1 Community Care Application: Communication and Group Dynamics Yasmine Kanan Bachelor’s in healthcare administration, Grand Canyon University HCA 455 Professor Delio
2 Introduction Healthcare is always evolving and will continue to evolve as time passes and technological advancement continue to grow and expand, and with that effective communication methods is imperative for both employees and leaders in the workplace to comprehend and utilize effective organizational methods. When reviewing this community care application, it is apparent that the healthcare leader is facing challenges regarding effectively meeting with his team and communicating with his subordinates. In this essay barriers will be identified that are taking a toll on necessary meetings, outline best methods regarding communication processes, proper group structure along with analyzing the group while using Stages of Group Development. Interference Barriers During the scenario there were areas that need some more work to be effective this includes unnecessary interruptions. For example, the leader met with his group four different times and the lack of focus effected their common goal. This can be because of the different personalities amongst the group. For example, John is categorized as a bully and was the first one to mention his opinion prior to the meeting. His behavior disgruntled the leader and when he tried to redirect the conversation John displayed insubordination. In addition, another member named Sally disregarded the meeting and brought up the idea that an employee’s birthday was involved, and a celebration was necessary instead of focusing on the effectiveness of the meeting. Both these events contribute to the lack of respect and communication targeted at the leader. Another event that represents lack of communication is when Lucia, another employee, had certain opinions when attending the meeting however failed to voice her opinions which is a disadvantage for both her and the group. This may have been because she felt intimated from one
3 of her group members which is also another instance of a lack of comfortability in the workplace. Therefore, the lack of respect and communication is what played a huge part in the ineffectiveness of the meeting. Methods for an Effective Meeting For an effective meeting the leader should have a strong understanding of who their audience is and accommodate to them to grasp their attention and help convince them of the common goal. It is vital for leaders to comprehend group dynamics as the healthcare field is stressing the use of group and teams (Borkowski& Meese, 2020). At the beginning of a meeting the leader should have planned and thought out assigned roles and responsibilities to the members of the group and common ground rules should be created and expressed. For example, explaining what tolerable and not tolerable behavior can pull in more focus from the audience and avoid interruptions or lack of professionalism. Some events that occurred in this group meeting held by the leader is when John spoke out of turn, displaying a code of conduct and ground rules. This may have deterred him away from speaking out and displaying unprofessional behavior. Another instance is when Sally pulled focus away from the meeting by celebrating a birthday rather than waiting until the end. One way to avoid this in the future would be to explain the rules and ask that celebrations occur after the meeting to maintain professionalism. The leader should have displayed a more authoritative approach towards this employee. Lastly, the leader should have expressed the open-door policy prior to the meeting and explained that any suggestion is open for discussion that way Lucia did not feel uncomfortable and could have voiced her opinion. All these factors would have helped a well-rounded discussion take place in this group setting. The reinforcement theory states that a person’s behavior can be swerved through positive or negative reinforcement (Borkowski& Meese,2020).

4 Communication Processes and Strategies to Improve Group Dynamics In a group setting it is important that members regularly meet up to discuss any objectives to strengthen the organization that can be initiated by group check ins that can relieve argumentative topics, tensions built up, or disagreements that may surface which is a healthy practice in the workplace where a team must cohesively work together. Creating an agenda may also help the group focus on achievable and realistic goals and avoid lengthy meeting where unnecessary topics are brought to the surface; this can cause any side tracking or off topics. According to Chou and Cooley, productive feedback is important for establishing relationships, personal improvement, and professional development (Chou & Cooley, 2018). In addition, feedback is important for the evolution of a group setting and for everyone to work cohesively as one unit. In this scenario, improvements can be made amongst this group, and it can start by organization, assigning roles and responsibilities based on each group members strong skills and attributes. Separating the group in task, maintenance, and individual roles better known as the Functional Role Theory (Borkowski& Meese, 2020). Some examples in this scenario is the idea that maybe John works better alone or a singular role, Sally can be in a maintenance role where she is able to solely focus on relationships, and Lucia can be awarded a task role where she can focus on a subject. If each of them can succeed in their own assigned roles where they excel it will be more beneficial to the organization. Applying Stages of Development Groups experience five stages of development including: forming, storming, norming, performing, and adjourning. Groups works through problems by facing their conflicts (Borkowski& Meese, 2020). In this scenario, the group will highly benefit by incorporating these five stages in the success of their organization and careers. This can lower any feelings of
5 intimidation and will allow more time to discuss the objectives and tasks of the common goal in the workplace. Establishing a group identity and recognizing the individuality of the group members is imperative and beneficial to understanding each group member and the group. Some failed attempts amongst this group are the fact that more than one group meeting had to be held because the patient problem was not investigated and resolved in a timely manner. Order and organization must be met for success in a group setting and the workplace. Conclusion Thus, there are many problem areas in this scenario and plenty of room for growth. It is the leader’s responsibility to seek group members strengths and utilize them for the success of the individual and the organizations. Recognizing this and utilizing the theories previously mentioned will be an all-around win for every member.
