Business Situation: Collaboration [ situation #3 ] When a business has an effective flow of information in place it can enhance the collaboration of the team. Effective collaborative communication benefits the organization by allowing employees to work together to learn from one another and come up with creative and better solutions. This is why it is important for companies to foster effective communication within their business. In the article “How Can Collaborative Work and Collaborative Systems Drive Operational Excellence in Project Management?”The authors’s stress how investing in effective communication systems and environments will benefit the organization’s productivity and creative problem solving techniques. One problem companies had to adapt to was when the covid pandemic hit, companies now had to learn how to be collaborative from a distance. In response to the pandemic, companies heavily invested in collaborative communication software. Such apps like Microsoft Teams, Skype, and Google Drive helped companies to stay open while employees worked from home. This heavily influenced the importance of collaborative communication. Microsoft Teams saw a significant increase of 1080% at the start of the pandemic and that number has continued to climb since then. Companies saw the importance of being able to continue to collaborate even while not at the office. Strengths -Higher levels of employee engagement Weaknesses -Stronger personalities may take over
-Unique and creative solutions -Productive employees -Weak communication allowing for errors and misunderstandings Opportunity -New Technology like Collaboration Software Threats -Lack of clear communication -Employees putting themselves before the team Strengths of collaboration include higher levels effective employee engagement, unique and creative solutions to the companies projects. A weakness would be the companys efforts into effective communication. If a company cannot communicate properly with it’s employees then collaboration efforts can break down. Companies have the opportunity to take advantage of technology to help create better work flows of information. This can empower employees feel more comfortable with engagement and the collaborative ideas can help the business. Threats to collaborative communication can be fragile. Without a serious commitment from everyone on the project, communication can break down. I would recommend that all businesses should invest in and promote collaboration efforts between employees at all levels of the organization. How, they can make changes to ensure employees feel valued, and that their feedback is of note and will not be ignored. Employee Engagement. They can also ensure their employees have all the necessary tools and software applications needed to be a productive member. This will ensure the business has clear communication so everyone knows what is expected of them and what value they can add by collaboration. Business Situation: Problem-Solving [ situation #4 ] Collaboration efforts can also help a company with Problem-solving. When a company can communicate effectively, they can collaborate together in order to come up with a solution. Problems being solved by many, rather than one, allows for the organizations employees to draw from one anothers experiences and knowledge which can then lead to unique and successful solutions. Problem solving is the process of removing barriers in the way of achieving the businesses goal. It is important for leaders to develop and continue to learn problem-solving skills. In the article Why Problem-Solving Skills Are Essential For Leaders In Any Industy by Catherine Cote she claims problem solving can be broken down into stages to manage easier. “Stages of Problem-Solving, 1. Clarify, 2. Ideate, 3. Develop, and 4. Implement.” Again being able to effectively communicate will allow the business leaders to have better results for problems. A concern could be the quality of leaders Cote says.
Problems can arise when a company's leaders lack the communicative skills necessary to promote problem-solving. If a company cannot implement the changes to support the solution, or failing to do so in a timely fashion can weaken the solution effectiveness. Strengths -Employee Profiency -Effective communication -Excellence in leadership Weaknesses -Leaders without the right skills can weaken communication efforts. Opportunity -New trainings and classes that are available to learn new skills -Developing staff Threats -Not defining the problem accurately -Not implementing solutions in a timely fashion The best problem-solving skills that all business leaders will need is being able to see a problem and know how to frame it. Having empathy for those impacted by the problem is another piece to the puzzle. Also being able to be self-aware of biases that can effect personal decisions. And lastly creating that safe space, the safe environment where others feel comfortable enough to come to the manager with a problem or being able to speak up with their ideas without the fear of rejection are all skills that a manager should have to develop better problem-solving methods. 4 Implement solution Problem Solving Process 2 Analyze the Problem 3 Develop a solution 1 Define the Problem

Final Recommendation to Management My final recommendation to management would be invest in products and services that can increase communicative efforts. This will benefit the company in the long run and help employees feel valued and able to put more effort into collaborative efforts. Before your team can properly problem solve, they need to be able to work together. Based on the SWOT in situation 3, a company can invest in software that will boost collaborative efforts. Conclusions In conclusion, effective communication is beneficial to the businesses success. The strategies laid out in our paper should convince you to invest in your employees and create an atmosphere where everyone can be heard and give valuable feedback. One employee may have many years of experience but someone else who just graduated from college knows about new softwares or ways to get things done and the collaborative effort can pay off if a company knows how to implement and take advantage of the opportunity presented by effective communication.
