To: Wanda Bell, Vice President of Customer Service From: Amanda Ross, Customer Service Specialist Date: May 3, 2023 Subject: Smartsheet Utilization in Shipping Department Proposal As you are aware, there was recently a delivery that was not delivered to Printables, Inc., our primary customer. Upon further investigation, an important internal email was delivered to the Shipping Department manager's junk mail folder. Currently, the shipping department uses only email to communicate shipment-related information. Email is not a reliable tool for collaboration or problem-solving, particularly when it comes to employees who do not sit at a desk all day monitoring their email, so the issue of missing shipments will continue to worsen. Email is also inefficient when it is necessary to search for a specific email that may contain urgently required information. I propose that details regarding customer orders will no longer be communicated via email. Email should only be utilized for external customer communications, company announcements, and company updates. Instead, I am proposing that the shipping department implement the collaborative tool, Smartsheet for customer order management. Smartsheet is a cloud-based collaboration application that will facilitate improved customer order communication. It enables real-time access to a customer's order history, along with internal and external tracking notifications, resulting in improved efficiency and customer service. Smartsheet also offers order history data analysis, enabling management to monitor performance metrics. Using email for external communications, company announcements, and company updates will reduce email volume and time wasted searching for and organizing emails. Ultimately, this will increase productivity, effectiveness, and consumer satisfaction. 1
