5-2 Project One: Technology, Hardware, and Software
To build a computer network for the new office of James Otis Tax Associates, I will need
to consider the technology hardware and software required for each employee, the Certified Public Accountant (CPA), Tax Specialist, and Data-Entry Specialist. The easiest way to do this is to separate and detail each of the three positions needed to complete the task at hand. In short, building a computer network for James Otis Tax Associates requires a careful selection of hardware components, appropriate software programs for each employee role, and a robust set of
security measures to safeguard sensitive customer data. Incorporating human-computer interaction such as high-quality screens and ergonomic keyboards and mice would also further enhance the user experience and productivity. In addition to individualized configurations, settings, and equipment there are tools and resources that would be shared amongst the three such as access to an IT team, video security system, employee access badges, locks for filing cabinets, network equipment, a document shredder, and a phone system.
Certified Public Accountant (CPA):
Hardware Components for CPA position:
Computer or laptop with sufficient processing power, memory, and storage capacity. High-quality monitor with good color accuracy for dealing with tax forms and documents. Printer and scanner for printing and digitizing important tax documents.
Software Programs for CPA position:
Operating System: Windows 10 Professional. Software dedicated to tax preparation, such as Intuit's ProConnect Tax Online or Thomson Reuter’s UltraTax CS. Office Suite: Microsoft Office or Google Workspace to create, edit, and manage tax-related documents and spreadsheets. Encryption Software: To secure sensitive

customer data, a program like VeraCrypt can be used to encrypt files and folders. Remote Access
Software: To access the office network remotely, if required, a solution like TeamViewer or Any
Desk can be beneficial. Security Measures for CPA position: Strong User Authentication. The use of strong passwords and multi-factor authentication for user accounts can enhance security and prevent unauthorized access. Data Backup: Regular automated backups of important data should be applied to prevent data loss due to hardware failures or other issues. A robust security system should be installed to protect the network from unauthorized access and potential cyber threats. Antivirus and Anti-malware Software: Implementing reliable security software like Norton or Bitdefender helps detect and prevent malware infections. Employee Training: Educating employees about secure practices, such as recognizing phishing emails and avoiding suspicious websites, is crucial. Tax Specialist:
Hardware Components for Tax Specialist: Desktop computer or laptop with adequate processing power and storage capacity. Dual or widescreen monitor setup for efficient multitasking and viewing tax forms simultaneously. Scanner for digitizing important tax documents. Software Programs for Tax Specialist: Same as the CPA, including tax preparation software, an office suite, encryption software (if required to manage sensitive data), and remote access software.

Security Measure for Tax Specialist: Like the CPA, including strong user authentication, data backup solutions, firewall protection, antivirus and anti-malware software, and employee training to ensure secure practices. For overall network security.
Data-Entry Specialist:
Hardware Components for Data Entry Specialist: Desktop computer or laptop with sufficient processing power and storage capacity. Monitor for displaying tax forms and data entry screens. Scanner for digitizing any paper documents that need to be entered.
Software Programs for Data Entry Specialist: Operating System: Windows 10. Microsoft Office or Google Workspace to create and manage data entry documents. A program like Intuit's ProSeries Tax or Thomson Reuter’s GoSystem Tax RS can be employed for efficient data entry and validation.
Security Measures for Data Entry Specialist: Access Controls: Restricting access to sensitive customer data based on the principle of least privilege. The data-entry specialist should have limited access privileges and not have access to tax returns once submitted to the tax specialist. Strong User Authentication: Implementing strong passwords and ensuring proper password hygiene practices. Regular Software Updates. Keeping all software programs up to date with the latest security patches and bug fixes. Data Encryption. Encrypting sensitive customer data during transmission and storage to prevent unauthorized access.
Human-Computer Interaction (HCI) Implications for All Positions: Knowledge of HCI can inform hardware choices, such as selecting ergonomic keyboards and mice to ensure user comfort and prevent repetitive strain injuries. Choosing monitors with

good color accuracy helps reduce eye strain, and using intuitive software interfaces enhances user productivity and reduces training time. In an article in Science Direct about the benefits and usage of HCI and how it corresponds to successful business practices, it was stated in referencing
material from a book that:
A central objective of HCI is to make computer systems more user-friendly and more usable. Users interact with computer systems through a user interface, which consists of hard- and software that provides means of input, allowing users to manipulate the system,
and output, allowing the system to provide information to the user. The design, implementation and evaluation of interfaces is therefore a central focus of HCI.
