A common piece of advice about writing a "bad news message" is to use the indirect approach: use buffers before the reader gets the negative news. The article, "Buffers in bad news messages and recipient perceptions," claims that there is no empirical proof to support using the indirect approach with bad news.
Read the article, especially the section titled "Significant findings and their implications,"
then
1.
write a bad news message using the strategy that Limaye suggests;
2.
reflect on how this approach is similar or different to other "bad news messages" that you have read or received.
Which type of "bad news message" do you prefer? Why?
Dear applicant, Thank you very much for your interest in working with our company. As provided in the Job Announcement, our company requires you to submit to an Employment Screening. As previously notified the Employment Screening process obtains information pertaining to a Job Applicant, which may include but is not limited to: personal, educational and employment information, driver’s licenses records and Commercial Driver’s License (“CDL”) endorsement records, criminal background records, and any other type of licensing or certification verification
pertaining to the job applicant. During the Employment Screening process, it was found that you
do not meet minimum qualifications for the posted position at this time. Each applicant is required to have a Class A Commercial Driver’s License with no required endorsements, our records indicate that you hold a Class B License. We currently have several Trainee Positions which do not require a Class A Commercial Driver’s License or endorsements. Please refer back to our Jobs Link to apply. I thank you for your time, and interest in working for our company.
Sincerely,
Hiring Manager
Class,
I have had to write many rejection letters regarding under qualified applicants in my professional
life. They all follow a prescribed template of informational quality. My hope is that I answer any questions the individual may have concerning the rejection to reduce confusion or a submission to the State Board. Typically, I do not see an alternative solution addressed in rejection letters as suggested by Limaye (1998) Offering alternatives gives the reader direction regarding next steps they can take. It follows along the lines of being informational and adds value for the reader. I personally have received notices from my bank of suspected fraudulent charges, these type of notices usually have alternatives or directions on the next step one can take if charges are not theirs. In my career I have been told that when giving a review or feedback should the feedback have a negative connotation I should apply the sandwich feedback technique which consist of praise, Bad news, and more praise. I have never followed this technique, personally I find it to be
a disingenuous approach. Appelo (2015) of Forbes points out that it is quite recognizable by employees and in time the manager’s compliments would be seen as meaningless from peers and
subordinates. The suggested approach of getting to the nitty gritty and follow-up with helpful alternatives is straight forward and informative. Reference
