When it comes to data collection databases, especially ones that are tailored to clinical
trials for hospitals and clinics, there are many to choose from. So many are the options that it
may be difficult to choose the right one from such a large list. For the purposes of the Westlake
Research project, only the top databases will be considered. To this end, some of the best
database products on the market at the moment comes from a listing the website capterra.com
has made. From over 200 products available, three have some strong advantages attached to
them: Clincare, Health Cloud and RealTime-CTMS.
By a quick observation, there is the ability to compare and contrast these three databases
before visiting their main websites. All three databases can support up to a thousand plus users,
which would be more than enough for the needs of Westlake. ClinCapture is well suited for
pharmaceutical and medical device companies as well as small to large CROs. Health Cloud
delivers seamless experiences, greater efficiency, and healthier outcomes. RealTime Software
Solutions has platforms that can scale to meet the demands of Research Sites, University
Medical Centers and Hospital-based Research Systems (capterra.com, 2024).
Something else that is of interest is the various traits that each database has. For example,
ClinCapture has the ability to electronically capture data that would ensure the correct
information is entered into the database. This also includes EHR and document management,
two very important items to help monitor the history of all of the patients involved with the
study.
The company’s website, get.clincapture.com, boasts: Expedite and simplify your clinical
trials. Captivate™ EDC uniquely provides the privacy, performance, and power to meet

regulatory requirements, facilitate trouble-free data entry, and allow clinical researchers to gain
insight into data in real-time (get.clincapture, 2024). This is one of the more expensive databases
with a starting price of 2500 per month for the basic package. If any add ons are required for the
database, then extra costs would need to be factored in. It would seem that the users that would
use this system the most would be researchers as well as the doctors doing the tests. With some
guidance, patients should be able to use the system to enter their medical history.
Built on the world’s #1 AI CRM, Health Cloud is the trusted, connected platform for
healthcare. By bringing together clinical and nonclinical data in one place with actionable
intelligence, Health Cloud helps you collaborate efficiently, deliver personalized care, and
automate health operations (salesforce, 2024). Health Cloud is a database that has most if not all
of the features of the previous one except it does not have an audit trail. This might not seem like
a major problem, and it might not be, but having a trail to follow in the off chance that something
happens during the study. Compared to ClinCapture, it does have a lower price tag starting at 300
per month. The user that would most likely use this database would be the doctors and nurses in
charge of conducting the interviews. At a glance, it seems that this database is more suited for
healthcare professionals. It would appear that there is not much of an interface for patients to
interact with which would make things like reviewing their information and any doctor notes
pretty tricky.
Realtime-CTMS also has the same features as the two previously mentioned databases,
which makes it harder to distance itself. It does not, however, have an inventory management
system. This would make tracking the supply of medication harder to accomplish. With a price
tag of 195 per month, this makes it one of the cheaper options on the market. Not only that, but it

is the only one from the three that can be deployed on most smart devices, making the ease of
use a very tempting option for those who are on the move pretty frequently. These three
databases are fairly comparable, with all three being able to be used by patients and doctors to
various degrees.
After reviewing these databases, along the many others that are available to hospitals and
clinics, Realtime-CTMS seems to be an excellent choice for this study. A CTMS is a
comprehensive software platform designed to manage various aspects of clinical trials at clinical
research sites. This technology provides a centralized platform that assists site staff in optimizing
the planning, execution, and management of clinical trials. A modern CTMS encompasses the
electronic management of regulatory files, data collection, participant communication, and
financial tools (Mcdonald, 2024).
These aspects are all vital to the success of the Westlake project. A system like real-time
allows those involved in the planning phase to understand fully what it takes to operate a study
for a new drug. Being set up so that there is communication between doctors and patients ensures
that the patients get the much needed answers to questions they may have about the study as well
as making sure that they can make appointments or to reschedule.
On the side of the patient, the database is set up in a way that they will be able to view
their medical history, doctors notes as well as enter in their information for the study. Having a
system that is accessible on most mobile devices means that a fairly large portion of patients will
have access to what they need. Not only that but on the doctors and nurse’s end, having a system
that is readily available on the go allows them the freedom to traverse the halls, while checking
in on records or making last minute notes.

RealTime’s database can also be broken down into key subsystems to accomplish various
aspects of the study. For example, RealTime-CTMS is designed for fast and simple data analysis.
This is where patient data management is conducted as well as budgeting for tests, medical
supplies and more. With RealTime- eDocs, documents can be stored and viewed from anywhere.
Plus with its storage system, the need to have paper documents will be eliminated. R site pay is a
quick and easy payment database that allows for a faster and more secure way for patients to pay
bills that will occur during their time with Westlake. For a lot of clinical trials, compensation will
or should be given to participants. R site pay can track those payments and verify that everything
is going through the right channels to ensure that no surprise fees fall on the patient’s
responsibility.
As mentioned previously, RealTime provides a way for patients to set up appointments
and to be reminded about them through RealTime Text. With ease of use in mind, patients will be
able to schedule appointments through this platform and be reminded through texts to make sure
that visits don’t go missed. This will help with retention rates as well as helping researchers and
doctors make the right decisions before letting someone go from the study. With these platforms
wrapped into one solution, meeting the needs of the Westlake Research study can come to
fruition.
In order to properly recommend this system, the hardware and software needs of
Westlake must be evaluated. Depending on their current set-up, having documentation done
through paper forms, there are a few things to consider. First and foremost, make sure that all
hospital computers are up-to-date on general software specs. A lot of the time, when

implementing a new software or technology while requiring that the system that it's a part of is
functioning at its most efficient version. Seeing as though RealTime-CTMS is a website based
system, it will be critical that there is strong wifi connection. With this in mind, it would be wise
to invest in at least two good routers, one main one and a backup just in case of system surges
due to poor weather or other contributing factors. Depending on the area coverage of the wifi,
wifi antennas or extensions may be required to make sure that all departments will have access to
the system if needed.
Since this is a new system and to provide the best chance of a successful rollout, there are
a few other devices and software that may need to be considered. Since there is not an exact
number when it comes to data consumption that is currently being done at Westlake, it will be
important to make sure that there is enough storage to handle the new database. By incorporating
a new hard drive and server to maintain the operations and data usage of the new system,
existing systems within Westlake should not interfere or be affected by Real-Time. Also, if there
is going to be a separate “smaller” server to house all of the programs that have been listed,
having a disk controller to manage all of the server drives to make sure everything is flowing as
it should.
One last recommendation that will be important to consider is the security necessary to
handle the various forms of private data (DOB, SSN, payment methods, etc.). The database itself
has its own two way authentication system in place, but it might not be bad to incorporate an
anti-virus protection program like NortonVPN to verify that the system can and is safeguarded
from cyber attacks. Another piece of security protection to implement is having another firewall
set up for the database. Typically, when it comes to technology and data security, more is better,

and with an additional firewall in place to monitor all of the dealings that pertain to Real-time, it
will free up the existing firewall in order to make all of the various systems within the hospital
secure. After taking these recommendations under consideration, RealTime-CTMS and its
surrounding platforms should meet the needs of Westlake in an efficient manner.
