Activity 1 – Assessment Requirements
This assessment requires you to implement two digital solutions in the work processes of an
organisation or a work area.
You will do this based on the assumption that you are the team leader of:
a community or volunteer group that you are involved in.
a workplace you are currently employed at.
your student group at the college you are studying at.
The first part of this project requires you to conduct research on the internet about common digital
technologies and software applications used in modern workplaces today for communications,
technologies and networks.
You will also review trends and innovations as part of your research.
You will use digital technology to gather and compile your information into your Assessment Task.
Activity 1 – Use Digital Workplace Information
Refer to the simulation pack for information on the organisational requirements as well as the
student guide:
1.
Digital technology trends and innovations. You are required to describe at least five general
trends and innovations in digital technology in the workplace today. Describe each trend or
innovation in about a paragraph, briefing explaining the trend/innovation and its application
to the workplace. Please use sub-headings
1. Increasingly Intelligent Applications
The initial step to deploy AI skill involves assessing the maturity and readiness of your business
applications. Enterprise architecture and innovation leaders have to identify the use cases to
realize the potential AI can bring in. Automate answering your repetitive mundane tasks with the
help of AI-powered chatbots. Chatbots are designed to deliver a conversational user experience in
the business applications with a minimum learning curve. Apart from automating responses, this
trend can also help in addressing support outages, adoption issues and user
satisfaction issues in a prominent way.
2. Beginning of the Gen Z Takeover
Millennials are more likely to use applications with advanced technologies and flexibility.
Additionally, the new generation after millennials, Gen Z, are true digital natives and their
preferences will dictate the future of a business’ success for years to come.
3. Voice-Driven Search
Voice search is expected to have a deep impact on digital workplaces. Voice recognition
technology would help improve customer service, make efficiency savings across the business,
and deliver a more personalized, frictionless experience to customers and employees. A virtual
assistant topped up with a voice search optimization would be a trend in the years to come.
Understanding this concept will go a long way in meeting your workplace goals efficiently.

4. Data Security Will Take Centre Stage
Organizations are required to adopt platforms that allow employees to transact data securely. This
is more applicable to their future needs as data security turns into a key enterprise consideration. IT
leaders must enforce periodical checks on security policies to protect user privacy and comply with
policy regulations.
5. More Decentralization in the Workplace
As businesses are required to undergo digital transformation and grow globally, organizations are
left with no choice but to rapidly innovate. This can only be achievable in the present day scenario
with decentralization. This structure boosts employee engagement as it instils a sense of ownership
and facilitates competitive advantage by leveraging the power of innovation.
9.
Digital applications and technology.
Identify and review at least two workplace digital
applications that focus on workplace communications (i.e. any digital tools that allow two or
more people to communicate with each other and that may be written, verbal, visual,
audible or a combination of these).
Include:
The name of the digital technology
Its use in the workplace
At least one benefit of using the digital technology
How the digital technology is current and innovative

foresight. One of the most cutting-edge and advanced digital workplace technologies, Horizon
allows remote teams to work in the same virtual space using VR headsets. It boasts improved
collaboration and interactivity, and streamlines remote team communication.
Document management:
The amount of data that is created is on the rise each day. Your organization might produce
anywhere from dozens to hundreds of thousands of new documents, spreadsheets, forms, and
videos every day. Information about employees, business, customers, operations, marketing etc.
should be keep it organized for easy accessibility andtimely insights.
A document management system in the cloud can be the best way to manage data. They also
serve other purposes apart from managing data. They can be adaptive learning platforms for
employees where they can access the information they need in the right sequence. Power search
features in these platforms have made it easy to access any file across the organization.
Employees can also collaborate easily over all forms of data.
Document management systems have evolved into robust products that even offer analytics
capabilities for all structured data.
Cybersecurity:
Ever since data breaches have become bigger concerns, IT leaders have been continuously trying
to increase security while providing more spectrums for employees to flex their digital boundaries.
Cybersecurity is a built-in element of all cloud based applications. Cloud has reached a position
where it is now a more secure mode of data storage than onpremise.

Breaches happen from both sides of the wall–internal and external.
Internal breaches can be prevented by identifying and creating restrictions (data policies) for
sensitive data, and also deploying network, device, and application monitoring systems.
Email phishing is the most common channel of external malware attacks. Educating employees
about best practices and delegating a sense of responsibility towards data security can greatly help
prevent breaches.
10. Networking through digital technology. Identify and review at least two workplace
technologies used in any area of the workplace e.g. hardware and software, learning
management systems, record management and document management systems.
Include:
The name of the digital technology
Its use in the workplace
At least one benefit of using the digital technology/application.
How the digital technology is current and innovative.
11. Networking through digital technology.
Provide examples of digital technology for
networking to form and/or maintain relationships with other individuals or organisations.
Describe:
The digital technology application, including its use in the workplace
At least one benefit of using the digital technology/application.
How the digital technology is current and innovative.
These include email, phone calls, video conferencing, and many types of instant messaging like
SMS and web chats. Even blogs, podcasts, and videos are considered forms of digital
communication.
Benefits
Digital communication is fast, efficient, and convenient. An employee can have a conversation in
real-time with a colleague or client from the opposite side of the world without having to leave their
desk. Company leaders can use digital channels to communicate with their entire global workforce
at once and use corresponding channels to effectively collect feedback from those employees. It’s
key to employee engagement.
In fact, most modern marketing initiatives can be viewed as digital communication. Social media
campaigns and video ads are simply a way for companies to mass communicate with potential
customers in a way that is rapid and cost-effective.
Looking at all the business areas that involve digital communication, it’ssafe to say that modern
technology has vastly improved the way companies operate. With easy and accessible
communication systems, employees can spend their time focusing on more important tasks.
The practice of implementing modern digital technology to solve business problems by optimizing
processes, improving customer experiences, and delivering new business models.
12.
Assessing the validity and reliability of digital information sources.
You are required to list
at least five questions that could be used to determine the validity and reliability of digital
information sources.
What is UW Libraries Search and how do I use it to find resources?
Who can access databases, e-journals, e-books etc. and from where?
How do I cite a source using a specific style?

Intellectual property, discuss (you are required to point out important issues or features and
express some form of critical judgement) the following:
Intellectual property risks in relation to digital technology
Legislation and copyright – list at least two Acts and Regulations / Principles that
apply.
Name of Act or Regulation that regulates intellectual property and digital content
Its purpose and scope
To ensure that an organisation is meeting compliance requirements for both legislation and internal
policies and procedures that relate to intellectual property, any issues, risks or non-compliance
should be recorded and reported. This could be a process carried out during the review, therefore
when undertaking a review, it is important to consult with all stakeholders and collect and record
any feedback. The risks to the organisation for non-compliance can lead to penalties, lawsuits,
losing licenses and permits, loss of private and confidential data.
Ultimately, there should be a process to support the review and reporting of continuous feedback
associated with any policies, procedure, or code of practice, to ensure that changes are made if
appropriate and when relevant. This will also ensure that employees are kept up-to-date and
trained to ensure compliance.
15. Strategies to train and support team members when applying digital technologies in a
workplace.
1. Communication & Collaboration Apps: Effective communication is key to productive workplaces.
So workplaces use communication and collaboration tools that let employees send texts, start
voiceonly or video calls, and collaborate through a unified communications platform. Think Slack,
Zoom, Teams, or Google Workspace.
2. Learning & Development Apps: Continuous growth is essential to both employees and
businesses. L&D software such as Whatfix, ProProfs and Trainual play a huge role in increasing
productivity and thereby revenue. These apps allow you to create effective training programs or
assign off-the-shelf lessons to employees who can learn at their pace.
3. Project Management Apps: Managing tasks, projects, and work at scale is virtually impossible
without project management apps. Apps such as Asana, Airtable, and ClickUp let you customize
workflows, make work transparent, rebalance workloads, and stay on track.
4. Employee Experience Apps: Engaged employees are key to productive teams. Employee
experience software such as Gusto, Bonusly and Lattice let you track, create and deliver better
experiences throughout the entire employee life cycle to foster better engagement and support
enablement.
