Establish Project Scope
“Think about a project for which you had to establish the scope. What questions did you ask to help
you define the problem?”
Currently, I am leading a project related to process improvement we need to help elevate the need to
hire an additional person. With budget cuts on the horizon, we must come up with new ideas on how to
streamline our processes. Once a process was selected to be improved, I had to ask the questions such
as “Where can this data be found? SQL?”, and “Can this process be automated? Or simplified?”. These
were just some of the questions that came up and were discussed during our team brainstorming
session.
“Your team in an electronics company is designing a mid-priced television. The deadline is inflexible:
The TV is slated to be unveiled at a major consumer electronics trade show; a marketing brochure that
highlights its features already went out; and portions of the budget are committed by contract. But the
project is showing signs of running late.”
“Which of the following strategies is more likely to help you meet your deadline with the least
negative impact on quality or cost?”
My Answer: B – Hire specialists to work on the product on a temporary basis.
“You hired specialists and it looks like you’ll meet your deadline. But paying the specialists has added
to your costs, and you need to free up some project money.”
“Which of the following strategies is more likely to help you free up project money with the least
negative impact on quality?”
My Answer: B - Save money by using generic rather than high-end circuitry in the set's design.
“What action will you take next to clearly define a project’s objectives and determine its scope?”
In the next project, I lead I really liked the idea of using the WBS model to help determine the number of
layers the project entails. The idea of peeling back the onion to see the number of tasks that are
required to complete each objective will help solidify the timing needed to correctly solve the problem.
For determining the scope I’m going to continue to use the brainstorming method so that strong
discussion can be had on what the true underlying problems are that we need to correct. The last thing
I’m going to do moving forward is to increase my usage of a team charter. In my current work life, the
team charter is only used for large projects, but I think it will be greatly beneficial for the team and
shareholders for even smaller projects a simplified team charter should be used. Doing this will give
structure to the project no matter how big or small.
