Utilizing spreadsheets was vital in incorporating data for my boss. They would like to see a
visualization for their unit readiness. Included in the breakdown was equipment mission
readiness, financial breakdowns for repair parts, and the milage and fuel usage of each piece of
equipment they owned. In having this breakdown on a spreadsheet, they could filter the data to
a specific unit they had questions for. Every week we would have a maintenance meeting and it
was in this meeting that I could provide my boss with the essential information he needed on
the status of his units. These spreadsheets and charts allowed me to paint a brighter picture my
boss and he could see the consistencies of the equipment used by the units. If a unit did not
meet the standards set by the commander, he/she could then consider to the lower units the
need of this piece of equipment. He had rules where a specific vehicle would need be driven to
obtain the commanders designated number of miles per month. If that vehicle were in danger
of not meeting that specification, the equipment would get highlighted in an amber or red color
depending on the usage. Another way I would use these spreadsheets was to be given funds
for repair parts. I could show them the amount spent on the equipment’s needs versus the
given budget. When I would get close to or over the allowed budget, a breakdown would go
with it. This allowed me to fight for more distributed funds the next quarter or fiscal year. As for
tips and tricks I used, I would utilize a step/scatter with straight lines and markers chart for my
non-mission capable equipment. The information in this chart would show me as well as my
commanders the trend of vehicle breakdowns and length of their non-mission capability. Upon
seeing these charts in the meetings, the Executive Officers would ask me to show them how to
make these charts so they could provide this information to their leaders.
