Overview of the Project The Team Retreat project is classified as a strategic project to aid the company’s ongoing development and growth (1 Larson, p. 39). It will have a balance of work and fun activities. i.e., open brainstorming sessions or team presentations and team bonding events. The project's scope includes attending a team retreat in the next 60 days to increase employee satisfaction by 15% and improved communication resulting in increased productivity by 20% within the team. The agreed-upon goals for the retreat include a balance of team building, teamwork, self-discovery, and fun activities. i.e., open brainstorming sessions or team presentations, afternoon break, leaving the evening to change, and ending the night with bonding over dinners/drinks. Before the project and during the team builder retreat, we are your dedicated project team. A group of people I selected will work on this project from start to finish (1 Larson, p. 73). We will work within the allotted budget and timeline of 90 days for the project duration. Summary of Goals and Objectives The project’s overall objective is to create a fun and memorable team retreat. We will create a fun team retreat by designing an event full of excitement, entertainment, and engaging activities that we know you and your team will enjoy. We will create a team retreat that is a memorable experience by asking the team to participate in a digital application that is downloaded to their device and designed specifically for the team retreat. It will help your team to capture and continuously share their experience throughout the event. They will surely remember the team retreat for several months to come. We will use a dedicated project team for planning, the team retreat, and after. A group of people and resources we have selected will work on this project from start to finish (1 Larson, p. 73). We will need resources such as housing, a location, people to host and lead the daily events, food for meals, audio-visual equipment for the meetings, and transportation for the participants. In addition, we will need additional backup resources if any issues should arise. I will be your dedicated project manager. My team and I will follow all the guidelines of project management to communicate, execute timely, follow budget, and remain professional and organized (1 Larson, p.4). We will provide you and your team with a retreat within 60 days. We will keep you informed throughout the process and communicate step by step. We will stay within the budget and communicate if there are any additional costs or money required. the budget was spent for a similar project in the past.
To effectively determine the timeline for this project, managing the budget is a requirement. As we learned, establishing a project budget is essential to the success of any project (quote). For this project the bottom-up method for determining the budget would be the most accurate and effective method to use in determining the budget for time, materials, and labor of the project. Description of all Task and Timeline The overall task is to ensure that we have proper planning in place that includes all the tasks, dates, and budget. To remain on task and schedule we conduct daily touch point meetings 15-30 minutes and 60-minute weekly alignment calls to ensure all tasks are completed in a timely manner and according to schedule. Our tasks are divided into six task groups. The groups include planning, venue, meals, housing accommodations, event, and transportation. The first three tasks include planning venue and meals. Our first task is planning. The goal here is to finalize contract details, edit and review the contract, sign the contract, and finalize the attendance headcount for the Team Retreat. The planning process should take us approximately twenty days beginning on Monday, November 13, 2023, and ending on Monday, November 27, 2023.Next task includes finalizing the details for the Venue location. The team will find quotes, compare the details, and share information with the key stakeholders and finalize the location within 14 days. We will begin this process on Tuesday, November 28, 2024, and finalize the by Tuesday, December 5, 2023. The third task includes finalizing the catering menu and meals during the Team Retreat. To meet the dietary needs of the group attending we will need to solicit the dietary needs of the attendees. This information will allow us to solicit food quotes that are all inclusive of the attendee food needs and lastly, we will finalize those details with key stakeholders. Our next three task include housing accommodations, event planning, and transportation. We will first start with housing accommodations by soliciting three quotes, comparing those quotes and then finalizing the details. We will take 14 days to complete this task beginning on Wednesday December 6, 2023 and ending on Wednesday December 20, 2023. Next task we will focus on is the event resources such as a host for the event and technology resources. We will solict quotes, review and finalize the technology resources and a host for the event within 14 days. We begin on Thursday, December 21, 2023 and complete by Thursday, January 4, 2023 Lastly, we will focus on transportation for the Team Retreat. We will also solicit rates from three companies, review and finalize the company and driver details. We will complete this within 14 days beginning on Thursday January 18, 2024. Risk Factor and Mitigation The process of understanding certain risk and potential threats that exist within planning explains risk mitigation (quotes). Being prepared for possible risk in the
project reduces the effects and impacts of potential risk. There are several potential risks associated with the team retreat project. These risks include weather related natural disasters, medical emergencies, venue power outages, cancellations from the venue, driver, or transportation etc. The goal is to reduce and eliminate risks and to take steps to prepare in case those risks occur. After car All projects come with potential, however, with proper risk management migration, prevention and recovery is possible. Potential Risks and Mitigation It is impossible to eliminate all risks. Therefore, our goal is to focus on minimizing the harmfulness of any risk during the project and mitigation plan so that we can manage those risks. This includes providing contingency plans, back up resources and planning to minimize the harm with any risk that occurs.
