Activities
Complete the following activities:
1.
Carefully read the following:
This project requires you to provide leadership for a program of work. Examples of
programs include Return to work programs, Minority groups development
programs, Leadership development programs and Graduate programs.
You can do this for a real program at your workplace if this is relevant to you, or you
can use the simulation pack provided for this unit. If you use your own business,
make sure it has a mission and values already established. As a minimum, the
organisation should have a strategic plan and policies and procedures that guide
your approach to issues and concerns related to the project (for example, risk
management, conflict resolution or communication policies and procedures). The
organisation should also have a style guide to guide the format of documents.
Speak to your assessor to get approval if you want to base this on your own
business.
Vocational education and training is all about gaining and developing practical skills
that are industry relevant and that can help you to succeed in your chosen career.
For this reason, basing your project on real relationships with classmates or work
colleagues will mean that you are applying your knowledge and skills in a relevant,
practical and meaningful way!
You will be collecting evidence for this unit in a Project Portfolio. The steps you
need to take are outlined below. Before you begin, complete page 4 of your Project
Portfolio. You must describe the organisation you are basing this assessment on
and provide a short description of the program you are managing.
Whether you are using the case study or a business of your own choice, throughout
this assessment, it is assumed that you are receiving instructions from (and
responding to) a CEO. These instructions will be provided in the steps below as
necessary.
Start working on Section 1 of your project portfolio. Steps 2,3 and 4 form part of
Section 1.
2.
Document draft roles and responsibilities
You are required to document the roles and responsibilities of stakeholders related
to your program. Define and document the roles and responsibilities for your own
role, and the roles of at least two other stakeholders as they relate to the specific
program you manage. Also include how your role contributes towards the broader
goals of the work environment.
You may like to use the following freely link to guide your document layout and
contents:
https://projecttemplates.guru/templates/project-roles-responsibilities-chart/
Make sure that you follow your organisation’s formatting requirements. At this stage
your document is in draft form only in preparation to attend a meeting with project
managers where you will agree on the roles and responsibilities. After your

meeting, you will update the draft and attach a final version to your portfolio.
3.
Develop a draft vision statement
Access the business program information or review the simulation pack. As a
minimum you need to review the organisation’s strategic plan and program details.
You are required to develop a vision statement based on the information provided.
The program vision must align with the organisation’s mission and values and
values.
You can design your own template or you may like to use the following freely
accessible vision document to guide your work:
https://www.stakeholdermap.com/project-
templates/Vision_Statement_Template.doc
.
Make sure that you adhere to your organisation’s formatting requirements. At this
stage your document is in draft form only in preparation to attend a meeting with
project managers where you will negotiate and then agree on the program vision.
After your meeting, you will update the draft and attach a final version to your
portfolio.
In the next step, you will present your vision statement to stakeholders at a
meeting. Prepare an accompanying PowerPoint for the meeting that includes:
rationale for a program vision
your draft program vision
alignment to company mission and values
roles and responsibilities of all stakeholders involved in the program and its
vision.
During your presentation you will be required to apply techniques to build trust and
confidence within the program. Therefore, once you have prepared your
presentation, conduct research on methods and techniques to answer the following
questions:
How can you ensure all stakeholders are treated fairly and equitably?
How can you facilitate respect and commitment between stakeholders?
What can you do to encouraging open discussion?
What does active listening and questioning involve?
How can you manage differences in views and expectations?
How can you attend to issues and concerns according to organisational
policies and procedures?
Which suitable interpersonal and leadership styles can you apply?
13.
Confirm program vision and roles.
Meet with at least two program stakeholders to present the presentation prepared
in the previous step. The objective of this presentation is to promote the program
vision, demonstrate your commitment to it and negotiate a final program vision with

staff.
Begin by establishing the stakeholders’ expectations and objectives of the program.
Go through your presentation with the project managers.
Following the presentation, you are to seek feedback from the project managers on
your project vision. Manage differences in views and expectations and attend to
issues and concerns according to organisational policies and procedures. Come to
an agreement on their roles and responsibilities.
Also seek feedback from the stakeholders on your leadership skills during the
meeting (take notes and keep them for us in Section 3 of your Portfolio).
Your meeting should take 30 minutes. This will either be attended in person by your
assessor or they will attend online. If you are in the workplace, you may like to
video record the session for your assessor to watch later (attach proof to Section 1
of your portfolio). Your assessor can provide you with more details at this step.
Make sure you follow the instructions above and meet the timeframes allocated.
As part of your presentation, you must:
choose a suitable interpersonal and leadership style to suit the stakeholders.
ensure all stakeholders are treated fairly and equitably.
facilitate respect and commitment between stakeholders.
encourage open discussion.
use active listening and questioning to confirm understanding.
You will be assessed on this.
Update your draft roles and responsibilities document and your draft vision
statement document to reflect the changes discussed and negotiated at the
meeting.
Start working on Section 2 of your project portfolio. Steps 5,6 and 7 form part of
Section 2.

14.
Embed socially responsible practice.
Assume that following your presentation, you receive the following email from the
CEO:
Dear Program Manager
Thanks for the informative presentation last week and it was a great opportunity to
discuss ideas and agree on the program vision.
Something that struck me following the presentation was that while we have an
organisational Code of Ethics, we don’t have anything specific to program/project
manager.
Having discussed some key values as part of the program vision, I
consider that we need to establish a code of ethics relevant to program/project
management.
Can you please develop a draft and send it to me at your earliest. I would expect
the code of ethics to clearly define expectations regarding professional conduct
and behaviour expectations for constituent project managers. This is very important
as part of our overarching corporate social responsibility values. We have to be
seen to be acting ethically and responsibly as a company and this must occur at all
levels.
I look forward to hearing from you.
Regards
CEO
Based on the CEO’s email, develop a code of ethics for professional conduct.
It should address:
behavioural expectations, including ethical behaviour
other general expectations such as learning and skill development
processes for allowing staff members to report breaches of ethical/professional
conduct without fearing retaliation.
You may research similar codes of ethics to inform your code of ethics.
15.
Address threats.
Assume that following the presentation, you receive the following email from the
CEO:
Dear Program Manager
It has come to my attention recently that project managers have been accruing
frequent flyer points from business travel and using these points for their own
personal travel.

I am not sure if this allowable or addressed in the Code of Ethics and Professional
Conduct.
Please investigate.
Regards
CEO
Review your Code of Ethics and Professional Conduct to identify whether it
addresses the issues of accruing frequent flyer points.
Identify and review codes of ethics and other documents from at least other three
other companies on how they manage the issue of staff use of frequent flyer points.
Update the Code of Ethics and Professional Conduct accordingly based on your
investigation.
2.
Manage risks
Assume that at a recent management team meeting, the Operations Manager has
asked all managers to complete a risk management plan (including risk
management strategies) for their area of responsibility.
Create a risk management plan with risk management strategies for the program.
Include at least three risks spread across a range of projects that fall within your
program management.
Start working on Section 3 of your project portfolio. Steps 8 and 9 form part of
Section 3.
3.
Develop and implement a program knowledge plan.
After having submitted your revised code of ethics to the CEO, assume you
received the following email:
Dear Program Manager
Following my recent communication with you about the Code of Ethics and
Professional Conduct document, I would again like to reiterate my satisfaction with
the document you produced.
I am now very keen on ensuring a supportive learning environment for all of those
involved in program management and would be interested in your thoughts on this.
Regards
CEO
Based on the CEO’s report you are to write a short report that includes the

Rationale for viewing program planning and implementation as a learning
process.
The importance of capturing lessons learned from programs and projects and
treating both successes and failures as learning opportunities (lessons
learned).
Recommendations on how to capture lessons learned from the
program/project.
Action plan for capturing lessons learned from relevant stakeholders.
Sources of information on lessons learned.
Make sure that you follow your organisation’s formatting requirements.
Submit the report to the CEO, using appropriate conventions and protocols (e.g. by
attaching to an email).
It has now been agreed that you will provide a regular monthly bulletin to all those
involved in the program on lessons learned.
https://www.projectsmart.co.uk/lessons-learned.php
Choose an article from the above web site or another web site of your choice.
Develop a bulletin that you can send to all those involved in the program containing
key points relevant to the article and lessons learned. Ensure your bulletin also
includes information on the importance of reflecting on and reviewing practice as a
basis for learning so as to encourage all stakeholders to undertake such.
Communicate the bulletin to all relevant stakeholders (for example, by email or by
placing it on a notice board).
4.
Support staff and own learning
Meet with at least one stakeholder to support their learning (in relation to the
program you lead). At the meeting:
identify their learning needs (make sure you treat errors, mistakes and
expressed concerns as a learning opportunity).
discuss potential opportunities for further professional development.
establish the program benefits that must still be attained (e.g. establishing
effective relationships as a result of networking through the program).
provide one-on-one coaching to help the stakeholder attain the identified
benefits.
seek feedback on your leadership skills and the processes you followed.
Your meeting should take 20 minutes. This will either be attended in person by your
assessor or they will attend online. If you are in the workplace, you may like to
video record the session for your assessor to watch later (attach proof to Section 3
of your portfolio). Your assessor can provide you with more details at this step.
