Assemble an action plan for project management implementation, completion and measurement. Directions Sometimes organizations do not have the skills or knowledge to manage a project, whether it is the whole project or parts of it. If an outside vendor or contractor is needed to help plan and/or run a project, a Request for Proposal (RFP) is created. The RFP outlines the scope and requirements of the project and is sent to other organizations to determine if they are interested in working on the project. A detailed, accurate, and thorough RFP allows potential contractors the opportunity to understand expectations and to accurately propose their services and accompanying costs. Directly below is a template of the typical sections that are included in an RFP. For Part I, you are going to complete this form to hire someone to perform two tasks found in the Portfolio Project. Since this is only the second module of the course, you are not expected to be an expert on the Portfolio Project yet . However, you received the Portfolio Project Directions and the Portfolio Project Template documents in Module 1, so this is a great time for you to review those documents again to get accustomed to them.
BUSS420 – Project Management 2 Look at the Project Schedule in Appendix A of the Portfolio Project Template. In this RFP, you need to hire someone to help with the last two items on the schedule; your new hire will be responsible for the following: Names of RSVP’d attendees Providing a list of all items to be purchased before your graduation party The names of the restaurant and band for the party The date/time/mode of transportation to get to the graduation ceremony and party. For Part II of this assignment, you will create an email communication to the President with your evaluation of an outside RFP template and make your recommendations for improvement. Part I Directions : Fill out the RFP template below. Use the information provided above and then be creative for the rest of the sections. In most sections, you only need one or two concise, detailed sentences per section. The goal here is to give you practice understanding the various sections of RFPs and what to include in them. Note that in this RFP, you do not have to give the actual details of the information, only a description of what is needed. For example, in the first bullet point above, you would state that you will need data entry into Excel (names of RSVP’d attendees.) You will not list out the actual names in this RFP as you would not have received those names yet when sending this RFP. BUSS420 – Project Management 5 Reference for RFP template: Gido, J., Clements, J., & Baker, R. (2018). Successful project management (7 th ed.). Boston, MA: Cengage Learning. After completing the RFP given by the President of the company, I’ve realized many similarities and difference between another RPF used by a different company. The RFP template that was used for Institute of Food services share some similarities and differences with the template that was used for this project. When creating an RFP, you have to make sure that RFP should start off with the date and a greeting to the vendor, Name of the company’s contact, Address to submit completed RFPs to, and Due date of RFP. This will make it easier for contractors to follow along and know who they are associating with. Recommendations that I have to make the RFP above better is to add more categories to further explain the project vision. The template categories that I found that was used in the RFP for the Institute of Food Technologists organization. This template starts off with introduction and a brief background of the company. In the RFP template that I used for the project doesn’t include an intro and background category on the template. Another difference that I’ve seen was that the IFT template includes target audience and competitors, it also has categories like Vendor Expectations, General Criteria, Key Dates, Core Message and Strategic Goals. Some similarities that both RFP templates share is, Requirements, Acceptance Criteria, Due Date, Payment Terms, and Statement of Work. IFT Request for proposal has many categories listed that goes into deep detail on what they want finished with their project. There are many important sections that needs to be added in an RFP. The Categories that I find that are important to add to the RFP is the due date, Statement of work, requirements, and deliverables. I say this because, Statement of work “details about the contractor’s specific tasks.” Requirements “details about expectations to consider the project a success.” Deliverables what the customer requires as a product. These are the key points that should be addressed in an RFP because it gives the contractor an understanding on what needs to be done. I don’t think it would be necessary to omit any section in an RFP only because every detail is important in the proposal, and the more information the better it would be for the contractors. The categories included are best related to enlisting support for organizational projects would be the category approval, this includes listing
