a)
Examples of the key areas to be considered when examining the practicality of any proposed
solution:
Does it fit the organisation’s strategic plan and position on environmental
sustainability?
Are the changes mandatory?
What is the time frame for implementation and review?
What are the potential improvements as a result of implementing the policy?
b)
Once drafted, the policy will need to be evaluated, and outcomes of the policies and procedures need to be agreed on. This should be done in consultation with other employees
and management. A variety of evaluation tools could be considered, such as Surveys/questionnaires.
Question 5
Student guide:
To pass the question, your answer must include the following:
Importance to clearly define appropriate activities to be undertaken in the sustainability
policy, procedures, and processes
Importance to communicate sustainability policy and procedures at all levels of the
organization
Refer to the learner guide and/or class PPT slides if you’re unsure how to answer this question. Example:
a)
These activities should be focussed on the achievement of agreed outcomes of the policy
and procedures. Having clearly defined activities will ensure understanding of actions to be
undertaken to achieve the desired outcomes.
b)
An effective sustainability policy must be understood, agreed to, and adhered to at all levels
of the organisation. Therefore, the policy must be communicated clearly to all stakeholders,
and opportunities must be provided for feedback and clarification.
Question 6
Student guide:
To pass the question, your answer must include the following:
Importance of having clearly defined key performance indicators (or KPI’s) in organisational
sustainability policies and processes
Five (5) most important KPI’s to track when considering sustainability.
Refer to the learner guide and/or class PPT slides if you’re unsure how to answer this question. Example:
a)
Having clearly defined key performance indicators (or KPI’s) in organisational sustainability
policies and processes helps you to keep track of sustainability progress and track any
potential for improvement in the future.
b)
Examples of important KPI’s to track when considering sustainability are carbon footprint and energy consumption. Question 7
Student guide:
To pass the question, your answer must include the following:
Importance to communicate and clarify the assigned responsibilities for implementing the
sustainability policy and procedures
Purpose of record-keeping systems.
Procedure to establish record-keeping systems
Refer to the learner guide and/or class PPT slides if you’re unsure how to answer this question. Example:
a)
An environmental management system sets a company’s direction in terms of sustainable
management. For employees to be able to understand and implement your policy and
procedures, information must be made accessible to all staff and communicated clearly and
on a regular basis. Inform those involved in implementing the policy as to outcomes
expected activities to be undertaken and responsibilities assigned.
b)
The success or otherwise of your policy can only be tracked and monitored through effective
recording systems. Check the system you have already in place, and what legally required
records you have to maintain. Determine how long you will need to keep records for
external auditing purposes. Access has to be created for stakeholders. You will need to
create a central file that includes relevant sustainability documents, including completed
forms, permits and audits, and legal requirements.
Question 8
Student guide:
To pass the question, your answer must include the following:
Purpose of review and improvement processes in the development and implementation of
organisational sustainability policies and processes
Four (4) common sustainability issues with organisational systems and procedures Refer to the learner guide and/or class PPT slides if you’re unsure how to answer this question. Example:
a)
It is not enough to have the policy and procedures in place; a process of continuous
improvement is crucial to ensure relevance and continuing ability to set and meet targets. It
requires regular consultation with employees and management. A system of continuous
improvement allows for new ideas to be implemented or added and work methods that are
no longer relevant to be discontinued. Each department should be involved in its own
continuous development process.
b)
Examples of common sustainability issues with organizational systems and procedures are
ensuring legal compliance and coordinating measures to improve environmental
performance
Question 9
Student guide:
To pass the question, your answer must include the following:
Two (2) typical barriers to implementing policies and procedures in an organisation and
possible strategies to address them
Refer to the learner guide and/or class PPT slides if you’re unsure how to answer this
question. Example:
An example barrier is lack of employee involvement. Employees always have a fear of change, and
unless they are involved in the change process, it is highly likely that even the most loyal member of
your employees will resist the change. To ensure that the policies and procedures and implemented
in the most effective way possible, employees need to be a part of different stages of policy
development and implementation. They need to be consulted regularly and ensure they feel their
feedback is valued.
