1. purpose of this report is to analyze and recommend ways to minimize travel and entertainment expenditures at Electrovision. The report provides methods and impacts of cutting spending on the T&E budget because it’s gotten way too high. The purpose is evident in several places including the title, memorandum, executive summary, and is directly stated in the introduction. 2. This report is organized as a report to solve problems. It is attempting to understand something that is not working properly and give suggestions of how to fix it. We can tell because it follows a sequence of providing background information, describing the problem, offering methods and recommendations to remedy the problem. 3. The memo is an internal communication between the author and the people who requested the report that provides an informal summary of the findings. The executive summary is more formal and resembles the same structure as the full report. It provides some of the most important information to those who are looking for a “big picture” rather than all of the details. 4. The introduction and conclusion are unlike the memo and summary because they are more detailed. The introduction provides the background of the situation which establishes a need for action, then give the purposes of the report, and discusses the methods used to craft the report. The conclusion again reviews the background information, recaps the recommended steps to remedy the problem, and ends by stating how the company should approach the tough task of implementing the recommended solutions. 5. The report uses informative headings because the report is using a direct approach since the author is confident that the report will be well-received. These focus the reader on the main points. A descriptive heading is used for the last section; Conclusions and Recommendations. 6. Each of these three paragraphs begins with one sentence that describes a way to reduce unnecessary travel and entertainment. They’re very direct and provide a recommended method to reduce expenses right at the beginning of the paragraph which captures the readers’ attention. 7. After each opening sentence there is evidence of why that method will work and alternatives to the current travel and entertainment practices that will save money. 8. Something that I found interesting about report writing is that especially because it’s a very lengthy report, the formatting and
organization need to be spot on. Sections need to be clearly delineated and concise because that makes the report so much easier to read and useful to the audience. Reading this example report was a lot more interesting than I thought it would be because it was structured and designed to be really user friendly while also being informative and visually appealing.
