3-1 Homework Activity: Module Three – System Requirement Checklist Southern New Hampshire University IT-510: Advanced Info Technology October 6, 2023 Personal Trainer, Inc. owns and operates fitness centers located in a dozen Midwestern cities. The company is now looking to expand their business further by opening a new “supercenter” internationally in the Toronto area. Currently, all fitness centers use accounting
software, BumbleBee, to store limited information on its members (Frechette, 2018). With the limits of the current software Personal Trainer, Inc. is looking to upgrade their systems to support their existing members and the additional members that will come with the expansion. To help implement this expansion, an IT consultant, Susan Park, was hired to develop a new system for the future center. Susan will be working closely with Gary Lewis, the manager of this new center (Frechette, 2018). Approach The approach that is used for implementing this new system will be based off the fact- finding methodology that Susan used during her evaluations. Susan traveled to several current locations to meet with fitness center managers. While she was there, she conducted a series of interviews, reviewed company records, observed business operations, analyzed the BumbleBee accounting software, and studied a sample of sales and billing transactions (Frechette, 2018). With Susan working as a System Analyst, she will need to gather as much information as possible to be able to envision and describe the need for the new system. Having an analysis completed will allow her to accurately develop the system requirement checklist. The system analysis checklist will then be presented to management for approval. When management reviews the document, they will be able to see all the requirements for developing the new system and the potential future growth of the company. It is crucial for the success of the project that Susan present the information to management in a way that they will be able to understand. If management is unable to understand the system analysis, they could have a misinterpretation of the business goals and requirements. Therefore, the development of the system will not satisfy the needs outlined by management. Iteration is a crucial strategy that can resolve any potential misinterpretations of the
requirements. The best way to avoid misinterpretations of the new system requirements and development is to have frequent discussions with management and stakeholders. Another implementation could be developing a testing environment for the client to utilize the product before a go live. System Requirement Checklist A system requirement checklist composes information, data, and procedures that are required for the new system. This list will contain five categories including output, input, process, performance, and control (i.e., security). Below is an outlined list of requirements for a new system to be used by Personal Trainer, Inc. Output: The output refers to electronic or printed information produced by the system (Tilley & Rosenblatt, 2017). The system must produce useful membership information, including monthly fee, contact information, membership type, validation date of membership, and member picture. The system should list activities that members with the limited membership have chosen along with an estimated cost for attending additional activities. The inventory system must be able to generate a summary of financial activities, transactions, and automated billing reports for each member. The online scheduling system must inform members by SMS or email about upcoming activities and how to sign up. The message should include information like name of

event, description, location, cost, and time. In addition, there should be links included to the company’s Facebook and Twitter posts pertaining to each event. Performance reports should be available for all management. Performance reports should include information such as profits/loses (with breakdown of revenue and costs for each individual activity), membership standings (increase or decrease), member feedback, and merchandise inventory/sales. Report must be developed to include usage data on each activity offered at the individual locations. Including classes, wellness logs, senior specific classes, personal trainers, vending, and retail items. Input: The input refers to necessary data that enters the system, either manually or in an automated manner (Tilley & Rosenblatt, 2017). Membership ID scanner devices: must be able to transfer data of the card holder (i.e., member, coaches, picture) to a system through the data collection. Payment Form: must include information such as type of payment being obtained, description of the payment (i.e., activity name), date of the activity, amount due, and amount paid. Membership Registration Form: must include information such as member’s full name, date of joining, age, type of membership selected, membership renewal date, activities member has chosen, and contact information. Account Management System: must include information such as type of payment (i.e., cash or card), membership number, payment due date, amount due, and status of payment.
Membership Information: besides basic member information, additional information that must be stored should include activity preferences, history, activities that the member has opted out of, and activities the member was not satisfied with. Processes: The processes refer to the logical rules that are applied to transform the data into meaningful information (Tilley & Rosenblatt, 2017). Payment System: must calculate the owed balance against the paid balance and inform employees about late payers before the end of the due date period. ID Scanner System: must be able to calculate the hours each employee has worked and any overtime. Online Scheduling System: must be able to send a reminder to members who have registered for specific activities and include information such as date, time, place, and coach’s name. Management System: must be able to generate required monthly reports and then send them to the management and stakeholder individuals. Key Tag: each member’s key fob must be able to electronically connect to the software system. The Software System: must have a mobile app option for users to be able to take advantage of. The new system must be able to retrieve information from the company’s current system BumbleBee. Performance: the performance refers to system characteristics, such as speed, volume, capacity, availability, and reliability. (Tilley & Rosenblatt, 2017).
The website must not only house coupons and discount promotions but must also remove them at the end of the expiration period and replace them with new promotional offers and coupons. The registration system needs to be available 24/7 for all users and provide activity appointments for up to a year ahead of the current date. The payment system must be able to detect late payers who have passed their assigned due dates and put their account on hold within the next billing day. The system must also apply a late fee to the account after a specified grace period. All system data should be backed up automatically. The system must be able to support high volume during peak hours to avoid system crashes. Control (security): Control refers to hardware, software, and procedural controls that safeguard and protect the system and its data from internal or external threats (Tilley & Rosenblatt, 2017). IT will provide technical support 24 hours a day. The system must be monitored and secured at all times of the day. Antivirus software should be installed and updated regularly. The system must have security clearance levels so certain information can only be accessed by specific levels of employment. The system must have an administrative login option for authorized personnel. Only human resources should have access and editing permissions to specific employee information. After reaching the maximum number of logins attempts the system will lock and IT will need to be contacted for a password reset.
