MIS 255 2/11/2018 Deliverable 1 – Case Study- Back Breaking Work (Einbinder) 1. What mistakes were made by the student in this case? How did these lead to the initial failure of the project? First, as mentioned in the case study, this project is given to a medical student who does not have much experience with implement this project before. Therefore, it leads to many initial failures of the project. As we understand that, it looks like this student did not have any study and understand about the background of this medical center. So, we can see that many time in the case study, the student just did something, and then fail right away, such as having trouble with Ms. Jeter when finding a location for computer terminal. Also, the medical student did not have a specific plan, and set a due date to meet each objective in the project. As the result, many tasks in the project is taking longer than what he expected and out of his control in term of effectiveness and meeting time frame. There is also lack of communication to work together between staffs during implementation time. The student could not keep track of what is going on and where is process of the project at. Again, the work could not be done, so the team could not meet their goals at the time they wanted. The student didn’t understand well the sample that he wants for the survey, so there is a big gap between with the reality and his expectation at the outcome. Also, the student didn’t identify the risks before doing anything, so we can see that many times in the project he only realized the fact after the task is already processed. As the result, there was wasting of time, and resource that caused by lack of understanding the project. 2. What would you do differently from the start? What solutions would you suggest for the following issues? Physicians Clinic staff Infrastructure/Hardware From the start, I would spend time to study about the background of the project in order to get ready before implementing any process to the process. Because if I know the background, I would know what to choose to be compatible with the current conditions of the medical center, such as software, hardware, or room position, height of monitor. Also, I would set objectives and timeline for each, so I could have a specific plan to follow to avoid wasting time. Identify risks and threats are also what I want to do from the start, so I could limit the failures that could happen to my project. Also, I would focus on my main goals rather than just have to fix someone’s problems, as can be seen in the case study, Chris have to deal with issues that caused from other, such as issue of space. Solution for physicians and clinic staff, there should be more communication between team members. Having good communication would help my team to work well with each other, as helping others to move forward instead of having the project is stuck at the same place. Also, it would be easier for me to keep track of where the project is at whether teammates could complete the task on time. So, I can just adjust time frame from there or sending more help to get the job done on time. For infrastructure/hard ware, there should have been a measurement and studying on the current condition of the medical center before ordering and setting up any objects. For a better solution, I need to make sure objects need to sit with the space that I have. Before
using any new technology, there should always be a training to my staffs. So, they can get more unfamiliar and get the job done effectively. 3. At the end of this case how might you proceed to re-implement this project and make it successful? (See Epilog) As mentioning in the Epilog, there was a meeting between Chris and all the staffs on finding the causes of failure in the program. They found out that the problem was the impact on the clinic workflow. To re-implement this project, Chris and his team should have focused on the planning and measurement as I have mentioned earlier. Also, the workflow of the clinic is very important that the plan should be follow. Within a short period of time, changing the workflow to match with project would be impossible. For my opinion, I would design a plan for my project that I will try to avoid changing the work flow as much as I can before be having implementation steps. Patient usually wants to leave right after seeing doctor, so I agree with having the survey shorten that only includes necessary information. To avoid wait time and missing needed information, survey should be given to patient after instead of before seeing doctor. 4. What are the appropriate roles and responsibilities of the following characters? Are there expectations reasonable on the basis of this case experience? Student: As students, they don’t have much experience that could take an easy task as giving and collecting survey to patient. Also, they can be trained to help explaining the instruction on how to complete the survey. Physician: They should overlook the project, and giving out instruction and requirements about exactly how they want. They should communicate well with the project manager, so they can keep track of how it is doing rather than just give it to the team without looking at the process. Clinic staff Clinic staff should only focus on their main goal which is assisting patient. They shouldn’t be mind about ordering or any other process. They should stay on their workflow as taking care of patient. Support staff ASR They should focus on installation and troubleshooting of ASR Spine Survey. Data should be secured at all time. They could help on training on using software, so other staff can be more familiar with that. 8. How might the changes made in the Epilog improve the functionality and likelihood of the successful re-implementation of this system? (How do these changes resolve the problems identified in the implementation of the system?) Having a good research and clear plan always help project management preparing a lot better before implement process. Having those changes could help this project avoid taking longer time than expected. Staffs does not feel uncomfortable on changing the work flow. Giving right tasks to people would help them use their skill to achieve the work effectively. They could cut a lot of wait time that could occur while patient complete the survey. There shouldn’t be any wasting on space and resources. These changes should help the project run smoothly and save a lot of time to be completed.
