Hello Everyone, When working through collaborative projects, especially in real-life scenarios, teams must carefully embrace challenges and conflicting views while working towards a common goal. For many, working in teams is awkward and uncomfortable, while many enjoy this dynamic. The great NBA Coach Phil Jackson eloquently stated, "The strength of the team is each individual member. The strength of each member is the team". The potential challenges a new team will face are obvious. To alleviate this, communicating and discussing roles should be first and foremost. This helps build a solid foundation immediately and starts forming the team dynamic. To tackle this, teams should face the task head-on. Conducting an orientation or icebreaker meeting would be an essential first step to the effort's overall success. This session should clarify the overall objective and individual responsibilities and contributions, ensuring that each team member fully understands their role in the project and is invested in achieving the goal. Additionally, implementing scheduled check-ins will further contribute to this accomplishment. The team can have in-person meetings and virtual "tag-ups" or utilize software apps like Microsoft Teams to communicate and collaborate. Creating and implementing a baseline for continued communication allows the team to discuss issues they face, milestone completion, and strengthen their overall team dynamic. For my final project proposal, I am looking to pitch a telecommuting proposal to a large company. Keeping the theme of a collaborative team approach in mind, I envision an organized and strategic approach that maximizes each team member's strengths, fostering an efficient and successful outcome. It would be imperative at the first meeting to ensure all individuals understand their roles (also put their egos in check), the milestones as we approach the deadline, and the proper courtesy to voice questions, comments, or concerns. Tackling this project with five coworkers, I would start by identifying key components such as employee survey review, policy development, IT infrastructure assessment, training, communication plans, and financial analysis. This would lay the foundation for a structured and organized approach. As the individual in charge of the project, I would look to my five teammates to see what efforts they want to take on and assess their qualifications and attitude towards completing the task.
From here, I would advocate for individuals with different skills within our team and take on tasks based on individual and professional strengths. For instance, I would not only be creating the Proposal Report, but I could also assess the IT side of telecommuting and the pros and cons our company may face. Also, knowing I struggle with organization and combining documents into one sound project, I would look to my team for assistance in document control and overall proofing for the best quality product we can produce. Depending on my teammates’ everyday duties, I would look to maximize their knowledge in this effort. If I had a person from the Human Resources department on my team, I might have them read and write reports on the surveys. This would give us sound insight and allow us to look at the legal and ethical approaches we may need to examine. If I had a team member with the company for several years, I may ask them to handle a training plan. Knowing this individual has been with the company for an extended time, they could voice successes and failures they have seen in the organization, ensuring our training plan is successful. Lastly, realizing there are disadvantages to collaboration is essential. Our text states that collaboration takes longer than individual writing, can yield disjointed documents, and can lead to inequitable workloads (Markel, M., & Selber, S. A. 2021). Regular check-ins, open communication, scheduled meetings, and idea exchange are essential for effective collaboration. Nevertheless, issues can still arise. One potential issue that could occur is the varying schedules of the team. As mentioned above, I propose using a collaborative platform (aside from just emailing). This software would support real-time file sharing and seamless communication. This would provide flexibility for the team to communicate on and off duty and even on the go, ensuring maximum potential for engagement. Another possible issue could be document design. While the final goal is the proposal plan, how it will look and be presented is an important factor and something that could cause varying opinions. Here, I would consider teammates' ideas and views; however, I would look to other success stories and follow their proposal's look and style while adding our identity to the final product. This would ensure inclusive collaboration while also adopting a proven technique. Below is a graphic I found that would aid my briefing, giving visual insight into the benefits of telecommuting.
I feel my approach to this cooperative telecommuting project is grounded in solid principles while keeping organization, communication, and inclusiveness at the forefront. Leveraging everyone's strengths, addressing challenges proactively, and incorporating visual aids like charts and pictures will create a solid and successful telecommuting strategy final report. Most importantly, this collaborative effort sets the stage for positive and impactful contributions to our organization's workforce, strengthening the overall work environment.
