IDS 105 Project Template Cultural Awareness Guidebook Identify your chosen scenario. Conflict #3 – Working with a colleague who is in a different time zone Part One: Social Justice (Complete this section in Module Two.) 1. Explain the difference between justice, fairness, and equality in the scenario. “There are four categories under Organizational Justice: a) Distributive Justice b) Procedural Justice c) Informational Justice and d) Interactional Justice” (Mulgund, 2022). Justice in the workplace all four categories. Fairness refers to the workplace treating everyone equally and no one being left out for any reason. Equality is equal treatment but, in the workplace, it should be more about equitable treatment as opposed to equality. Not all employees have the same strengths and opportunities, therefore equality is more so a representation of equitability. In the case of two colleagues working together in different time zones, the manager should set deadlines that fit into an equal amount of time for each but based on their time zone differences, such as the three-hour time difference between PST and EST. If the employee in the EST time zone is given a time limit of 9:00AM to 5:00PM EST, the employee in the PST should get the same hours in PST to not have to work 6:00AM to 3:00PM PST. This allows for fairness and equality to have a work life balance and to be treated justly. 2. Describe how bias can influence your perception of social justice in the scenario. According to Hill (2023), “Stereotypes can lead to the development of implicit bias, bias against particular groups about which we’re not consciously aware”. Biases begin forming within each of us at a very young age based on the views and opinions of our parents, social groups, and societal influences.
When working with someone in another time zone to complete a project on time and fully we must set aside any biases we may have based on the stereo types that someone may be lazy or not committed based on their time not matching up with ours. The same is the case for working with someone in another country. We may be biased towards individuals’ access to resources or information due to our upbringings and beliefs about our country versus theirs. If I am working with a colleague on another continent where the time zone is 12 hours different, it would be easy to feel left out or to the contrary overwhelmed in the workload as I may not be able to communicate verbally with the colleague. I would benefit greatly from carrying empathy and understanding for myself and for my coworker to ensure that we are both getting equitable treatment and having access to the same quality of resources in order to complete the project together as a team. I would also need to understand that my colleague could have implicit and preconceived bias against me. We would both need to be open-minded and communicative to break down the social biases we may both have. 3. Describe how different narratives in society can impact your perception of social justice. Social Justice and the concepts that are viewed by societies are greatly influenced by stories passed down generation to generation. In the scenario, narratives can greatly influence how two people view each other based on cultural norms, societal norms, and prejudices based on those differences. To work cohesively both individuals are burdened by the challenge of understanding that the press and opinions of those around us are not always true. Describe the core principles of social justice in the scenario. I would need to be aware of the social injustices that are in my own society and be able to decipher between opinion and fact. For example, if I am partnered with someone in India, many people in my culture have biases about how workload is being outsourced and racial biases and prejudices are associated with the outsourcing. It would be imperative for me to ignore those biases and prejudices and treat my counterpart with equal and equitable integrity. 4. Describe the core principles of social justice in the scenario.
The Core principals of social justice are access, equity, participation, and human rights. When participating in a group project, especially with someone in a different time zone, it is important to keep these principles in mind. Access will need to be made equally to both parties so that resources are being distributed fairly. Equitable treatment where both parties have resources and time permissions available that fit their unique needs will need to be met. Both my colleague and I must have the autonomy to voice concerns and place clear input into a project being completed by us. Finally, both my colleague and I need to treat each other with courtesy, dignity and respect where our cultural, economic, and values fall. Our superiors must also take into consideration our rights as humans and be mindful of challenges that may arise within our working together. Part Two: Intercultural Communication and Collaboration 1. Describe how you would demonstrate cultural fluency in the scenario. (Complete this section in Module Three.) To be culturally fluent has always been an important concept, which is to be able to communicate with those from a background that is different than your own” (Fitzsimons, 2019). To work with someone in a different time zone I would need to first understand what our cultural and societal differences are. Next it would be imperative to understand what communication styles and etiquette my colleague finds acceptable in business practices. Compromise would be important for both of us to be open to. When first being assigned the project, I would want to have an open conversation with the colleague to find out what our differences and expectations are and what moral, integrity-based ideology differences would be in the project completion. 2. Describe how cultural fluency benefits your self-awareness. (Complete this section in Module Three.)

Cultural fluency can be beneficial to our own self-awareness. Being aware of the differences in cultures and how our own morals and values compare to those of others teach us more about what we truly believe in and what aspects are non-negotiable for ourselves. Take for example, two colleagues from different religious backgrounds, one being Christian and one being Jehovah Witness. The Christian colleague may need to take a day or two off during holidays where the Jehovah Witness doesn’t celebrate holidays so could be offended by the lack of work done on a holiday. To be aware of this difference, a conversation can take place ahead of time to avoid miscommunications and upset feelings. 3. Describe how an awareness of other cultures can benefit interpersonal communication with people in the scenario. (Complete this section in Module Four.) Being aware of cultural differences within your business and when working within a group or team can allow you to communicate in clear and concise ways that help all parties to understand the expectations. The awareness allows you to be sensitive to how a colleague may feel about certain challenges that may arise. A good example of where this can be most beneficial is weekend work. In a large array of countries, it is seen as unacceptable to work on a Sunday. In the United States, that is not a common practice for many businesses. If I am working with a colleague that has time restraints of Monday through Friday only, it would be imperative for me to not only be aware but also not to try to reach out on a Sunday to communicate regarding the project. 4. Describe how exposure to diverse backgrounds can positively influence communication in the scenario. (Complete this section in Module Four.) Diverse backgrounds can help colleagues teach each other and foster a culture of growth within a team. “ Diversity refers to differences within a group, which can include, but are not limited to, differences in race, ethnicity, disability, nationality, socioeconomic stratum, gender, gender identity, and sexual orientation” (Olzmann, 2020). What one may learn growing up in the United States may be more or less than someone who grows up in the United Kingdom. School systems and access to resources can vary greatly and those variances can lead to colleagues having
different ideas on how to ensure a project is successful. Fostering this type of teamwork can allow for more enriched content and for the development of individual experience and knowledge. 5. Explain why an awareness of diversity is beneficial to collaboration in the scenario. (Complete this section in Module Four.) Managers who are aware of diversity throughout their teams and pairing colleagues together from a diverse background can and will foster growth not only for their team members but for their company. Understanding that diversity itself is not the only factor in this situation is important as well. Understanding that cultural differences can lead to successful growth and to detrimental challenges is important. When understanding differences are not considered and or explained confusion and frustration can ensue. To pair a team together with vastly different backgrounds all parties must take into consideration what challenges will need to be faced and discussed prior to moving forward. Teaching a team through their diversity however will allow for more open mindedness and support in the future growth and success of the company and team. Part Three: Communication Strategies to Navigate Conflict (Complete this section in Module Five.) 1. Describe the components of the conflict represented in the scenario. Conflict #3 – Working with a colleague who is in a different time zone You and your colleague work at the same organization, but you are based in different countries and time zones. You are in the United States, while your colleague is in India, which is 10.5 hours ahead of your time zone. You and your colleague are having trouble communicating effectively,
as you are often unavailable during each other’s work hours. You recently began to miss important deadlines in your current project due to the trouble coordinating your work with each other, which leads to frustration and tension. Our cultural and time zone differences can pose many issues for both of us. Effective communication or lack thereof in this scenario will likely lead to both my colleague and me feeling overwhelmed and unable to complete the project effectively. There is also a component of resentment that likely will ensue if we cannot figure out how to actively work together on this project. 2. Describe different interpersonal communication strategies that can be used in conflict resolution. There are five interpersonal communication strategies. They are avoidance, competition, compromise, accommodation, and collaboration. When dealing with a colleague who is in a different country and time zone compromise, and collaboration are the key strategies to use to resolve conflict that may arise. “A compromise, also called a shared outcome, assumes that each party to the conflict will have to give up something in order to gain something more important” (Hill, 2023). In this case compromising could be anything from giving up sleep or social activities to allow for time to communicate verbally with the colleague. Compromises can also be more complicated such as giving up parts of the project to my colleague to ensure they are comfortable with the capability of completing the task. “Collaboration, the assertive, cooperative conflict management style that assumes a solution can be found that fully meets the needs of all parties to a conflict” (Hill, 2023). Working together to find a way that works for both people to be successful is imperative to completing the task together. Collaboration allows for both colleagues to feel completely secure and confident in their work and work in a style that fits their needs as well as their colleagues needs. 3. Choose an appropriate communication strategy you would employ in the scenario. Include an explanation of why you chose that communication strategy.

In this scenario I would use written communication to ensure that my words were clear and concise. I would write with empathy and soft tones to make sure that my colleagues not only understood me, but also that they understood my dedication to working together and making our project a success. Through my communication I would ensure that my words stayed steady and that I was being viewed as patient. These strategies help to build rapport and trust between colleagues. The final strategy or step I would take would be to ask questions that show a sense of interest in what is working and not working in our partnership. This will help my colleague feel comfortable in our ability to work together and be successful. According to Hill (2023), principled negotiation is a strategy I would highly recommend using as it is described as “A general strategy that enables parties in a conflict to express their needs openly and search for alternatives to meet the needs of all parties without damaging their relationships”. To use this strategy both my colleague and I would be able to maintain a relationship while communicating our frustrations and needs to each other in a safe environment. 4. Describe the potential challenges of communication in the scenario. Potential challenges in this situation are time zone differences, language barriers, and cultural differences. Time zone differences, although playing a big role in the challenges, is the least of the three concerns. Language and cultural barriers will pose the most threat to actively participating as a team. Both my colleague and I need to have empathy, understanding, and respect for our differences and must allow each other to communicate our non-negotiable strengths and opportunities to each other openly. Potentially there will be many aspects of our work styles that are different, mostly due to our cultural upbringing, however we both work for the same company so we both have qualities that will allow for this project to be completed cohesively. 5. Describe the benefits and challenges of using restorative practices to navigate the conflict in the scenario.
Restorative practices are a way to empower and repair relationships through open communication. Using restorative practices can benefit and challenge a conflicted situation. A great benefit is that restorative practices help with reconciling conflict over adding punishment for conflicts. A challenge of restorative practices can be that the mindsets or common practices of organizations are to give discipline and changing their practices can be hard if not looked away from. In the scenario, using restorative practices can help both colleagues feel heard, seen, and understood, where as just disciplining can add to frustration and set the project further behind.
