Activity 3: Participate in collaborative processes Activity context: The management wants you to collaborate with the HR team members and: Occasion 1: Developing ideas for launching a green campaign Occasion 2: Brainstorm ideas for developing a staff development program Develop ideas for launching a green campaign The management wants to launch a ‘Green Campaign’. They want the HR team to gather, discuss, and debate the green campaign ideas. The green campaign will be focused on making the office eco-friendly and efficient. The green campaign should be focused on: Starting a sustainability team to raise awareness Creating monthly green challenges Opting for sustainable products Adopting a “Double-sided paper” policy Reducing electricity usage Brainstorm ideas for developing a staff development program The management wants to have a staff development program that helps staff develop their skills, knowledge and aptitudes necessary to make a more effective contribution to the organisation and instils within them a sense of recognition, achievement and job satisfaction. They want the HR team to gather, discuss, and debate innovative ideas for staff development. The green campaign will be focused on making the office eco-friendly and efficient. The management wants you to collaborate in the following creative processes with the team members to develop the programs specified above: Six Thinking Hats: Developing ideas for launching a green campaign Brainstorming: Developing a staff development program Description of the activity: This activity requires you to participate in and contribute to the following collaborative creative processes in a way that generates, expands and develops ideas into a well-conceived solution. Occasion 1 - Six Thinking Hats: Developing ideas for launching a green campaign Occasion 2 – Brainstorm ideas for developing a staff development program For each occasion, you will collaborate with the HR team members and follow the processes given below. The team members will be the same who participated in Activity 2.
Occasion 1 - Six Thinking Hats: Developing ideas for launching a green campaign For occasion 1, you will role-play with the HR team members to develop ideas for launching a green campaign. The green campaign should be focused on: Starting a sustainability team to raise awareness Creating monthly green challenges Opting for sustainable products Adopting a “Double-sided paper” policy Reducing electricity usage For Occasion 1, there will be six (6) different coloured hats. You will wear a “Green Hat”. Each team member will put on a different colour hat and discuss ideas or put forward questions. The HR Manager (trainer/assessor) will take on “White Hat”. The trainer/assessor will further allocate different coloured hats to the HR team members. The trainer/assessor must ensure that the HR team members are clear about their roles before the discussion. Following are the different coloured hats and their roles: Hats Roles White hat: Facts Looking at the situation objectively The white hat will focus on current information and discuss further information requirements. Green Hat: Creativity Looking at the situation creatively The green hat will represent creative thinking and the generation of new ideas. The Green Hat will put forward proposals, suggestions or ideas. Yellow Hat: Benefits Looking at the situation positively The yellow hat will look for benefits and encourages a positive way of thinking even for people who are always critical. Black Hat: Risks Looking at the situation negatively The black hat relates to caution and is used for critical judgement. The black hat will focus on preventing mistakes. Blue Hat: Process This blue hat will ask for summaries, conclusions and decisions. The blue hat will manage the thinking process, allowing for better synergy between the other thinking
hats’ thought patterns and habits. Red Hat: Feelings Looking at the situation emotionally The red hat will look at the situation with feeling, intuition and emotion. It will allow people to put forward feelings without justification or prejudice. Before the discussion, you must conduct online research and gather ideas for launching a green program. When conducting the discussion on launching the green campaign, you must: Discuss and debate ideas for launching a green campaign, including: o Starting a sustainability team to raise awareness o Creating monthly green challenges o Opting for sustainable products o Adopting a “Double-sided paper” policy o Reducing electricity usage Assess and answer the questions from different team members Provide constructive feedback on the ideas of the team members Support team members to meet task requirements After conducting the discussion on launching the green campaign, you must: Complete ‘Template 3’. You will be assessed based on your skills and abilities to: Present ideas clearly using language and features suitable to diverse audiences Use listening and questioning techniques to elicit the views and opinions of HR team members and to confirm understanding Actively identify the requirements of important communication exchanges, selecting appropriate channel, format, tone and content to suit purpose and audience Establish connections and build genuine understanding with a diverse range of people Respond to and use diverse perspectives to enrich the creative process Contribute to creating a climate where people feel comfortable to suggest, explore, adapt and adopt new ideas as a regular part of work-life

Following discussion, it was decided that the best course of action would be to form a team out of current employees with a knowledgeable leader in place. Creating monthly green challenges At this point, strategies for getting people fully on board with the program and for making the change process more appealing and less stressful for teams without overwhelming them with unexpected changes were considered. Opting for sustainable products At this point, it was discussed which suppliers to take into account for a better cost-benefit analysis. Additionally, it was discussed which goods ought to be on the exchange list and how this modification could be carried out without incident. Adopting a “Double-sided paper” policy It was debated whether this requirement should be covered by an already-existing organizational policy or if a new policy would be preferable. Following discussion, it was determined that the ideal course of action would be to create a new policy that takes into account not only this requirement but also others connected to the sustainability program that will be created.
