Work Breakdown Structure This will describe the essential roles and functions required for implementing the solution.  Project Manager: A Project Manager is “usually is a senior systems analyst or an IT department manager if the project is large. They typically perform four activities or functions: planning, scheduling, monitoring, and reporting” (Tilley & Rosenblatt, 2017). o Project planning: identifying all project tasks and estimating the competition cost and time of each. o Project scheduling: creation of specific timetables (Gantt charts and PERT/CPM charts) to show tasks, task dependencies, and critical tasks that could potentially delay the project. Staffing will also be selected and assigned. o Project monitoring: includes responsibilities such as: guiding, supervising, and coordinating the team’s workload during the project. To successfully stay on target the project manager must monitor the progress, evaluate the results, and take any corrective action when necessary. o Project reporting: relaying regular progress reports to all teams involved. Strong communication skills are a must for success in the project. The project manager will be an internal resource and will serve as the main point of contact. They will take leadership in creating the project plan and coordinating all meetings with internal as well as external sources.  System Administrator: “are information technology (IT) professionals who make sure an organization's computer systems are functioning and meet the needs

of the organization” (Coursera, 2023). The system admin will be an internal resource responsible for owning the new online system, gathering system and workflow requirements, and assisting the implementation partner with the configuration and testing for the new online system. There will be a UAT system developed for testing the new system before GO Live, the system admin will work with the support manager and actively be involved with training and communication with end users. The system admin will also provide support after the GO Live date.  Windows Administrator: “They are responsible for installing, managing, and upgrading Windows-based systems and servers within a company. They are also responsible for managing data security, configuring user access, and maintaining the stability of the system” (Betterteam, 2023). The windows administrator will be an internal resource. They will assist with LDAP setup in the core configuration of the online form system.  Security Administrator: “is the point person for a cybersecurity team. They are typically responsible for installing, administering and troubleshooting an organization’s security solutions. They also write up security policies and training documents about security procedures for colleagues” (Sherwood, 2023). The security administrator will be an internal resource assisting with the core configuration and communication with the cloud provider.  Support Manager: “supervise the daily operations of a company's customer support department. They lead the customer support team, participate in recruitment efforts and train new staff members” (Indeed, 2022). The support

manager will be an internal resource that will gather all workflow requirements and work with the system administrator to complete UAT, create training documentation, and perform all end user training. They will also be responsible for the end user support after the GO Live date.  SI Project Manager: “responsible for leading software projects and development from its conceptualization to final deliverables” (Zippia, 2023). This will be an external resource managing the SI application developer. They will use the internal project manager as an internal direct point of contact to coordinate meetings/training and project timelines.  SI Application Developer: “Responsible for designing and coding functional software programs and applications” (Bika, 2023). They will serve as an external resource and be leveraged for their expertise in the new online system. They will work closely with the internal system admin during core configuration. They will also work with the Support Manager to develop the needed materials based on workflow requirements. They will also assist with creating the UAT environment and end user training/documentation.

Project Monitoring and Control Plan: The purpose of enlisting Project Managers on both the internal and external front, will be to hold weekly and/or daily status meetings with the core team to provide check ins on any hurdles or issues that need to be communicated or addressed within the team. The system implementation partner will have an approved scope of work that will outline the expectations and limitations of the projects through the end. Hosting a project kickoff meeting to review and define each team member’s role, responsibilities, and expectations within the project. Hosting regular status meetings will help keep the project on track by building the team members to ensure there are not any undiscovered issues and that expectations/deadlines are being met. Timeline: The project is expected to take a total of 68 days to complete should there not be any unexpected hurdles that could delay the project. The below Gantt Chart describes the project schedule including the days and hours necessary to complete each necessary task.
