1 Option #1 Project Management Simulation #1 Grace Hilderman Colorado State Global PJM 380: Project Management Tools Dr. Shah April 16, 2023
2 Introduction My current role is a senior project manager at Delphi Printers & Peripherals. The senior managers whom I report to focus their attention on creating and leading a production design team to create a brand-new, innovative consumer printer. Delphi Printers & Peripherals currently has information that a rival company is also seeking to launch a printer with similar features to our printers. This means that the project timeline or schedule will need new permits to help promote our printer as the current timeline we are under is six months. Therefore, promotion will need to be executed to a high standard. The schedule, scope, and cost for this project must be done carefully as the potential access it has throughout the entire project cannot be understated. Schedule To begin, the timeline (schedule) set for this project to be completed by is 18 weeks to be completed with Level 2 (the wireless printer). An adjustment I made was saving about two weeks and reducing the schedule completion to 16 weeks. Although the time stress was difficult for my team, I viewed the risk of a shorter timeline would pay off in the end of the simulation being completed. As an outcome I felt would help Delphi Printers & Peripherals since our competitors could also be facing a similar timeline and I did not want to be caught being behind. Staying on and potentially ahead of schedule would establish our schedule and possibly surpass it by a few weeks like we achieved. “All workers should recognize the project aspects of their work and how the tools and techniques of integrated cost and schedule control can help them in accomplishing that work” ( Kuehn, 2010).
3 Scope Furthermore, as mentioned previously, senior management set the scope in regards the project (Level 2). Although the targeted scope for the higher speed printers (Level 3) would be able to compete with our competitors. Utilizing information about our competitors began to give us a market advantage. “In addition, throughout a project’s lifecycle, the project manager must continuously identify, assess, and manage the impacts of changes, answering the question, “If this change occurs, what impact will it have on the project scope, schedule, budget, and requirements?” (Weinstein, 2013) . Thus, the target for how many printers were supposed to be launched was understood throughout our company. Resource Since the $42,500 project budget for the Level 2 wireless printer was specified by management. Due to the multifunction printer's increased complexity, the budget went up to $50,000 when I switched the project. I may choose from a pool of people with a range of skill sets to build my team. In order to help the team, minimize some of the time-consuming activities, I also have access to a business that I may use for outsourcing. The resources available from those working on the team the best decision will be made. What If Assessment Moreover, I often found myself wondering if I was given the opportunity to do the simulation again what would I do differently know the outcomes. When I first did the simulation, I did not quite understand how vital the budget is and how to properly distribute it. As a result, I thought

4 what if I reduce the number of individuals working on the project. Given the higher skill level those I was working with had I ultimately reduced those working on the project from four to three. This was slightly successful as my costs dropped however, this was still not up to my standard and I yet again had to reevaluate my plan to accommodate the budget. The next attempt I had I thought I would learn from my previous two attempts and keep the number of team members working on the budget to a minimum of two as this would allocate for a higher skill level. Hindsight is always important to keep in mind as this was detrimental not only to the pressure I imposed on my team, but I was behind schedule and as result, under budget. Lessons Learned Equally important, one lesson I learned in completing this simulation is how important each decision is. In my initial attempt I had four medium skilled members of my team. One benefit of this was tasks were not only completed but they were progressing at a rapid rate quicker than I originally anticipated. As a result, I got greedy and made the decision to cut the number of teams from four to two. This turned out to be a poor decision as I quickly fell behind, thus the original schedule of the project was quickly shifted causing many delays. The following week I thought I would learn my lesson from the previous week. I figured if I altered the knowledge level to help get myself back on schedule but the cost for the team members with a higher skill ended up putting me over budget. “Although some projects do come in ahead of their estimates, by far the more common outcome is that projects tend to be late and over budget. There’s a general bias toward optimism in the estimating process. People tend to over- estimate how productive they are likely to be, underestimate the number of interruptions and distractions, and fail to account for emergencies” (Dobson, 2015).
5 Summary of Simulation Additionally, once I altered my approach, I was able to accurately outsource the different primary tasks to those on my team. I viewed from previous experiences when I did not outsource tasks this was when I began to go over budget as I was not utilizing those, I had on my team properly. Not only did I waste my time but the resources I could have used to help reduce costs overall, saving myself more time. When I took days off in between completing the simulation the progress I lost proved to be drastic as I forgot what I was doing the prior day. One positive I thought I achieved in this simulation was constructing during some of the weeks. This allowed for meetings to be constructed so everyone could be on the same page. Communication was key as everyone could make sure the same goal was in mind and this would help the team first mentality that I wanted to create. Conclusion To conclude, one aspect I wish was included in this simulation so I could have had the opportunity to improve my score was feedback so I could learn from my mistakes. I felt like I was often trying to teach myself how to do the simulation although it was nice having some information so I could understand what some of the tasks were in different parts of the simulation. Overall, I wished at times I would have had more information to consider as I believe that would have helped me improve my score in the end.
