BIT- 200 DQ Topic 1 DQ1 5.0 Explain two reasons why knowledge of basic Excel functions is crucial for success in your workplace or businesses within your field of study. Justify your reasons by providing two examples of how this knowledge could be applied in your chosen career field. The basic knowledge of Excel functions is essential for success in either your workplace, business, personal life, or within the field of study. In the workplace, Excel can be used to track numerical information effectively. For example, the Human Resource Technician can use Excel to track accrual vacation with columns for maxed hours, accrual percentage rate, number of hours from the prior year, hours used, and currents hours remaining. Which has set formulas to calculate accrual hours for each payday, deducted vacations when used that gives the total for hours remaining. Also, Excel can be used for tracking employee personnel information. For example, there can be columns for employee name, social security number, date of hire, rate of pay, address, emergency contact, benefit amounts, driver license expiration, and termination date. “Quantitative information forms the core of what business must know to operate” by Stefan Few (Gaskin, et al., 2017). Topic 1 DQ2 5.0 Discuss which software solutions are most commonly used within your current workplace or within your field of study. Explain how working knowledge of these applications can create a competitive advantage for you as an employee or potential employee as well as how use of these software solutions can help you execute your job more efficiently and effectively. Provide specific examples to support your ideas. In replies to peers, discuss if their chosen software solutions could be useful or not in your current workplace or within your field of study. I work in the position of Human Resource/Payroll Administrator at my current workplace. The main software solution that is used at my current workplace is Foundation. This software is used in every department from production, sales, accounts receivables, account payables, payroll, and human resources, which allows the organization of data and finances. I do have prior experience in QuickBooks Premier, QuickBooks Online, payroll portal similar to ADP, iCloud Attendance, ResTrack, and StaffTrack. Also, Microsoft Office suite in my current and prior workplace. The benefit of having experience or knowledge of different software programs can be beneficial to show your skills in a current workplace. The ability to retain and adapt to an employer’s software program that can be similar to the ones that you are familiar with. Also, when applying for a new workplace it shows the potential employer that you have experience in organizational software programs and the skills to be able to adapt to the company’s database program. Topic 2 DQ1 5.0 Discuss how your business or organizations within your field of study use both system and application software. In your own words, explain the difference between the two and discuss whether there are constraints between using one type of system software with different application products. Illustrate your ideas with specific industry examples. In replies to peers, discuss whether you agree with the differences and constraints your peers discussed. The difference between system and application software is that systems software makes the computer usable. The system software works behind the scene allowing all programs, hardware control, and peripheral devices to communicate and complete their task. Therefore, application software is a program or group of programs designed for the user to help in solving various tasks related to the business or organizations. There may be some constraint between the system software with a different application product because the application software must be able to interact with the system software.
Therefore, working in the field of Human Resources/Payroll Administrator uses both systems and application software such as Windows 10, Microsoft Office Suite, and Outlook. Also, the network operating system is utilized to provide important security, backup, and database services. Topic 2 DQ2 4.5 Research and share two common software products (other than Microsoft Office and Quicken) that are used in your workplace or organizations within your major field of study. Include an explanation and practical examples of how the technology is used in the organization. In replies to peers, discuss your experience with the identified software, including advantages and disadvantages, or available alternate software that could be considered. My current field of study in accounting and my workplace position is the Human Resources/ Payroll Administrator. The current software that I am using is Foundation Accounting and I have prior experience in QuickBooks. Therefore, comparing the two, Foundation and QuickBooks, both software can be useful for an organization to track finances, budget, sales, account receivables, or accounts payable. The structure of each software allows a business to be numerically organized with the least errors as possible. Of course, one is more tailored for a certain type of business, like Foundation is more tailored for construction accounting and payroll fundamentals. QuickBooks is more neutral for many different types of businesses. Topic 3 DQ1 5.0 Explain the importance of system security within the organization where you currently work or at an organization within your field of study. Include discussion of the legal and ethical implications the organization could face for failing to protect systems and information. Identify and explain three strategies the organization could implement to protect their systems and information against threats. In replies to peers, discuss whether the three strategies identified are the best defense against threats and justify your response. In my current workplace of Human Resource/Payroll Administrator, it is highly important to have system security to protect against threats and privacy. In this position, there are highly confidential personal records of employees within the origination that must be protected and compliance within HIPAA regulations. There should be double-password security which consists of a password to log on to the computer and passwords to log onto application software. Many organizations utilize Human Resource/Payroll databases that hold vital employee information such as social security numbers, date of birth, address, identification number, payroll records, and medical information. Failure to protect the systems and information may lead to data breach and identity theft. There are several ways organizations can take steps to protect the systems and information against threats. One of the several ways organizations that use either Windows or OS X has three types of accounts: administrator account for making changes, installing software, configuring setting; standard account for everyday usage; and guest account for user that need short term access. Secondly, systems and applications should be password protected to secure accounts. Third, encrypted information should be utilized when communicating vital information through networks which will prevent someone from intercepting it. Topic 3 DQ2 5.0 This topic focused on protecting information from outside threats. Discuss your perception of the current threats presented by social media or Internet sites that you frequent. Explain how you can protect your personal information to minimize these threats. In replies to peers, discuss additional ways to protect personal information on social channels and the Internet through providing examples found in your own research or by citing the study materials. My perception of threats presented by social media or Internet site that is being frequently used is that we tend to trust what we post or send because we are only connected, “friends with other friends” among the social media websites. Therefore we may not think of being affected by any threats or attacks. There are social network attacks such as suspicious emails or notifications, Phishing, or “Please send money” scams, Clickjacking, and malicious script.
Some ways to protect personal information and minimize threats is when setting up social media profiles try to limit sharing private information. Facebook has the ability for you to choose what you want to share and who to share it with, such as interest, photos, and personal information. Also, create different user accounts on your computer by having a standard account for everyday usage and having an administrator account when handing more private information. Topic 4 DQ1 5.0 Think about the Internet and cloud computing currently being used in your business or your field of study. Provide two specific examples of how utilizing the Internet and the cloud helps the business achieve organizational and operational goals or competitive advantage. Use specific examples to support your ideas. In replies to peers, provide additional examples of how Internet and cloud computing can be employed. Businesses can utilize the internet in several ways to achieve organization and operational goals or competitive advantage. Currently, my workplace has its own webpage which have links to different sections such as brief company history, services provided, quote, and direct contact information. In addition, a visitor or potential applicant can go directly to the company webpage, review levels of job description with the ability to fill out the employment application that will be sent directly to the Human resources department. This allows a business to achieve operational goals plus a competitive advantage where applicants can directly apply for employment directly through the internet. At my current workplace cloud computing has not been utilizing however, my previous workplace implements cloud computing after a server crash which the company lost its entire data. Therefore, finance and human relations businesses should implement cloud computing it is essential to achieve organizational and operational goals with better security, built within. There are a couple of cloud services that offer such IaaS – Infrastructure as a Services Virtual Private Cloud (VPC) an isolation cloud infrastructure that creates a private network with some control subnet such as creation, IP address range, virtual firewall, and security groups (IMB, n.d.). However, the SaaS – Software as a Service option can be more of a competitive option as it is a cloud-based application through the web staying ahead of the competition (IMB, n.d.). As a consumer, I use the cloud on my iPhone which I pay an additional monthly fee for extra cloud storage space. My iPhone backups to the cloud mainly consist of about 49.8 GB of pictures. The pros about cloud storage are the ability to retrieve the backups in case of restoring the phone to the original factory settings or when purchasing a new cell phone, the ability to use the latest backup on the new phone, and not losing data. The cons would be if Apple were hacked or breached and all my information was encrypted by the hackers which deny my access to the data storage in the cloud. Another, the way I can share photos or information with contacts or friends nearby through “AirDrop”. The pros are its convenient way of sending photos without emailing or text the photo. However, the con is sending that photo to the wrong receiver that will instantly have your photo in their possession or a hacker's ability to intercept the exchange and the ability to gain entrance in your cell phone system. Additionally, I use email cloud through Gmail, Yahoo, and Outlook. I have a couple of email addresses that were created for different uses. The pros are the ability to create as many emails as you desire, for example, a Yahoo account for paying bills, Gmail for school, and Outlook for employment. Its advantages allow you to be more organized the ability to not use one email address for everything. I expect that those email providers have built-in security for layer protection. The disadvantages are getting numerous junk emails for example it appears that out of the three email providers I

receive more junk emails from Yahoo than the other two. I hardly get junk emails through Outlook. The cons are major data breaches in the user email accounts. I recall that Yahoo had a major data breach in 2016 in which user accounts and information may have been retrieved by hackers. Topic 5 DQ1 5.0 If you had the technical capability, what type of app would you create for the business where you currently work or your selected field of study that is completely new or significantly different from an existing app? Currently working as a Human Resource/Payroll Administrator, the type of app that I would create is an HR/Payroll app for employees to be able to have access on the go directly from their mobile device. The ability for employees to clock in or out plus field employees the ability to electronically log their hours spent on each job site with the option of the description of what was completed. This will eliminate the daily submission of the papered time card that is being sent to HR. The electronic submission through the app would be linked to the payroll portal where HR completes data entry of proper prevailing wages, job costing coding, and worker comp coding. Also, the ability to request time off, update home address, and banking information. On the payroll side, the app would employees instantly download prior paycheck stubs, which will eliminate the need to contact HR or payroll to request for prior check stubs. Also, the ability to view a snapshot of each payday of net, deductions, taxes, gross earnings, and other supplemental deduction. The access to update or change the w4 as needed when the employee wants to make changes within the year. The world revolves around mobile technology and to stay relevant, HR should keep up with the pace. Implementing an HR app for the business empowers employees to access all the information they need, no matter where they are which gives the business a competitive advantage. Topic 5 DQ2 5.0 The evolution of smart phones has opened up a new venue for organizational and business communication and commerce. Research and discuss an emerging mobile technology trend that could further enhance the way organizations in your line of work or field of study use mobile technology. The majority of people in the workforce possess a smartphone for either personal or business use. Therefore, the growing amount of communication through text messaging has enhanced the way HR communicate when reaching out to employees. Mobile technology can improve productivity by 20-25% when organizations are connected with employees (Lee, 2019). Therefore, texting will give everyone a way to communicate fast, effective, and accessible (Lee, 2019). As well, it is more than likely that employees will read a text message and reply before reading an email. According to Lee (2019), text messages have a 98% open rate compared to emails only have a 20% open rate. In fact, employees are more connected to the organization when employees can communicate with text messaging which boosts overall communication. Mobile technology can be utilized during the onboarding of new employees which text messaging increases the recruitment process (Lee, 2019). HR utilizes text messaging to set up interview times or prepare new hires for the first day. Also, it allows the new hire to be able to ask HR questions such as directions to the reported site or any other concerns pertaining to their first day at work. I have used two-way communication by text-messaging with employees which allows me to answer quick questions and the vast of the employees send their time cards through text messaging. Also, during the pre-hire process, I have text message potential applicants with a quicker response than an email reply. Therefore, mobile technology has enhanced
my line of work by improving the quick response communication to the employees when asked about how much sick time is available, schedule changes, or when they are calling off of work. Facebook has changed the way information is communicated by being an efficient channel of communication such as answering customers’ questions, address company-wide issues or purchasing issues, and announcing sales. Therefore, YouTube is the second most used search engine. Business can have videos of products posted on YouTube which allow customers to watch a video on the product. This will influence the customer to make a purchase. Businesses can utilize Facebook and YouTube alongside one another which Facebook can be the channel of communication and YouTube showcase a video to influence the customer. Microblogging are used to publish updates or short messages by sharing condense information to the public (O’Connell, 2020). The two microblogging channels that business can use to gain competitive advantages is Twitter and Instagram. Businesses can use both, Twitter, and Instagram to influence social perception by actively posting the product or company in the sites where many people spend most of their time. Businesses can communicate through Twitter by using short messages or creating their own jargon or quote, which can influence the viewer. Instagram is mostly communicated by publishing images. For example, eyebrows would be raised if Kim Kardashian promotes video games on social media compared to if she promoted a high-end fashion clothing line. Autonomous things were something that I encounter and thought it was pretty interesting. My car was getting worked on and the dealership had given me a rental to use. Of course, I was given a 2020 car compare to my 2012 car. A lot of us are used to control our cars with the steering wheel, however, this particular car had the “Super Cruise”, which was hands-free driver assistance on highways. While on highways, you have the ability to set the “Super Cruise” on and the car basically is driving itself. The steering wheel would move from right to left, as how a human would physically use it. In addition, if the driver does not keep their eyes on the road, looking straight, the steering wheel and driver seat would vibrate, shaking the type of feel to get the driver’s attention. It is interesting and scary at the same time as autonomous things (AI) are performing tasks that traditionally done by humans. Virtual reality is something that I cannot grasp to like especially retail virtual reality. It takes the traditional shopping experience and transforms it into a 3D shop that virtually imitates that traditional experience. I am not how or picture the ability to try virtually try clothing on before buying it. It takes away from the physical experience of being able to see how the clothes actually feel on your body. I am diffidently traditional clothes shopper. I want to be able to try on a piece of clothing to makes sure I like how it fits my actual body and being able to feel the material. In addition, traditional shopping has been one of the tools I used as a stress reliever and by transforming to virtual reality shopping would take that away for me. Topic 7 DQ2 5.0 Using the "Tech Trends Report 2019," study resource and your own experience, consider current technology that you use as part of your job or that is used within your field of study. Articulate ways it could be changed, upgraded, or improved by emerging technologies, such as those presented in the study materials, to help you do your job/future job more efficiently or effectively. In my current job as a Human Resource Administrator, I have utilized AI recruiting technology such as Indeed to help improve the quality of hire. It assists in the screening process of matching the right candidates that apply to the job that was posted which include a match rating scale. Furthermore, Indeed has the ability to screen other resumes from its database, send notification of a potential candidate, and gives the employer the choice to send a message with a predesigned template. Using AI for recruitment can identify the best candidates at the beginning of the recruitment and selection process.
