Scenario One Message Creation February 04, 2024 To: Toby Webner, IT Manager Subject: Website Update – New Branding Good morning, Toby, I hope everything is well, as you know we have been working in the past months to update our style guide to reflect our organizations new brand’s personality; we are in need of some assistance to match our new brand personality with our current website; after doing a throughout review, we find our original website does not represents anymore what we as organization want to project to the public. We have been working with our entire communications team to send out surveys about our website image to our current customers, and most of them left the following comment “outdated… difficult to navigate… doesn’t seem to represent the organizations current brand…”, this is why we feel the need to work with you to fix this issue. I would like to schedule some time with you to go through our main changes and that way we can discuss how we can bring our new branding to reality on our website. We would need to focus on changes such as aesthetic, colors, location of navigation bottoms, and more, I will bring

I believe we are facing an internal lateral communication because both Toby and I are managers of different departments within the organization, in the message I am sharing concerns, information, ideas, and feelings about certain situation that affects both since is related to how others are viewing our organization. Reflection on Best Practices on Business Writing To write an effective message I used as a guide the 7Cs of communication, which helped me draft a clear, concise, concrete, correct, coherent, complete, and courteous message; the information I provided in the body of the email met all the 7Cs of communication points, and showcased a well written email adding all the points we got on Scenario One paragraph; I also added an in-person meeting which can help drafting a better image of what we need from the IT department, I chose offering an in-person meeting too because “26% of employees think that email negatively impacts productivity 2”(Writing strategies for business communication" n.d.). Message Rationale Audience Identification Our target audience for this message are the customers of Leviathan Technologies, the main idea of the message is to communicate our re-design Sonic2 product without any errors in the hardware. It is an external communication message because the company is communicating with their customers, in this case the message comes through the PR company in the name of the VP of communications. Since the PR team is not part of the company but is a third party, we see how the message does not come directly from them. Channel Selection For the Scenario two I decided to do a press release, that can be posted on the different social media platforms of Leviathan’s Technology and send to our email subscribers as well. They are appropriate channels because it needs to be a public announcement that all our audience can easily see. As a press release this will have to be posted on our website for people to easily have access to it if necessary. Reflection on Best Practices in Business Writing For this second scenario I used the same method of 7Cs of communication, I used formal writing and precise information to communicate with our target audience.
