Routine messages are intended as legal or financial documentation for transactions or resource requests. Routine messages in business communication serve to document the “who, what, where, why, and how” of daily operations. As routine messages are expected, the reader will be ready and willing to read the message. This is known as the readers are neutral or interested. A direct approach is expected. In the opening of the routine message, therefore, a writer must adhere to politeness and brevity. The professional documentation does have a quality of directness. However, these should not demand.
