C205 Task 2 – Leading Teams Francis Caballero Western Governors University Jennifer Garland
A. TEAM CHARTER Attached file labeled C205 Team Charter B. TEAM MULTIMEDIA PRESENTATION Attached file labeled C205 Task 2 Presentation C1. ROLE FUNCTIONS My team members were Christopher Trejo, Denise Williams, Darien O'Neal, and myself. Christopher was the team leader and his role was to provide delegation. He was also responsible for identifying a significant teamwork problem. Denise was the facilitator of the group and her role was to provide a communication platform, in this case, we utilized Zoom meetings. Denise was also responsible for analyzing the problem, including the causes and effects of the problem. Darien was the team note taker and timekeeper, his role was to update the meeting agenda eliminating constraints and time management. Darien was also responsible for identifying five best practices of high-performing teams. I was the team presentation compiler tasked with organizing the presentation. C1A. TEAM MEMBER STRENGTHS One team member, Darien, had a significant impact on the team due to his professional experience in producing presentation material. By leveraging his strength, our team was able to create a visually appealing presentation that surpassed what we could have achieved if all four of us had tried merging our parts. Darein's expertise resulted in a more cohesive and professional-looking presentation, as it maintained a uniform style throughout. Additionally, thanks to his proficiency in the program, we were able to compile all the information faster, benefiting from his extensive experience working with it. C1B. TEAM MEMBER WEAKNESS
One weakness that the team had was internet connectivity issues. The Zoom meeting video would occasionally freeze. I constantly faced this issue due to my internet service constantly disconnecting me from the team meeting. This was the biggest weakness that I, unfortunately, brought to the group. C1B1. WEAKNESS MITIGATION One way to mitigate this weakness other than my team members patiently waiting until I was able to log back on was to utilize other methods of communication. We were able to share and work in real-time through Google Share. To minimize the need to schedule Zoom meetings the team utilized a team email group to stay updated with team progress. This was especially effective as everyone was in different time zones. C2. TEAM COMMUNICATION The team communicated utilizing Zoom video meetings, Google Drive, and email. As a team, we scheduled three Zoom meetings to cover larger topics and used Google Drive share to view and edit documents in real-time. In between scheduled Zoom meetings, the team would communicate by email to provide updates. C2A. INDIVIDUAL FEEDBACK AND COMMUNICATION The team solicited individual feedback and communicated in multiple ways. The team used email as the main point of contact to schedule our video meetings. Zoom meetings were used to discuss topics and work on documents using Google Drive to share and edit. When a team member completed work outside of our Zoom meetings they would send an email to inform team members that they have edited the document so others can review the changes. C3. TEAM BUILT COLLABORATION

The team built collaboration by defining team expectations and steps needed to achieve our overall goal. We set an initial Zoom meeting to discuss a schedule, roles, and individual responsibilities. The team also built collaboration by discussing personal experiences and voting on topics that should be included in the project. Every team member approached the project with an open mind and was encouraged to share different ideas. C4. MANAGING TEAM CONFLICTS During this project the team did not encounter any conflicts, the team worked well together to achieve its goal. It was discussed at our initial meeting that if the team were to face a conflict the decision would be made by team majority vote. If the vote did not resolve the issue it would be left to the team leader to make a decision. Fortunately, the team was able to make all decisions by majority vote. C5. DECISION MAKING PROCESS The team's decision-making process started off discussing individual strengths and if any individual team member wanted to volunteer for a specific role, it was then voted on by the group if they agreed to assign them that role. The group vote was the main form of decision-making throughout the project. The team would discuss possible topics and then vote on which they felt would be the best option. C6. STAGES OF TEAM DEVELOPMENT According to Tuckman's model, there are four stages of team development: forming, storming, norming, and performing. Our team project demonstrated these stages by first identifying and assigning roles for each team member, which was the forming stage. This allowed us to establish dependency relationships, as noted by Tuckman (1965).
We then moved onto the storming stage, which involved everyone working on their assigned responsibilities and providing regular updates. This stage played a critical role in the norming stage, allowing for conflicts to be overcome and effective communication to be established. Once our team had established efficient communication channels, our team cohesiveness became stronger. As new standards evolved and new roles were adopted, we entered the performing stage. During this stage, we became an ever-evolving team that assisted each other outside of our originally determined roles. We all took it upon ourselves to help each other research and develop our portions of the presentation. Everyone took an active approach to ensure our task was completed on time. In summary, following Tuckman's model, we were able to navigate through the four stages of team development and complete our project. C7. POWER BASES AND INFLUENCE TO ACHIEVE TEAM OBJECTIVES Within our team, several power bases were evident. The first power base observed was the informational power base, utilized by our leader. This power base was employed to provide guidance on different topics and to justify why specific assignments should be given to particular individuals. The next power base that was apparent was the reward power base. Our leader emphasized the importance of completing tasks according to the timeline, to efficiently finish the project and allocate more time to other assignments. Expert power base was utilized by team members when determining each member's role and selecting their portion of the presentation. This power was exercised to assign tasks based on individual expertise, ensuring that the project could be completed with minimal rework. By recognizing and utilizing these different power bases, our team was able to effectively allocate tasks, complete the project efficiently, and leverage our collective expertise. C8. TEAM STRENGTHS AND WEAKNESSES Two strengths were that the team had each individual's professional expertise and each team member's willingness to help each other out to complete the project outside of their assigned roles and
responsibility. Each member volunteered their expertise to take on responsivities that they were familiar with. This strengthened the overall performance of the group. Our team members also ensured to stay on schedule and achieved this by offering to assist other team members with completing their responsibilities. An example of this is Darien volunteering to take on the task of completing the final power point presentation. Two weaknesses that our team had were communication issues and technology issues. Though everything was completed on schedule, an individual could be delayed by waiting for a response to a question via email. Each team member was in different time zones and had conflicting life responsibilities that could delay a response. The second weakness is technology issues, this was evident during our video calls freezing or being disconnected due to unreliable internet connection. C8A. IMPROVING OVERALL PERFORMANCE One way the team could have improved overall performance is to have validated internet reliability by testing the connection before the call or by attending the meeting at a location that provides a stable internet connection. The second way the team could have improved overall performance is by making sure to address all topics regarding a specific responsibility during the scheduled team meetings to avoid the delay of waiting for a team member to respond via email. C8A1. Improvement Justification Any delay in a project could cause a significant issue, in this case, the project was completed within the timeline but could have easily been completed earlier if all questions and concerns regarding individual responsibilities were addressed during the team meeting. This would prevent an individual from waiting to complete their task. It is also essential to make sure there are no technological barriers that may prevent effective communication.
