Briefly describe the communication, including the primary message
and your role in the communication.
There are several ways to communicate. Face-to-face conversations,
meetings, emails, phone calls, and much more. My workplace uses Teams
Meetings to communicate. We have a daily Teams Meeting with all the
managers to discuss daily production, problems, concerns, and basic
information. One particular Teams Meeting, not all managers were present
due to vacations, sick, or appointments. This meeting consisted of informing
all of us that were present to attend a mandatory training class in the
breakroom the next day at the specified time.
My role was to acknowledge that I understood this was mandatory and had
to come into work early just for this training.
Explain the channel chosen for the communication and why this
channel was selected. If the reason is unknown, provide your best
assumption for why it was selected.
The reason for this particular channel is because we can see each other and
ensure that everyone is listening. If asked a question, it is imperative that we
respond.
Analyze whether this choice of channel was effective and
appropriate, supporting your analysis with this week’s Learning
Resources.
This particular channel was fine for basic information. However, there should
have been an email sent to all of management letting them know about the
meeting which could also invite them to accept the meeting through email.
There were a lot of managers that did not attend the meeting because they
forgot, were not present during the Teams Meeting, or they just got busy.
Using email would have been a paper trail ensuring the communication
process was completed thoroughly (Emerald Works Limited, n.d.).
In the future, I have suggested on the Teams Meeting that an email be sent
out as a reminder of important meetings. I would follow up with the person in
charge of the mandatory meeting to make sure they let everyone know. Also,
a meeting invite through email would secure that everyone received it when
they accept the meeting date and time. This also pops up a reminder on the
computer about the meeting every few minutes. Just making sure the
communication process gets the message to everyone involved (Emerald
Works Limited, n.d.). It would have eliminated a lot of heartache and
managers getting into trouble for missing the meeting if it was done properly.
