Jordan Blair CMGMT 3468 April 10 th , 2022 Goodwin Procter (KMS) Background; Paragraph 1; History of GP Goodwin Procter is an American multinational law corporation whose headquarters are in Boston. This large law firm has lawyers across Cambridge, Frankfurt, Hong Kong, London, Los Angeles, Luxembourg, New York City, Paris, Santa Monica, Silicon Valley, San Francisco, and Washington D.C. Goodwin Procter focuses on complex transactional work, high stakes litigation and advisory services. In 1912 lawyers and former Harvard classmate Robert Eliot Goodwin, and Joseph Osborne Procter started a law firm, which opened its offices on July 1, 1912 (Goodwin Proctor, 2022). First Case was a woman who came in and needed a lawyer after her husband died in the sinking of the Titanic, and she wanted to sure the company. Goodwin Procter thought that they weren’t going to win because it was a big company, they ended up winning the case and put their name on the map (Wikimedia, 2022). Paragraph 2; Ethical Standard of GP The Ponzi scheme was the next thing that Goodwin Procter dealt with, this was the idea that Ponzi was selling stock to people, only that there wasn’t any stock. Ponzi was just pocking the money and using it for himself. If someone wanted to cash in their shares, he would just give money to them that he took from someone else. Next Goodwin Procter got hired by a sardine company that wanted them to sell their stock, to find out that this company didn’t exist. To fix this problem Goodwin Procter took out a loan and paid back the investors that they sold this stock to from this company that didn’t exist. By doing this they established a high standard for their firm. Although a computer incident may have put them back in the hole. The idea that Goodwin Procter had a very bad computer system allowed simple research that should take 2 hours was taking 2 weeks, and they billed their customers for these 2 weeks of research that could be done in 2 hours. This sets an unethical principle for their firm and hurts the already good ethical standard (Goodwin, 2016). Paragraph 3; GP Today This large law firm has lawyers across Cambridge, Frankfurt, Hong Kong, London, Los Angeles, Luxembourg, New York City, Paris, Santa Monica, Silicon Valley, San Francisco, and Washington D.C. Goodwin Procter has 13 offices and approximately 1,400 attorneys. The cases that Goodwin Procter handles today are that they are a general practice attorney, lawyer,   Patent, trademark and copyright law,   Product liability law   Real estate law . They do almost everything. The 2019-dollar revenue figure for Goodwin Procter was $1.33 billion, and it increased 11% from the year 2018 (Goodwin, 2020). Paragraph 4; GP Today Goodwin Procter needs a KMS because they have 13 offices, 1,000s of system users, millions of terabytes of data, millions of numbers of cases, and millions of papers in the filing cabinet. This amount of data has made the lawyers finding research takes significantly more time than it has been before. This process of researching for a case should only take about two hours but it is taking weeks to find out because of the amount of data that Goodwin Procter has in their systems. This brings the idea of billing these people for a week of work that should only take 2 hours which is unethical to their clients (Smith, 2020).
Paragraph 5; KMS Knowledge Management System is any kind of IT system that stores and retrieves knowledge to improve understanding, collaboration, and process alignment. Knowledge management systems can exist within organizations or teams but can also be used to center your knowledge base for your users or customers. This definition is broad and can be narrowed to the following purpose, the idea of the knowledge management system is to help people utilize knowledge to better achieve tasks. There are many kinds of knowledge management systems, but they all have some common characteristics that include, FAQ content, forum or community feature, how-to articles, tutorials, education programs, certificates, case studies, and webinars. There are many benefits to knowledge management systems the most important benefit is that best practices are available to customers, which creates happy and successful customers. Happy and successful customers always keep coming back to buy more and more, and then they refer other friends and family. Also creating useful knowledge management can free up the time of your support staff while providing a similar or an even greater level of customer satisfaction (HubSpot, 2019). Issue; What Knowledge Management System should Goodwin Procter implement? Alternatives; 1. Google Drive 2. Confluence 3. AbacusNext 4. Workzone 5. Huddle 6. Microsoft SharePoint Analysis of Alternatives; Alternative 1 – Google Drive is Suboptimal Google Drive has many disadvantages with its system. They often have security risks; this can lead to the tarnishing of the law firm’s reputation. Google Drive also always needs internet access so this could be troubling when the company needs to work offline or even when traveling for business. Another big issue that Google Drive has is its inability to save larger files, the file size has limitations that can’t hold as much data as other platforms. To add to limitations with file size there are also limitations with the amount of data that can be uploaded in one day, this can create problems with larger companies. Lastly, downloading and uploading from Google Drive, with millions of people using the platform simultaneously you can expect slow speed to occur (Smith, 2021). Alternative 2 – Confluence is Suboptimal . Confluence has many disadvantages, and it begins with its graphics the application isn’t very graphic so the user interface has a lot of options and can be very confusing to new users. This system is also old compared to other systems. Navigation on this system is not always intuitive, because of this user engagement is not as strong as it could be (Gibson, 2019). Another big disadvantage for confluence is the idea of pricing, and it’s not even that it is too expensive the idea behind an unexpected price increase was not a good idea for companies. Small and start-up companies would have a hard time adding this unexpected charge (Patankar, 2020). Alternative 3 – AbacusNext is Suboptimal .
AbacusNext has some disadvantages with this platform, the first one lacks integrations, meaning that updates to the system aren’t communicated with the users and they then need to figure out how to use the new system. Another problem that this system is that when it has a problem the system freezes, as well as the system's billing is difficult to figure out. Along with the complicated billing system, they require you to pay for more storage in the system (Abacuslaw, 2021). Alternative 4 – Workzone is Suboptimal . Workzone has some disadvantages with this platform, the first one is that advanced budgeting or accounting features aren’t offered, and on-premises deployment is not available (Pardo-Bunte, 2020). Another problem that has occurred with Workzone is setting up dates for a project, there could never have more than one task per date day, this issue doesn’t work when you have multiple employees that have jobs to get accomplished (Bistricean, C., 2014). When a project is completed, the documents are not automatically archived, they must be manually moved to the archive section of the document manager, this is another problem that Workzone has. The notification system also has some problems with the idea that some people were receiving too many notifications and some people were not receiving enough notifications (Sanford, C., 2015). Alternative 5 – Huddle is Suboptimal . Huddle has some disadvantages it has no reporting capability and does not allow folders to upload from the desktop, the desktop app is also very unreliable and it’s difficult to maneuver and you can’t use the desktop. The tasks are virtually useless and have no context huddle also has a lot of plugins, but they periodically cause many word and excel crashes, which is very frustrating (Huddle Review, 2022). Alternative 6 – Microsoft SharePoint is Optimal . Microsoft SharePoint is the optimal solution because of many different reasons. Microsoft SharePoint is a web-based collaborative platform that integrates with Microsoft Office, which includes word, excel, and PowerPoint. Microsoft SharePoint also works very well with all browsers; it also has multipurpose functionality built-in which can help benefit businesses. There are also different levels of permission which helps with security. This software has the function of document sharing (Top 10 Benefits). Microsoft SharePoint is also very customizable to whatever the needs may be for your company. The biggest advantage of Microsoft SharePoint is the idea behind cloud storage, this allows you to access these documents while on a mobile device.
