Before the meeting i would try to gather feedback by conducting a survey and/or anonymous feedback forms to collect input from participants, staff, customers, and stakeholders. Doing so in a way that would encourage open and honest communication to identify both positive aspects and areas for improvement. I would then conduct the Post Luncheon meeting where the project team can discuss the overall execution, challenges faced, and lessons learned from the project in a safe environment where team members can openly share their perspectives. Making sure in the meeting to celebrate the success of the luncheon plus acknowledge any achievements or outcomes that occurred due to the luncheon. I would also recognize individual and team contributions to boost morale and confidence of staff for future projects. I would use any insights gained to refine the event planning process for future projects. For example, if issues were addressed in the meeting, than I would develop an action plan to mitigate like issues for future projects. I then can establish best practices, update standard operating procedures and set performance improvement goals based on what was learned in result of the post-project meeting. In the paper “Exploring Measures to Promote Learning and Unlearning in Projects” Hussein states that “Setting common goals for performance improvements on a regular basis is not only helpful in creating a sense of purpose and unity, but it also creates more appreciation to the role of learning and unlearning in the project (2023).” Approaching post-project meetings in this manner ensures a thorough evaluation of the event's success and challenges. It promotes a culture of continuous improvement, learning from experiences, and enhancing overall project management capabilities.
