I see that after reviewing the data you still have some questions regarding the importance and usefulness of the data to the staff, which I
will be more than happy to answer for you. that am Crystal Hancock (Human Resources Director) and it has been brought to my attention that there was a need for a friendly reminder to be sent regarding the ethical guidelines at our facility. These guidelines (being 6 of them) were mentioned in each employee handbook but I will reiterate each of them as a friendly reminder. As stated before, this is just a friendly reminder to ALL employees and is not sought out to bring attention to any one person or persons
in the facility. The first ethical guideline that was brought to my attention was dress code. Our dress code for our facility is a business casual dress code. Anything other than business casual should not be worn including the following items: jeans, shorts, sneakers, t-shirts, tights or leggings, or any type of spaghetti strap shirt. Secondly, attendance was also brought to my attention. Each employee should be on time for their shift each and every day. As we all know “life” happens and unscheduled circumstances occur which is why we have implemented a 7 minute grace period allowing for those circumstances. In the event that you should exceed that timeline a call should be made to your immediate supervisor regarding the issue. Each employee is also allowed
3 occurrences on their attendance before any formal disciplinary action is brought forth. The last ethical guideline that was brought to my attention was sexual harassment. We have a ZERO tolerance for any type of sexual harassment within our facility. We want each and every
employee that we have working at Matrix Technologies Corporation to feel as comfortable and safe as possible when walking through the doors of our facility. If anyone is found to have committed any type of sexual harassment any and all actions will be taken leading up to termination. Now the remaining three ethical guidelines have not been brought to my attention but I will list them also as a friendly reminder and informational purposes. Our vacation policy was set in place to allow everyone to take some time off of work (Everyone needs a break every now and then), but if you do not have vacation time please do not put in for any days off until you accumulate that time, as you will not be paid for those days off and an occurrence will be issued in the place of your absence. The next guideline, being discrimination, is also a serious issue as we are a diverse organization and will continue to strive to be as diverse as possible. Any type of discrimination within the workplace will be handled just as a sexual harassment case with a ZERO tolerance and if you are found to have demonstrated any type of discrimination you are subject to all actions leading up to termination. Lastly, drug use and alcohol use are not allowed on the premises AT ANY TIME, and if you are found to be in possession of these items on company grounds immediate termination will follow. If you smoke (cigarettes, cigars, including dip, etc…) you must ensure that you are at least 20 feet from company grounds before proceeding due to the fact that we are a smoke- free facility and anyone found violating this guideline will be subject to any and all actions leading up to termination after the third warning. I know this email may be a little lengthy but it is done with the upmost importance as we as a company would like each and every person to enjoy working at Matrix Technologies Corporation. We want to make this an enjoyable working environment, but also must ensure that each individual working here feel as though they are comfortable in the environment they are working in and this is why we have these ethical guidelines set in place. This email that I have composed is a technical email due to the fact that I am relaying information to everyone in the organization regarding ethical guidelines. The different parts of an audience are those individuals who help to make decisions and those who being informed about any decision being made. I ensured that those the information that was brought to my attention was addressed first allowing those who brought the information to my attention know that I was listening as Human Resources Director. I also informed each employee that the email was sent to everyone and that no fingers were being pointed at any one person or persons. References
