What actions should Barbara and Bill take to educate staff on proper privacy and security protocols regarding protected health information (PHI)? Barbara and Bill should take action by educating their staff members on HIPPA in monthly training sessions as reminders on the subject of PHI. With these reminders, staff members would be more willing to pay attention to their surroundings. Bill mentioned in the video that having penalties is a good idea because now departments would be on the lookout for potential PHIs, but also having rewards would be beneficial. 2. In the patient care areas, why would it be important to improve physical safeguards such as fax machine and computer monitor placement? It is important to improve physical safeguards such as fax machines and computer monitor placements for records of patients that would be exposed to the public, especially if they are placed in public areas such as a waiting room. For instance, papers from fax machines can fall and be out in the open. 3. The HIM department is a leader in providing continual education to their staff on privacy policies and procedures. How can Barbara work with clinical areas to ensure sufficient training is provided to each department’s staff? Barbara can discuss this with each department's staff leader in a meeting so they can develop a way to provide education and training for the staff members who work under them. If all department heads cannot meet, then an email can be blasted out to them pertaining to what was discussed in the meeting and how training would be conducted for each department. 4. Why do you think it is a good idea to perform audits, such as the one Barbara completed, on a regular basis? Do you think the audits should always be unannounced, or would periodic announced scheduled audits also be beneficial? Performing audits on a regular basis would help the staff stay on top of HIPAA regulations. This way, the company can see if staff members are interested in patient confidentiality or if it seems like another bother, especially if corrected. I think audits should be both for not only staff members to keep on their toes but also, they know when to expect them, basically except the unexpected in a sense. Hopefully, staff members will be able to keep the HIPPA regulations to protect patients.
