Save Documents in Alternative
File Formats
Word has the ability to change a file format for file sharing or to share just a
section of the document. If a document is to be shared, the file should be
exported to an appropriate widely used file format. Sharing a Word document as
a .docx file is not always the best option. A document that is published for the
general public or a commercial printer should have the following qualities:
•
It should not be readily editable.
•
It should preserve accessibility options, such as alternative text.
•
It should not rely on files and fonts that might not be available to the
end-user.
•
It should preserve hyperlinks and be searchable.
•
It should not require the end-user to purchase a special viewing program.
PDF is a standard document format used for website documents. PDF files
preserve the formatting and layout of the pages of a Word document and are
always viewable using free software, such as web browsers or Adobe Reader. If you are viewing this workbook on a
computer, you are viewing a PDF file.
There are three ways to create a PDF file using Word:
•
Click the File tab, click Export, and then click Create PDF/XPS Document. This is the only way to access the Publish
as PDF or XPS dialog box, which gives you the most control over the PDF export options.
•
Click the File tab, click Export, and then click Create Adobe PDF. This is the same as clicking Save as Adobe PDF
after clicking the File tab. This will bring up the Save Adobe PDF File As dialog box.
•
If you have installed Adobe Acrobat or other PDF creation software, click the File tab, click Print, and select the
PDF creator as the printer.
Purpose
Upon completing this project, you will know the options available when converting a document to a PDF file and be able
to save a file as a PDF document.
Steps for Completion
1.
Open the .docx file named

in the Student folder using the standard settings.

Modify Basic Document
Properties
You can see Word’s Backstage view by clicking the File tab. The Properties area
found on the Info pane of Backstage view will allow you to add metadata to the
document. Metadata describes information found in the document and is used to
make information searchable. When dealing with a lot of documents and
information, setting metadata can save hours of research time.
Purpose
Upon completing this project, you will know where to add metadata and how to
find other document property information.
Steps for Completion

Open the .docx file named

Print pane in Backstage view. In previous versions of Office, a Print dialog box was

Share Documents Electronically
