In trying to reduce the nurses’ workload, it is essential to ensure the confidentiality of the patient information which is paramount in implementing a voice recording system in a healthcare situation. One way is to ensure that the system has secure encryption and transmission. Healthcare facilities are required to implement robust encryption measures that ensure patients’ data is well safeguarded. access controls to limit unauthorized access to patient information and patient privacy. To ensure strict access control, the health care facilities can come up with role-based access permissions that will help ensure that only authorized personnel can access sensitive patient information. User authentication is an important factor to consider and the hospitals can achieve this by implementing a multi-factor authentication for an additional layer of security.
Training
To ensure an effective practical approach to using voice recording settings, it I vital to
train nurses and clinical managers on the importance of the voice recording system and how to use it. This approach can help the nurses to integrate the support of the integration process as well as reduce the potential concerns of the nurses to protect their privacy and confidentiality during the recording process. Training the healthcare staff would help them realize the importance of maintaining confidentiality as well as emphasize the need to avoid discussing sensitive patient information in a non-secure environment. Training helps the nurses follow the established protocols to handle the recorded data (Zolnoori et al., 2022).
Legal and regulatory compliance
Most hospitals and healthcare facilities have policies and laws that are against the sharing of patients’ information. the voice recording system approach should ensure that it complies with the relevant healthcare data protection laws and regulations in the General Data Protection Regulation (GDPR). The laws require consent and patient communication from the patients using voice recording systems in their care. The system approach should ensure proper patient identification to help assess the security and accuracy of the patients who are within the system to avoid recording the wrong information for the patient.

Before implementing the voice recording system, the health care center needs to assess the system's integration. This would be important to assess the compatibility of the system with the existing healthcare IT infrastructure. Incompatibility of the system would lead to operational inefficiencies and data transfer issues. During the integration of the voice recording approach, evaluating the risk of system failures or downtime could impact the availability of the recorded data. Implementing backup systems and recovery plans would help to minimize system failure. Various barriers are experienced such as software failure, and inaccuracy in the audio transcription among others. Decreased inaccuracy may come about due to the effect of accent, slang, and the women's voice which may affect the patient's treatment. Accuracy is a quality factor that is highly recommended. The voice recording system is bound to spend more time on editing, ensuring quality control, and correcting documents rather than when the clinical documents are in a traditional written manner. The editing transcription is done by an individual which may cost a lot of time for the healthcare organization in addition to time consuming. In terms of achieving accuracy, voice recordings may lack detailed context whereas handwritten may provide diagrams, sketches, or specific formatting.
Resistance to Change
Introducing a new system to healthcare organizations may cause resistance from health professionals from traditional note-taking to voice recordings. According to a study that was carried out by
