This task may be done in your own time as homework or you may be given time to do this task in class (where applicable). WHAT DO I NEED TO SUBMIT ? Meeting notes/meeting minutes Email to Operations Manager First draft of newsletter Final draft of newsletter Completed document checklist (provided) WHAT DO I NEED TO DO IF I GET SOMETHING WRONG ? If your assessor sees that you have not completed all parts of the task completely and satisfactorily, the details of resubmission will be discussed with you when you are advised of the outcome of this task. You will only need to redo the parts of the task that are incorrect; however, you will need to resubmit the entire assessment again. PART A – Planning of a newsletter I NSTRUCTIONS : You are the Administration/Project Officer for Grow Management Consultants. Your main duties as the Administration Officer include administering the day-to-day activities of the office, including organising meetings and travel, organising workshops and conferences, developing a range of business documents, providing assistance and support to all senior managers and answering a range of client enquiries. As the Administration/Project Officer, you have been given a new responsibility to design and write a monthly client newsletter to be sent to all existing clients. The aim of the newsletter is to inform clients about trends in leadership, plus a reminder of upcoming events and new products. You are required to meet with the Operations Manager to discuss the content and presentation requirements for the first issue of the newsletter in accordance to GMC style guide (find in
additional student resources) Complete the following activities: 1. Participate in a short meeting with the Operations Manager (this will be your assessor) to discuss the requirements for the newsletter. 2. During the meeting, you will be required to take notes of the information as required for the memo in activity 3 below. 3. Write a memo confirming the information discussed at the meeting including: Identified audience, purpose and requirements of document according to organisation policies and procedures Identified required format, style and structure for document Determined method of communication (newsletter to be distributed by post/email, or posted on website) and word processing software to be used Summary of content to be included in the newsletter Timeline of the project 4. Submit a printed version of your memo and attach the template of newsletter structure. MEMORANDUM March 01, 2021 To : All Employees From : Operations Manager Subject : Final Result To all of the employees, I would like to share the final meeting confirmation about trends in leadership for newspaper in order to succeeding the goals, target and achievements of the company and also creating a memorable event for our Christmas eve. There are some points that we have to consider for the newsletter such as our understanding of the content to run the whole purposes. It is also the style that we present to the reader that could catch reader attention. The explanations will be so much help to deliver the message clearly. This is would be so much related to the upcoming event that we have since it will cause to emerge an innovations, ideas and also creations so that the Christmas Event would be so perfect. Thank you for your attention. PART B – Drafting and finalising a newsletter I NSTRUCTIONS : You have noticed in the Use of Computer Systems Procedure that you are not authorised to send
the newsletter in a Microsoft Word format as an email attachment. You are also not authorised to send emails to all clients from your email address. Address this information in your memo, outlining what you are required to do. You identify there is a gap of information in the newsletter and decide to add a section. Decide on the extra information based on the other content of the newsletter and explain your reason for including it in your memo. Examples may include: Tip of the Month, Upcoming Leadership Events, etc. Complete the following activities: 1. Draft an email to the Operational Manger that address all issues mentioned above. 2. Develop the first draft of your newsletter, ensuring to include, - company logo - photo of yourself or appropriate image from the Internet 3. When you have completed the newsletter, save the newsletter according to the requirements documented in the “Use of Computer Systems” procedure. 4. Review your newsletter and complete the checklist. You will be required to submit this checklist to your assessor. 5. Make changes to your draft as per Grow Management Consultants Style Guide. 6. Update your newsletter and save it according to the requirements documented in the “Use of Computer Systems” procedure. 7. Submit printed copies of - your email - first draft of the newsletter Dear Operational manager, I would like to consult with you on 2 issues facing: The newsletter is not allowed to distributed in Word file.
