each deliverable. Deadline Deliverable items for the portfolio project are required at different points during the course. Details for each submission are included below in the Deliverable Descriptions. For each deliverable, you will be adding to the template, so you’ll be submitting the same document throughout the course with each new deliverable added. Deliverable Descriptions Week 2: MAA Job Duties, Law and Ethics Due by the end of Week 2 at 11:59 pm, ET. Your supervisor at BSC Healthcare Facility wants to ensure that you understand your new role and responsibilities as an MAA. For your first meeting with your supervisor, you will need to provide a list and summary of your duties and responsibilities as an MAA. As you are constructing this list, keep in mind that one of your responsibilities is to maintain patient confidentiality and HIPAA standards to ensure a breach does not occur. Your list and summary will also need to define laws/regulations and explain how you intend to uphold them as an MAA. Directions Using the provided template, please complete these tasks: Summarize the job description of a medical administrative assistant (MAA). Please identify and discuss at least four duties/responsibilities of an MAA. Each duty should be explained in at least 50 words. In at least 300 words, complete the following: o Identify three laws/regulations from the list below and summarize the purpose and use of each selected law/regulation. o Describe one way in which each of the laws/regulations that you have chosen is upheld by a MAA in their career. Here is a list of laws/regulations to choose from: False Claims Act Good Samaritan Act Health Insurance Portability and Accountability Act (HIPAA) of 1996 HIPAA Breach Notification Rule HIPAA Privacy Rule HIPAA Transaction and Code Set Standards HIPAA Security Rule Medical Practice Acts Patient’s Bill of Rights Physician Orders for Life-Sustaining Treatment (POLST)
MDAA101 - Portfolio Project Directions and Rubric 3 Respondeat Superior Stark Law/Anti-Kickback Laws Statutory Reports Week 3: MAA Proper Telephone and Triage Technique Due by the end of Week 3 at 11:59 pm, ET. Your supervisor at BSC Healthcare Facility would like to schedule your next progress meeting. Now that you understand your role as an MAA and the importance of upholding patient confidentiality, your supervisor needs to assess your professional communication skills. A medical administrative assistant typically handles all incoming calls to the medical office or offices where they work. It is important that they present a positive attitude while following proper telephone etiquette with each patient and ensuring each patient is properly triaged. Directions Adding to your template, please complete these tasks: Demonstrate proper telephone techniques while maintaining patient confidentiality. Responsibility for managing the telephone traffic in a medical practice is an important matter. If more than one line comes into the office, managing incoming calls can be very challenging. You may be assigned to handle the telephone on a full-time basis as a medical administrative assistant. Your choice of words will have a tremendous impact on patients, and it is important that all telephone conversations are kept confidential. Create a telephone script at least 100 words in length using proper telephone technique steps by selecting one example of the types of calls often fielded by an MAA from the list below. You will begin the script by answering the call within three rings and using a proper greeting. You will end your script by closing the call. Some examples of types of calls you will receive as an MAA include: Patient calls to request an appointment Patient requests a prescription refill Patient asks to talk with physician or nurse because patient is ill or needs some medical information Patient calls with an insurance or billing question Insurance company calls requesting information on a patient Patient calls with a complaint In at least 100 words, demonstrate that you can properly assess the needs of patients that call BSC Healthcare Facility. Each patient must be properly screened to meet their needs. By asking a predetermined sequence of questions (triage), the MAA can determine if the situation is an emergency.
