PM WEEK – 5 QUIZ - 4
Chris and Angela are recently engaged and planning their wedding. They want a simple church ceremony followed by a formal reception. Since Angela’s parents are paying for the wedding the bride and groom want to include them in the planning. Angela is busy at her demanding job, so she hires you as her wedding planner, impressed by how you approach
the wedding as a project.
You set up an initial meeting with Chris and Angela to discuss their requirements, following a checklist that you use to define the wedding project scope. Working with the couple you define this scope for the wedding project. The couple agrees it covers everything they want. Angela tells you that she wants to hold the wedding in six months, and her father needs a budget estimate as soon as possible. Her parents want to be involved as much as possible. You warn her that they need to move quickly. What do you suggest as the next step?
Meet with Angela's parents to see if they have anything to add to the requirements before you do project planning and budget estimates. Angela and Chris hesitate since her father is out of town for two weeks, which would further delay the planning.
You document Chris and Angela’s requirements, including their decision to have a DJ provide music during dinner and the reception. But when you meet with Angela’s parents to review the budget you are surprised that her father insists on
live music, and even recommends a favorite band. It was good to meet with this key stakeholder early in the process, to understand his requirements before finalizing the plans. You have time to book the band and work them into the budget.
The next item to plan is photography. Angela’s only requirement is for six hours of photography covering the wedding and reception, and three copies of a wedding album. You know several photographers that offer standard packages that meet these basic requirements. You suggest there may be other factors to consider, like the personality of the photographer, videos, what happens if you need them to work overtime, etc. Angela is busy and asks you to just select a photographer that meets her needs.
How do you respond to Angela?
You insist on another meeting to agree more specific criteria for the photography. Angela is frustrated, saying that you are over-planning this item and should just book one of the options you identified, but then agrees to meet with you again.
What do you suggest that Angela do before confirming the contract?
You arrange meetings to interview caterers and to sample their food. Angela selects one that you have not used before, but who has good reviews. The food is excellent, and the price fits the budget. The caterer sends Angela an email outlining a tentative menu and pricing. She asks Angela to reply to confirm their contract, with an agreement to meet again three weeks prior to the wedding to finalize headcount and any last-minute menu changes.
You want another meeting with the caterer to discuss exactly what they will and will not do on the wedding day. You have already agreed on the menu, pricing, and the task list. You assume they will complete their work as customary in your area. The couple questions why you insist on yet another meeting, but ultimately agree.
