2 Managing Poor Communication in the Workplace Efficient communication is essential for the success of a business. Nowadays, many organizations have experienced the negative impacts of poor communication in the workplace. The lack of communication, when not properly identified and improved can create certain effects such as low productivity, internal conflict, low morale, and even loss of revenue. Studies demonstrate the importance of clear communication and how it should be practiced through effective management. Efficient and clear communication is vital for an organization because it promotes the success of the company and its stakeholders, it also increases productivity and team collaboration which leads to job satisfaction. Good communication in the workplace can be a challenge, however, it can be improved with specific management strategies. The purpose of this study is to promote awareness of the importance of efficient communication in the workplace. Academic studies appoint that communication is necessary for the development of tasks and productivity at work. Communicating efficiently decreases the occurrences of misunderstandings and conflicts at work, also, it promotes teamwork and strengths relationships between coworkers, which leads to morale boosts. Also, organizations that encourage openness and easy communication between superiors and subordinates tend to face lesser employee turnover. If the work environment is friendly where the subordinates are encouraged to communicate their ideas to their administrators regarding work-related issues, and their feedback is given due consideration, it motivates the employees to work better and makes them feel valued in the organization. “Thus, effective communication in the workplace helps in building loyalty and trust which eventually attributes to greater job satisfaction.” (Adu-Oppong & Agyin- Birikorang, 2014). Clear communication can also prevent and solve many conflicts between coworkers, which promotes personal and professional growth. Effective communication in the
3 workplace is vital because every administrative function involves direct or indirect communication, that is why communication skills need to be developed and constantly practiced in the professional environment. Therefore, when a lack of communication is existent in the workplace, several negative impacts can occur, which should not be ignored by leaders and managers. To ensure the work goes smoothly, communication is the vital key in achieving it. (Amilia Md Yusof, A., & Rahmat, N., 2020). For example, poor communication not only results in conflicts between managers and employees but also can lead to many other serious workplace issues, such as low employee morale, poor job performance, and the loss of revenue. According to the Society of Human Resource Management study “The Cost of Poor Communications”, the average loss associated with poor communication in the workplace was $62.4 million per year. (Grossman, 2011). Several ways can impede the communication process to happen effectively, for example, communication barriers, which affect all individuals of an organization. There are many existent communication barriers in the workplace, such as language barriers, this is another factor that should be considered. It is important to be aware that some individuals may have different cultural backgrounds. Every managerial function or activity involves communication. Consequently, communication is more than simply talking, writing, reading, and listening (Radovic, M. & Omolaja, M., (2009). Managing communication in an organization requires more than understanding the basic processes of communication, in fact, managers must influence and encourage employees to communicate effectively. Managers must understand the forms and channels that employees use to transmit their messages and provide team members with information about schedules and procedures to help these employees to accomplish their goals

4 and the company’s objectives. At the same time, through effective communication, employees can provide feedback to managers. According to Dr. Goutam, knowing how to communicate effectively “is a significant part of a manager’s job, in today’s team-oriented workplace, the development of good interpersonal communication skills is an important key to success.” (Goutam, 2013, p.86). Furthermore, communication can be a major challenge for managers because they are responsible for providing information, which results in efficient and effective performance in organizations. Recognizing environmental and personal barriers existent in the workplace is the first step to effective communication, by recognizing the barriers and gaps, perhaps the impacts could be minimized. To get through communication barriers and gaps, some tips are suggested to help managers to decrease these gaps, such as (Schonfeld, 1994): Active listening. Persuading rather than commanding. Targeting words to the audience. Letting people know that their feedback and criticism is welcome. Making intentions clear before acting. Devoting adequate time and attention to listening. Engaging in empathy. Some sources may disagree that managers are the ones responsible for enforcing effective management, for example, a few opposing views may state that clear communication may not be possible to occur all the time due to other circumstances such as personality traits or cultural background. However, managers and leaders are the ones in constant communication with superiors and all the stakeholders. Managers should be able to lead and influence all the team members, especially when engaging with members who have difficult personalities. The
5 managers are the ones responsible for the organizational planning and they can influence and persuade their subordinates. Managerial philosophy can promote or inhibit effective communication, positive actions from managers, such as mentioned above, are needed to overcome conflicts and communication barriers. “An administrator has no greater responsibility than to develop effective communication” (Pauley, 2010). Communication plays a very important role in business management. Communication allows managers to share goals with stakeholders inside and outside of the organization. Effective communication is the key to successful management. The development of effective management and communication in the workplace with the implementation of internal strategies can provide many benefits to organizations, such as keeping employees motivated and engaged. Communication is essential to building and maintaining relationships in the workplace. The purpose of communication is to share ideas, thoughts, and most importantly, to promote an understanding between individuals. Managers who understand the process and importance of communication can better analyze their way to engage with subordinates, resulting in more effective communication within the workplace.
