Team
Team Composition and Roles
While every team is unique, there are some things that are consistent across the various types of teams. One of those consistencies is the presence of roles and responsibilities. When creating the roles the project manager should be evaluating the tasks to see which ones group together: for example the role of project manager would be responsible for project planning and developing, team creating and leading, and project progress monitoring and sharing (Asana, 2023a). As the team is created, the project manager should be evaluating every member’s skill sets to see what role/tasks they would be best suited for. Establishing roles will increase productivity and boost morale. This team identified the roles needed to complete the Group Communication and Conflict
Management Plan. Discussion was held regarding each member’s skills related to the roles, and then each was assigned an appropriate role. The members of this team and their assigned roles are listed in Table 1. In addition, every member is also a contributor to the content of this assignment.

Team Goals and Objectives
In order to be successful, a team must know what success looks like. Identifying the objectives and expected outcomes of the project helps to define success. A team mission statement will then clarify for the team what they are striving for. Here is the mission statement this team agreed on in week 2:
Through seamless teamwork and unwavering dedication, our mission is to fuse expertise, insights, and creativity, transcending boundaries to formulate a comprehensive and dynamic GCCM plan. Objectives, also referred to as goals, help guide the team to see where they are going (Goals and Goal, 2009, p. 348). Objectives lay out the steps needed to achieve the project deliverables. Expected outcomes are the deliverables of a project (ITtoolkit.com, n.d.) - the ‘specific, unique outcomes based on specific, unique needs (para. 2). A project’s objective describes what the team is trying to accomplish while the outcomes are the result of what the project delivers (strategy dot zero, n.d.). This team’s objectives and expected outcomes are as follows:
Objectives
: Collaboratively create a GCCM plan and Week 4 Case Study.
Expected outcomes
: Collaborate effectively, turn assignments in on time, achieve grades
of at least 90% on every assignment.
Team Dynamics and Collaboration
Team dynamics can be positive or negative. Dynamics are, in large part, defined by human behavior (Osborne, 2023). Fostering positive group dynamics will produce a stronger and more cohesive team. Positive team dynamics are evidenced by alignment, transparency, and
Baseline v2.0

accountability. By having written objectives and outcomes, communicating frequently, and embracing conflict a team can improve their dynamics. The better dynamics a team has, the better their collaboration is. This team developed their objectives and outcomes, based on the requirements, early in the course. The following sections will define how they decided to communicate in order to create and maintain alignment, transparency, and accountability; as well
as approach, manage, and embrace conflict.
Group Communication Plan Importance of Communication within a Team
Effective communication within a team is the cornerstone of success, essential for achieving collective goals and maintaining a pleasant working environment. It serves as the foundation that connects team members, enabling the seamless exchange of information, ideas, and insights pivotal for informed decision-making and creative problem-solving. Through clear and transparent communication, a shared understanding of the team's mission, roles, and responsibilities is established, substantially reducing the likelihood of misunderstandings and conflicts that could impede progress. Furthermore, it fosters a collaborative environment where each member feels heard, valued, and empowered to contribute their unique expertise to the collective pursuit. Without effective communication, a team's potential might remain untapped, thereby hindering its capacity to meet targets and fulfill its purpose.
To establish effective communication practices, the team will implement the following strategies. First, the team will establish clear communication channels by creating a framework that defines when and how team members should communicate. This will include specifying the appropriate times and methods for communication, whether it is through email, scheduled meetings, or messaging applications. Ensuring that all team members are well-versed in these Baseline v2.0

preferred modes of communication will be crucial to maintain consistency and clarity in our interactions.
Furthermore, the team will actively foster a culture of active listening. In addition, the team will encourage members to go beyond hearing and truly engage in active listening. This means comprehending not just the words spoken but also understanding the underlying messages, concerns, and ideas being conveyed. In addition, the team will promote reflective listening, where individuals confirm their understanding and validate others' perspectives, thereby fostering deeper comprehension and empathy among team members. The team will work
diligently to create and sustain a culture of open and honest communication. The team will nurture an environment where members feel safe and empowered to express their thoughts, concerns, and feedback without the fear of judgment or negative repercussions. By consistently prioritizing these effective communication practices, our team can tap into its collective potential, significantly reduce miscommunication, and ultimately move forward cohesively, inching closer towards the achievement of our shared goals and objectives.
Methods of Communication
By incorporating both synchronous and asynchronous communication methods, the team will strike a balance between real-time interactions and flexibility. This approach ensures that urgent matters are promptly addressed through synchronous communication, while asynchronous
methods allow team members to collaborate effectively, even when working in different time zones or with varying schedules.
Synchronous Communication Synchronous communication methods involve real-time interactions among team members. This includes face-to-face meetings, video conferences, and real-time messaging Baseline v2.0
11
platforms. In our team, we recognize the importance of synchronous communication for immediate decision-making and clarifications.
The team will schedule weekly meetings to discuss project progress, address pressing issues, and brainstorm ideas collaboratively. These meetings will serve as a platform for real-
time discussions that require immediate attention. Additionally, the team will utilize the messaging platform Discord for quick questions, updates, and brief discussions. This platform will facilitate instant communication when team members are online, promoting efficient exchanges of information.
Asynchronous Communication Asynchronous communication methods allow team members to communicate without the
need for immediate responses. Email and discussion boards are examples of asynchronous communication tools that provide flexibility for team members with varying schedules and time zones. The team will use email for sharing important documents, long-form communication, and
announcements that do not require immediate attention. Email allows team members to respond when it suits their schedules, reducing the pressure for immediate replies. In addition, our team will maintain an online discussion board within the classroom where team members can post questions, updates, or share relevant resources. This will serve as a repository of information and
discussions that team members can access at their convenience.
Communication Tools and Technologies
Our team is committed to harnessing the power of various communication tools and technologies to ensure efficient and effective collaboration. The team has carefully selected a suite of platforms that cater to the diverse communication needs of our projects. First and Baseline v2.0
12
foremost, our conferencing solution, Discord, will enable our team to conduct meetings with the benefit of performing face-to-face interactions, even when we are geographically dispersed. This platform will facilitate real-time exchanges, screen sharing, and the fostering of team cohesion.
In addition to video conferencing, Discord will enable the team to employ instant messaging for quick and informal communication, making it easy to seek clarifications or share brief updates.
For official correspondence and document sharing, the team has opted to utilize Google Drive. Collaborative document editing through Google Docs will enable multiple team members to work on documents simultaneously, enhancing our collaborative content creation and editing capabilities. With these tools integrated into our workflow, our team is poised to communicate effectively, collaborate efficiently, and maintain organizational excellence throughout our project.
Communication Norms
Establishing a set of clear communication norms is a fundamental pillar of nurturing a culture of respect and efficiency within the team. In line with this objective, the team has outlined specific guidelines to govern our interactions. First, all team members are expected to employ respectful and courteous language, ensuring that written and spoken communication remains free from disparaging or offensive remarks. Next, timely responses will be a norm, with an emphasis on acknowledging received messages and providing estimated response times for more complex inquiries.
Moreover, active listening is encouraged, entailing giving one's full attention during virtual interactions, while refraining from interruptions and seeking clarification when necessary.
Clarity and conciseness will be pivotal in our communication efforts, with a preference for plain language and an avoidance of technical jargon when communicating with non-experts. Baseline v2.0

13
Constructive feedback will be the hallmark of our interactions, focusing on specificity and the promotion of improvement rather than criticism. Furthermore, adherence to meeting agendas and
timely documentation of important decisions, action items, and meeting minutes will bolster transparency and accountability within the team. These communication norms will collectively contribute to an environment where every team member can communicate effectively, feel valued, and collaborate seamlessly toward the achievement of our shared objectives.
Meeting Schedule and Agendas
The team has designed a structured meeting schedule and a comprehensive agenda framework to promote effective communication and collaboration. Regular team meetings will be convened on a weekly basis. These gatherings will serve as a platform for discussing ongoing project progress, addressing challenges, and fostering collaborative brainstorming sessions. The primary goal is to ensure that all team members remain well-informed about the latest project developments while facilitating open dialogues to enhance decision-making and problem-
solving.
Additionally, project-specific meetings will be scheduled as necessary, offering a dedicated space for in-depth discussions pertaining to particular projects or tasks. These meetings aim to facilitate detailed project planning and issue resolution. Moreover, ad hoc meetings may be convened on an as-needed basis to address urgent matters that cannot wait until
the next scheduled meeting. The cornerstone of each meeting will be a clear and concise agenda distributed in advance. This agenda will outline the discussion topics, expected outcomes, and allotted time for each agenda item, ensuring that meetings remain focused, efficient, and highly productive. By adhering to this meeting schedule and agenda framework, the team aims to Baseline v2.0
14
maintain open channels of communication, collaborative decision-making, and stay closely aligned with project objectives and milestones.
Decision-Making Processes
Effective decision-making is pivotal for the team's success, and thus, the team has adopted a structured decision-making process to ensure that decisions are made thoughtfully and inclusively. The team identifies the specific decision at hand, carefully delineating its scope and potential impact. Subsequently, the team will embark on gathering all pertinent information and data, guaranteeing that each team member has access to the requisite resources to make informed
decisions. Encouraging open discussions among team members is the next step, facilitating a diverse array of perspectives and insights.
Furthermore, the decision-making authority is assigned based on the nature and significance of the decision, with options including consensus building, designating a leader, or utilizing a voting process. Once a decision is reached, a clear implementation plan is established, delineating the steps required for execution and allocating responsibilities appropriately. The team underscores the importance of continuous monitoring and feedback, remaining receptive to insights and open to revisiting decisions if circumstances evolve or new information emerges. This comprehensive decision-making process ensures that the team can make informed choices efficiently and collectively, contributing to overall effectiveness and success in achieving goals.
Information Sharing Guidelines
The team places great emphasis on effective information sharing and has established guidelines to streamline this essential process. Primarily, the team has prioritized timely sharing of relevant information and updates, ensuring that all team members have access to the latest information in a punctual manner. Clarity and accuracy are central to this approach, with a Baseline v2.0
15
commitment to conveying information in a clear, precise manner, steering clear of jargon or ambiguity. When necessary, context is provided to enhance comprehension.
Furthermore, the team places a premium on accessibility, making certain that information
is easily available to all members through shared folders, documents, or the selected communication platform. Additionally, a feedback mechanism has been established to allow team members to offer insights or seek clarification on shared information, fostering a culture of open communication and mutual understanding. Lastly, the team has put an emphasis on maintaining version control for documents. This process is integral to guarding against confusion
and guarantees everyone operates with the most up-to-date information.
Group Conflict Management Plan
Understanding Conflict in Teams
Conflict is an inherent by-product of human relationships. While humans are often more efficient working together as a group, team conflict should be anticipated. Conflict in teams generally arises due to a need for resources, personality differences, conflicting ideas, confusion on roles and responsibilities, unspoken assumptions, and so on. Different conflict “tactics” (avoidance, competitive, collaborative, etc.) are ways members engage with others on their team should conflict arise (Aakhus, 2002). Understanding the root causes of conflict and identifying tactics used within the team dynamic postures the group to appropriately manage agreed-upon conflict resolution strategies.
Role of Communication in Conflict Resolution
Communication allows team members to exchange information, ideas, and opinions with clarity and purpose. Communication plays a pivotal role in conflict resolution because it opens constructive exchanges needed to understand disputes and to connect team members. When Baseline v2.0

16
communicating, team members should aim to minimize relational conflict and encourage conflict
about ideas instead (Aakhus, 2002). Types of Conflicts
Conflict tends to manifest subconsciously as learned behavior, consisting of the following
styles; avoidance, competition, compromise, accommodation, and collaboration (Sullivan, 2009).
Avoiders deliberately ignore or withdraw from a conflict. Competitors attempt to gain power. Compromise seeks an expedient, mutually acceptable solution. Accommodators will set aside personal needs to keep the peace and/or appease others. Collaboration involves finding a win-
win solution to satisfy both sides. Understanding types or styles of conflict postures the team to readily identify the best conflict resolution strategy. Conflict Resolution Strategies
Conflict resolution strategies allow the team to find a peaceful solution to a disagreement through preventive and procedural actions. By taking preventative action, the team can lessen the
likelihood of experiencing destructive conflict (Venditti & McLean, 2014). The team will commit to some or all of the following preventive measures; acquire formal training in appropriate conflict management, periodically review and reaffirm a commitment to the norms, policies, and procedures, discuss and distinguish between conflict that
promotes improvement and that which obstructs progress, and explicitly remind its members that
diverse perspectives and unconventional opinions are appreciated and respected. Additionally, the team will maintain awareness that external factors, positive or not, play a powerful role in mood, and may consciously or unconsciously color the demeanor of group members at the start of their interaction. Baseline v2.0
17
Ultimately, the team will make progress by listening to one another, maintaining composure and respectfulness, and showing sensitivity to each other’s needs and styles. Should conflict arise, the team will employ the following actions to manage each situation appropriately.
➔
Keep open lines of communication.
➔
Define the issues, specifying what the conflict pertains to.
➔
Focus on the task, rather than on personalities.
➔
Proceed according to established ground rules, policies, procedures, and norms
Escalation Process for Unresolved Conflicts
Escalating unresolved conflict benefits the team by minimizing delays in achieving group
goals and driving accountability in team members by upholding the commitment to group responsibilities and norms. Should unresolved conflict escalate beyond the level of effective communication, the team will seek to mediate the situation by way of intervention from the Professor of the course. Group Assignment Management Plan
Assignment Distribution and Task Allocation
Assignment distribution and task allocations are discussed during the forming stage of the
Tuckerman Ladder. Team members meet, discuss their strengths and weaknesses, and are assigned roles (PMBOK, 2007). When assigning tasks, there are four key components: capability, availability, skills, and experience. Assessing the workload and each team member's ability before assigning is imperative. Allocating tasks that best suit a team member's expertise can ensure better performance and higher engagement. Baseline v2.0

Tracking Progress and Milestones
Project tracking is defined as monitoring the progress of all activities and milestones in a
project. Project managers utilized progress tracking to analyze the state of a project during weekly check-ins and meetings, captured in meeting minutes, status reports, and project dashboards. Milestones are critical components of projects. They can be tracked in various ways,
such as dashboards, tables, charts, and graphs. Tracking progress is essential and should be reviewed throughout a project's life cycle and communicated with the team and key stakeholders.
To ensure that tracking progress is successful and effective, it should be clear, precise, realistic, understandable, and relevant (Padhi, 2023).

Addressing Challenges and Bottlenecks
A bottleneck is defined as any risks that cause delays in the project. There are two kinds of bottlenecks: performer-based bottlenecks and system-based bottlenecks. Performer-based bottlenecks occur when a team member or the entire team does not meet the performance requirement. System-based bottlenecks occur when the application or software is outdated, does not meet expectations, and causes delays. A root analysis is utilized to identify any bottlenecks. Once the cause is identified, a plan is created to address it. The plan can include task members, allocating additional resources, and testing new software. After the bottleneck has been rectified, it is imperative to conduct a performance evaluation to ensure the bottleneck has been appropriately addressed (Asana, 2023).
Feedback and Peer Review Processes
Peer review process is a procedure used to evaluate a current project to enhance its quality. This process is usually performed by the project team and stakeholders in which they provide their feedback. During the process the following details are reviewed; project concept and problem, feasibility and cost-effectiveness, goals and deliverables, organizational structure and team composition, resource base and estimates. project plan, project controls and administration, deliverable acceptance criteria, change management process, communication, procurement, and feedback and reporting. Through analyzing and reviewing the project the team and stakeholders try to identify any risks or issues in documentation and processes as well as provide mitigation for them for the future projects (Task management guide, n.d.).

.
Acknowledgment of the Practical and Academic Aspects
The Group Communications and Conflict Management Plan comprises both practical and
academic dimensions, each fulfilling a unique yet interconnected role. In terms of practical components, the plan emphasizes real-world implementation, addressing conflicts, and fostering effective communication in workplace or group settings. This includes the identification and resolution of potential conflicts among team members, as well as the establishment of productive
communication channels. It also encompasses equipping individuals with essential conflict resolution skills, such as negotiation, mediation, and conflict resolution techniques, aiming to achieve resolutions and maintain a harmonious group atmosphere. The practical approach underscores conflict prevention, involving strategies to preempt potential sources of conflict by setting clear expectations, cultivating a positive team culture, and establishing frameworks for open and constructive communication. Team-building exercises and activities are integral practical elements, promoting trust, cooperation, and open communication among group members to enhance collaboration and reduce the likelihood of conflicts. Feedback mechanisms are also vital, as they facilitate continuous improvement by gathering constructive feedback, pinpointing areas where the plan may require adjustment, and providing insights into enhancing its effectiveness in conflict management and group communication. In the realm of academic aspects, the plan is anchored in relevant theoretical frameworks, which furnish the foundation for
comprehending the underlying concepts and principles governing effective communication and conflict resolution. Academic rigor is further exemplified through research and analysis, which entails investigating the latest developments and best practices in group communication and Baseline v2.0

What is the PMAN 638 GCCM Plan?
The first team project in PMAN 638, the Group Communication and Conflict Management (GCCM) Plan, is akin to developing a team charter, but is expanded and modified to serve as an assignment for this class. As such, your GCCM Plan will include background information for each topic that is covered in your GCCM Plan, and will then explain how your team will use/implement that topic as you work together this semester. Class readings and the PMBOK Guide
will be cited as support for the background information, making the
GCCM Plan a hybrid of a practical team charter and an academic assignment.
Your team’s GCCM Plan is intended to be a practical and working communication and conflict management plan for your team, as well as a guide for completing your team assignments in this class. The following are the suggested main sections for a GCCM Plan (other organization is acceptable if more useful to your team and fulfills the assignment):
●
Introduction
●
The Team
●
Group Communication Plan
●
Group Conflict Management Plan
●
Group Assignment Management Plan
Within each main section, various sections and sub-sections will be needed to provide useful content. Topics within this content are to be developed as follows:
●
Background: As a class assignment, each topic covered in your GCCM Plan will include background information, primarily from class readings, to explain the topic. When sources are used, proper citations and references are to be included.
●
Team Action: As a working team charter to guide your team, the GCCM Plan is to explain the actions your team will, or might, take related to this topic.
●
Breaking out the background and team action information into separate paragraphs, or even into labeled sub-sections, can make the GCCM Plan more reader friendly, and will provide quicker access to team members using the document.
The exact content and topics covered in each GCCM Plan will vary depending on the needs, interests, stakeholders, and projects particular to your team. Your team’s GCCM Plan should not attempt to include every topic we cover in this class, but should include every topic that could benefit your group’s work. The content of your final GCCM Plan should be information your team will, or at least m+ight, use or find useful.
Read and revisit the Guidance Document for this assignment as often as needed to ensure your team is addressing the weekly individual and team assignments related to completing your GCCM Plan (these assignments will also be noted in the weekly content and Checklists). All team members need to thoroughly read the GCCM Plan Guidance Document so that any misinterpretations by one team member can be identified and addressed at your team meetings.
