Description:
Retail Store:
A retail store is defined as a physical location where customers come in to
look at, try on, and purchase items in person.
Online Portal:
An online portal consists of a website that customers can visit to view
items in stock to purchase them without having to come into a physical location.
Warehouse:
A warehouse is a location where inventory can be stored.
Warehouse Computer:
A warehouse computer is the computer used at the warehouse to
process orders that they receive.
Warehouse Associate:
A warehouse associate is the employee at the warehouse who will
view online orders as they come in, gather the ordered item and send said item to the
fulfillment department. Once this process is complete this employee also updates the
inventory throughout the warehouse on the warehouse computer.
Fulfillment department:
The fulfillment department is the department in which the
items ordered online are then packaged, assigned tracking numbers, and shipped to the
customers.
When reviewing the online order process that Lost Pine Outfitters have in place it begins
when a customer uses the online portal to place an order with the company. The order placed
online then goes through the portal and is received within the warehouse computer to be
processed. Once the order is received a warehouse associate will locate the item or items that has
been ordered within the inventory tracking system. Once located the associate then will go pick
the item from the shelf being sure to update the company's inventory and finally the associate
will send the order to the fulfillment department to be packaged and assigned a tracking number
through the US Postal Service. Once the tracking number has been assigned and employee will
then ship the package to the customer and update the order status to “shipped”. Once the
customer receives the package that they ordered a separate employee from the fulfillment
department will then update the status from “shipped” to “delivered”. Once the order process is
complete an employee will then send a thank you card to the customer also asking the customer
to provide a review based on the experience and service of the ordering process with the
company.
Purchasing from a retail store is a much simpler process than online ordering. The
process of purchasing from a retail store starts once a customer enters the physical location. Once
inside the store the customer has the freedom to browse to see if any items spark their interest
enough to try on or make a purchase. If the customer does see something that's interesting to
them and they would like to make a purchase, they can then approach the register and pay for
said product. And each system described there is a feedback loop present. When talking about the
online process the feedback loop exists once the customer receives their order and the thank you
card asking for a review. If the customer is in fact satisfied with their experience, then they are
able to turn into a repeat customer for the business. As far as the retail store process goes if the
customer did enjoy their overall shopping experience, they could become a loyal customer
overtime.
Recommendations:
1.
The CEO of Lost Pine Outfitters has noticed that there are discrepancies in the
inventories between the retail locations and the warehouse. One issue could be an
employee not being sure to update the inventory correctly after picking items for online
orders. My recommendation regarding this issue would be having a feature in the system
that the fulfillment department would not be able mark an item as “shipped” until it is
updated by the picking department. Another suggestion would be to add a feature that
would allow the item to be automatically updated in the inventory tracking system when
the item is marked as “shipped” by the fulfillment department employee. Doing this
would make missing the update for inventory much harder to do.

Another issue that has been brought up is having one computer in the warehouse which is
meant to serve many different functions which cause employees to experience many
delays with updating and processing orders. A simple fix for this issue could be
incorporating more computer stations for different associates to use to update and process
orders in a timely manner avoiding more downtime or mistakes.

Conclusion:
Systems Thinking is an extremely efficient way to see the steps taken within any system. The
diagram allows you to have an overall visual to see how things operate, in order to see where
something needs improvement. It gives you the opportunity to see where a problem starts and
how to fix it for any situation. The visual allows the opportunity to physically see the plan before
you decide to put it in to full effect and decide if you can keep the current system or create
something new. By using the Systems Thinking to make this reference diagram I was able to see
where errors are and where they could be improved. By adding more computers, I can see how
the order fulfillment process could be more efficiently handled and more orders can be processed
in a timely manner. By adding a process toward the end of the order process I can then see how
updating the inventory tracking system could easily be implemented rather than missed helping
the company keep track of their inventory and customers to be able to see what the company has
on hand to be able to make an order for in stock items. I feel these implementations and changes
could have a great impact on the company and help it run smoothly and bring in l
