Recovery Plan Outline Due to last years devastating fire that took out the local server room the following outline has been prepared and in place in the even of another disaster in order to properly and efficiently migrate information for our staff to continue working and accessing files and information smoothly. We will be using two separate backup tools to help ensure that if needed we have a plan of action in place. The first tool that we will be implementing is Cobian Backup. Cobian Backup is a tool that will allow us to backup files and folders along with directories from all locations that we store data including local drive, network share, remote drives and any manual location or FTP servers. This tool will also serve as a source and a backup with the other storage components. This can be used in three different backups, differential, incremental, or complete backups. In the event of a data overload this software will automatically remove any empty files or folders. The second tool that has been implemented will the BackUp Maker. This tool is going to be more geared toward the company as individual portions. BackUp maker also can be user for local or ecternal hard discs, network folder or FTP servers. This can also allow us to backup individual files to a disc or drive. It will allow each user to select common files and file locations to be included in the backup. The tool also allows a scheduled time period in which it can backup the data directly to a USB device. For example, every 30 minutes the program will backup files and override the previous backup with the most current data. This will allow us to have an ease of access to our data in the event of another disaster or emergency in which we lose our servers.
Who will be in charge of this process? Carl Handratty, our current backup administrator will be the point of contact and front person during this recovery plan. Carl will be issuing each user their own password protected USB drive. Once each drive is received it will be connected to your pc with the following instructions of what to expect. Once the drive is connected you will take the following steps. 1. Click file explorer, if you cant find this search for it in search bar or press windows logo key and E on your keyboard 2. Right click the name of your flash drive and select Bitlocker 3. Turn Bitlocker on, wait for bitlocker to start 4. Choose a password that you will use the unlock your drive, please use a strong password that others wont be able to guess. 5. Choose how to save your recover key, this will allow you to regain access to your drive in the event that you should forget your password. 6. Select entire drive on data you want to encrypt 7. Click start encrypting, do not removed USB drive during this process. 8. Notification will be shown that process is complete. Once you have finished all the steps listed you will then leave your drive connected to your pc. Backups will be performed on your pc every 24 hours beginning at the 4pm at the end of your shift. At the end of that shift you will be required to store your drives in a safe place within your home and bring it back with you for each shift.
We have setup a secondary server room in the storage warehouse in the event of another disaster. We have work stations setup for each of you in the even we are unable to continue work in our current building. How will our database be restored? The Cobian backup will store a shadow copy of the backup to the drives located on our secondary servers. This will allow us to keep a daily backup of the most up to date information for us to recover in this event. The process of restoration should take anywhere from 3-5 hours to complete. This is due to a restoration takes 3 phases in order to complete, data copy, redo and undo phases. These are to ensure all data is collected, all transactions are rolled forward and rolled back. How will you access your data? This is where your USB drives will come into action. As previously stated we have a secondary workstation location setup for all of you at the storage warehouse. You will report that location with your USB drive. Once you are at your assigned work station you will complete the following steps. 1. Connect your USB drive 2. Enter your password 3. In the search bar type Control panel 4. Select backup and restore 5. Select backup and restore from, then select your device 6. Follow instructions to restore files

Once this is completed you will then have your most recent data from the last backup within the 24 hour window. If you have any questions our need assistance contact anyone from the IT support team and we will get with you to assist as quickly as possible. How will you know when and where to report in the event of a disaster? In the event of a disaster all employees will be contacted by a member of upper management. You will be advised on exactly when and where to report to following any events. If for some reason any employee has not been contacted by a member of management they should automatically report the storage warehouse. For example; You report to work and see the building is on fire or is tape off and not accessible. Report to the storage warehouse and follow the recovery plan as discussed. Just to touch base on a few key topics that we have discussed and implemented into our recover plan above. Backup specs – Cobian Backup and Backup Maker ( storage to local, external , remote , network drives and FTP servers. 24 retention policy in order to prevent storage caps Roles and responsibilities – Carl Handratty (Backup Administrator) responsible for backups, ensure retention policy is in place, backups scheduled for every 24 hours beginning at 4pm. Checking each morning to ensure that backups were completed successfully and correcting any issues. Helping users with any issues during restoration process along with all other members of the IT support team. Ensuring backup is secured at alternate location and completed successfully. Location – Storage warehouse. Workstations have been setup for employees in the event of disaster
