Introduction
Collaboration has become increasingly important in our daily work and school life, given
the current state of the world. With online schooling and global companies, collaborative tools
have played a significant role. For instance, Zoom allows us to conduct face-to-face meetings
effortlessly using our smartphones or computers. In this assignment, I will discuss Evernote and
its’ IT infrastructure. Furthermore, I will examine a past team project and explore how the
implementation of a collaborative tool could have improved the overall efficiency of the process.
Hardware
Hardware is the physical equipment that makes up the infrastructure like servers, routers,
and switches. When Evernote was created, they maintained and configured its’ own servers and
networks (McCormack, 2017). They had the infrastructure to maintain the program, but in order
to be faster and flexible, they needed something better. In 2017, they decided to go with Google
Cloud to provide their data infrastructure. Evernote successfully transferred over 3.5 petabytes of
data to Google Cloud within a timeframe of just 70 days. This migration originally was estimated
to take 9-12 months. This showcased the efficiency of Google Cloud services (Google, n.d.).
Software
The building block to Evernote is The Shard. This is how Evernote securely stores and
manages user notes.. A single shard has the capacity to accommodate over 300,000 users of
Evernote. (Evernote, 2017). A shard contains a front-end web service layer that users connect to,
a data storage layer, and a search index. Of the 762 shard they have, they manage 200 million
user accounts and about 5 billion user notes. With all this data to manage, this could be the
reason they made the switch over to a bigger, more reliable cloud hosting service.

Communication
Systems
In IT, communication is the transfer of information. The communication process includes
the sender, message, and receiver. As previously mentioned, Evernote transitioned from utilizing
their own servers to utilizing the services provided by Google Cloud. Google Cloud uses remote
servers to save data (Google, n.d.). The notes that users save on Evernote are saved on a physical
server by Google. The speed of sending and receiving data can vary depending on the volume of
traffic on the cloud.
Data
Resources
Data resources represents all the data that is available (Geekinterview, 2008). To enable access to
a user's account data, Evernote utilizes the Cloud API (Application Programming Interface).
Evernote data can be exclusively stored on your local machine. Upon creating a notebook, you
are presented with the choice of creating either a local notebook or a synchronized notebook
(Hyatt, 2011).
People
When it comes to collaboration, the biggest thing is the people in the team. With
Evernote, people can work on the same document. This reduces the possibility of duplicate files.
Evernote allows users to neatly store documents without endlessly digging through files or
folders. In previous group projects, I have encountered situations where the integration of a
digital collaboration tool would have greatly enhanced both the efficiency and effectiveness of
our collective efforts. In the Air Force, I attended a Non-Commissioned Officer Academy and
my group was tasked to create a PowerPoint presentation to deliver to the class. Meeting face to
face was great because we were able to provide ideas and give feedback instantly. We would

have benefitted from a collaboration tool by having our PowerPoint file in a central location.
Without the tool, we were forced to have one person create the slides while everyone else
provided the information to them.
Conclusion
With the advancement of online schooling and the expansion of global companies,
collaborative tools have become vital for effective communication and teamwork. Notably,
programs have revolutionized face-to-face meetings by enabling them to occur conveniently
through smartphones and computers. The focus of this assignment has been on Evernote and its’
role in facilitating collaboration. Additionally, the paper has explored a past team project and
highlighted how collaborative tools could have been instrumental in successfully completing the
PowerPoint presentation. As we continue to embrace technology and collaboration, it is evident
that collaboration will remain a key aspect of productivity and success in our life.
